INTRODUCTION

This program is used to define the various printers and other devices that an employee will use as well as the printers themselves. For the purpose of this discussion:

Use this program to:

To access the Edit Terminal Records program, type EDITTERM (RET) at any menu "OPTION:" field or the appropriate line number on the System Configuration menu. The screen will then display:

I. DEFINING PRINT DESTINATIONS

Enter data as follows:

1. TERMINAL NAME

Enter up 10 alphanumeric characters as a name for the print destination. The name entered here must exactly match an entry in the CARS+ configuration file carsconfig which "translates" the name in this field to a desired print action. Please contact Thermeon Customer Support for assistance with this.

Standard pre-defined print destinations are:

  • PRINT
  • PDF
  • EMAIL
  • CSV

Other print destinations may be defined for special purposes. For example, the CARS+ Report Driver could be configured to run a Reservation Manifest every morning at 04:00 and email it as a PDF attachment to Mary Smith. A print destination may need to be defined for this purpose.

User tips:

  1. The EMAIL print destination will prompt the user for the following:

    1. Format (PDF. CSV, TXT).
    2. Email address. If an email address is specified for the employee in the User Access File, that address will be the default but can be changed.
    3. Document name for attachment.

  2. Many CARS+ reports can be exported as a CSV file for loading to a spreadsheet program or other 3rd-party application. The CSV print destination is used to transfer the CSV file to the local PC. Please refer to the manual chapter for the specific program for further instructions. A listing of the CARS+ reports and programs which export CSV data can be found in the manual chapter Overview - Exporting Cars+ Data to a Spreadsheet.

2. TERMINAL TYPE

Enter up to 8 alphanumeric characters for the printer type for this print destination. The value entered in this field must be in the Edit Printer Control Codes program.

These codes determine which commands are sent to the printer to control print size, regular or condensed print, the number of lines per vertical inch, etc. Commands vary for different printers, although most can be grouped into several basic protocol standards. The program Edit Printer Control Codes is used to define the list of supported printer codes and to define the appropriate printer-specific control codes necessary for each printer action (bold, compressed, etc).

The two most commonly used printer types are:

  • PS -- For generating PDF documents and for printers equipped with a PostScript language interpreter.
  • HPLASER -- For printers equipped with the PCL language interpreter.

These two printer types have been pre-defined. Most laser printers except low-end budget models will be equipped with a PCL language interpreter (also referred to as PCL emulation). Many are also equippe with a PostScript interpreter. For locations still using dot matrix printers (not recommended), there are also pre-defined printer types for the most common dot matrix printers. Please contact Thermeon Customer Support for assistance.

Fields 1 and 2 are the only two fields used when defining a print destination.

After completing Field 2, "ESC" to the "OPTION:" field and press the "F1" key to save the record. The other fields are not required for the print queue record. Be sure you have created a print queue record for every queue being used.


II. DEFINING USERS

Print destinations defined in Section I above can behave in one of two ways: The ensuing instructions will refer to these as "PDF Mode" and "Direct Mode".

  1. Print to PDF -- In this mode a PDF of the document being printed is generated. Depending on how the Print Destination is configured, he PDF may open automatically on the local PC or be delivered as an email attachment. The document is subsequently printed from the PDF reader application (such as Adobe Reader).
    Advantages: Allows for a preview of the documents before printing to paper. Allows the document to be saved to the local PC.
    Disadvantages: Involves more steps and usually slower than the "Print Direct" method below.

  2. Print Direct to Printer -- In this mode, the document being printed is sent directly to the printer.
    Advantages: Does not require the extra steps of printing from a separate application. Printing completes more quickly. This typically is the choice for busy rental counters.
    Disadvantages: Document cannot be previewed before printing. No opportunity to save a copy of the docment to the local PC.

Within this mode, there are two two additional "sub modes" that can be employed:

NOTE: The "Different Printers" mode requires specific print queue names to be defined on the local PC. If interested in using this mode, please contact Thermeon Customer Support for further assistance.

1. TERMINAL NAME

Enter the user's Employee Code as defined in the Edit User Access File.

EXAMPLE: Type: SCOTT (RET)

NOTE: The default behavior in CARS+ is to use the Terminal Record that matches the employee code. CARS+ can be configured in an alternate mode where the user will be prompted for a "Station ID" when logging in and then use the terminal record matching the value entered at that prompt. This can be useful where there are multiple workstations at a rental counter and the rental agents are not assigned to a particular workstation -- and especially when credit card pin pad/chip reading devices are being used. To run in this mode, please contact Thermeon Customer Support and ask that GVT Record PMTSTATN be set up.

2. TERMINAL TYPE

Enter one of the following:
  • VDT -- Used in all cases except for the "Different Printers" mode of printing direct to the printer.
  • KERMIT -- Used only for the "Different Printers" mode of printing direct to the printer.

There are other "special use" terminal types that can be entered here. These must be previously defined in the Edit Terminal Types program. Many of these special types are used to define an alternate screen size. Please contact Thermeon Customer Support for assistance with defining alternate terminal types. Examples are:

  • TABLET -- For running CARS+ on a tablet.
  • HHT -- For running CARS+ on a hand-held device.

EXAMPLE: Type: VDT (RET)

NOTES:

  1. The "printer" (print destination) names entered in the next four fields must be previously defined by a separate print destination record as per the instruction in section I above.
  2. On older systems, the next four fields may be populated with "/dev/tty". This setting is no longer supported and should be discouraged. This has been replaced by "PRINT".

3. RA PRINTER

This is a required field. Enter the print destination that this user should use for RA printing.

4. CARS+ REPORT PRINTER

This is a required field. Enter the print destination that this user should use for CARS+ report printing.

5. ACCTG REPORT PRINTER

This is a required field. Enter the print destination that this user should use for accounting report printing. This includes the CARS+ A/R Distribution to G/L Report and all reports from the RealWorld accounting packages.

6. ACCTG FORMS PRINTER

This is a required field. Enter the print queue that this user should use for printing invoices, statements and other accounting forms, both from CARS+ and from RealWorld.


7. REMOTE RA TYPE

These four fields are to be left blank.

11. DEFAULT LOCATION

Enter up to 6 alphanumeric characters to indicate the location Code of the office where the employee works. This is a requited field.

EXAMPLE: Type TUS (RET)

User tip: If the employee "floats" between different locations, enter the location he/she is at most of the time. This setting can be overridden using the Change User Environment program. A setting in the Edit User Access File can be used to display the Change User Environment screen automatically when logging in.

12. DEFAULT DRAWER

Enter the default cash drawer to be used by this employee. The location code specified on the cash drawer record must match the location code entered in field 11 above. This is a required field.

User tip: If the employee "floats" between different locations, enter the cash drawer for the location he/she is at most of the time. This setting can be overridden using the Change User Environment program. A setting in the Edit User Access File can be used to display the Change User Environment screen automatically when logging in.

User tip: There is a field for a default drawer in the user's record in Edit User Access File file. However, the drawer number entered there is only used when shared usage (see next field) is set to "N".

13. SHARED USAGE?

When "shared usage" is in effect, CARS+ assumes that the person who logged in may not be the one currently using the CARS+ session. It is common practice to activate shared usage for those employees who work the rental counter or anyone else that shares a work station. On the other hand, employees in the administrative office may not share their work station with anyone else, so the shared usage feature may not be necessary for them.

When shared usage is in effect, the user must enter their employee code and password before creating a new document (RA, Reservation, Sundry Invoice, etc.) and when saving edits to existing documents.

When shared usage is not turned on, there is no reason for the user to identify himself or herself before starting a new transaction; CARS+ assumes that the person who logged in is the one using the session.

If credit cards are masked, and an existing record is accessed (such as a Reservation or RA) all credit card numbers are initially masked. To unmask, the user must press F4 and then enter their user code and password. This identifies the current user of the session so that their record in the User Access File can be checked to determine whether or not they are subject to credit card masking. For those operations running in PA-DSS compliant mode, this also logs who views a credit card number, regardless of if the record viewed was changed.

NOTE: Unmasking a card that was processed through a PIN Pad device cannot be unmasked by any user at any time. This is because the credit card number no longer resides in CARS+, so there is no way to unmask it. CARS+ users can see only first 4 and last 4 digits of the card. What isn't seen is an encrypted 'token' that references that card.

For security purposes, the vast majority of users should be set up with shared usage.

Enter:

Y = Shared usage is in effect.

N = Shared usage is not in effect.

14. AUTH/SWIPE

This field is made up of two separate flags that turn on or off two features of CARS+.

AUTH -The first flag turns on or off the optional CARS+ Electronic Draft Capture (EDC) module.

Y = YES. Entering "Y" in the first flag position activates the "F11" function key in various programs for requesting automated credit card approvals.

WARNING: Activating this function key without purchasing a license from Thermeon for this feature will result in fatal file errors and hung terminals.

N = NO. Entering "N" in the first position turns off the CARS+ EDC module.

SWIPE -The second flag turns on or off the ability to read credit cards and driver's licenses by a Thermeon approved magnetic swipe reader.

Y = YES. Entering "Y" in the second flag position activates the "F2" function key on the RA Open and Close screens which is used to accept data from the swipe reader.

N = NO. Entering "N" in the second position turns off the swipe reader interface.

NOTES:

  1. For locations not using the CARS+ EDC module, a magnetic stripe reader can be used to automatically populate the credit card data to the appropriate fields. This prevents manual data entry errors.
  2. The swipe feature applies to magnetic stripe readers only. When using an EMV compliant "chip reader" credit card terminal, this field should be set to "N". For locations that are configured for EMV terminals, If a card is swiped via the F2 process, the EMV logic will treat this as a "card not present" situation and a higher commission will be charged on the transaction.
  3. For locations that are configured for EMV terminals and are also using a magnetic stripe reader for the Swipe Drivers License feature, this field should be set to "N". The fact that the Swipe Drivers License feature is activated will active the F2 key at the OPTION and DL fields in RA Open for this purpose.

EXAMPLE: Type NY (RET)

The ability to turn on these features exists in three different files within CARS+;

Edit Main Control Record = sets system wide parameters.

Edit Locations = sets parameters for individual locations.

Edit Terminal Records = sets parameters for individual terminals.

Settings made at the terminal level have the highest priority followed by those set at the location level and then the setting on the Main Control screen.

In other words, if the features are turned on in Edit Main Control Record, and the fields in Edit Locations and Edit Terminal Records are blank, the feature is turned on system-wide. (They can be turned off at the Location level or terminal level by using the fields in those respective files.)

If the features are NOT turned on in Edit Main Control Record, they can be turned on for individual locations in the Edit Location record. If not turned on in Edit Location, they can be activated on a terminal-by-terminal basis in Edit Terminal Records.

In summary, it is a hierarchy that says Location supersedes Edit Main, and Edit Term supersedes both of them.

15. RA PRINT LIBRARY #

If this terminal is to use a different RA print program than the one designated in Field 1 of the Edit Print Library Control Record, enter the proper library number here.

EXAMPLE: Type 97 (RET)

User tip: There are multiple places in CARS+ where the library number of the RA print program can be designated. The hierarchy for which RA print program is selected is as follows:

The print program in the Edit Valid Type Code record takes precedence. If that field is blank, then the one designated in the Terminal record is used. If that field is blank, then the print program designated in the Edit Print Library Control Record is used.

16. PIN PAD DEVICE ID

This field is used in conjunction with the EDC module when using EMV credit card terminals (also known as the CARS+ Payments Service module). Enter up to 40 alphanumeric characters to indicate the default Pin Pad Device for this user. The device name entered here must be previously defined in either the Edit Counter Devices program or the Lane Management program.

EXAMPLE: Type AIRPORT-1 (RET)

User tip: If the employee "floats" between different workstations and/or different locations, enter the devicehe/she uses most of the time. This setting can be overridden using the Change User Environment program. A setting in the Edit User Access File can be used to display the Change User Environment screen automatically when logging in. Additionally, a GVT record can be set to prompt the user for the Pin Pad Device when logging in to CARS+. If this field is set, then the device specified here will default on the login screen. If this field is left blank, the user will be forced to specify a Pin Pad device when logging in. To activate this feature, contact Thermeon Customer Support and ask to have GVT record PMTPED set up.

17. CHARACTER SET
This field is for the name of the character set encoding used by this terminal. Symbols (e.g. Letters, numbers, special symbols) used in languages must be "encoded" when used by computers and printers, and the methods for doing this encoding are named. Common encodings are "UTF-8" and "LATIN1". Multiple encodings may be used by CARS+. The data in CARS+ might be stored in "UTF-8" and a printer might use "LATIN1", requiring the data to be transformed from one encoding to another.

18. SWIPE DEVICE
NOTE: This field is for non-standard swipe devices only. Locations with EMV credti card terminals will use field 16 above. This field should be set only when advised to do so by Thermeon. Most users should leve this field blank.

If a Credit Card magnetic track reader other than a Magtek or Magtek-compatible keyboard emulation device is to be used with this terminal, enter the device name which specifies the physical unit to be used. Device names must first be specified in the Edit Counter Devices program. The default device assigned here can be temporally changed by using Change User Environment.

User tip: Keyboard emulation devices are typically directly connected to each PC. For these devices, it is not necessary to create a Counter Device record and specify the device here. This field is used when the swipe device is connected directly to the Local Area Network (LAN) instead of being directly connected to the PC. When a device is connected to the network, it becomes necessary to tell each workstation which device to use. This also allows more than one workstation to share a single device.

Enter:
blank = No swipe device used or Magtek-compatible keyboard emulation device used if swiping is activated in field 14.

A valid device name defined in Edit Counter Devices.
EXAMPLE: Type 594088 (RET)

19. SIGNATURE DEVICE
NOTE: This field is used for combined credit card terminal / sign-on-glass devices. This field is not used for the CARS+ Signature Capture feature. Most users will leave this field blank.

If a signature capture device is to be used with this terminal, enter the device name which specifies the physical unit to be used. Device names must first be specified in the Edit Counter Devices program. The default unit assigned here can be temporally changed by using Change User Environment.

Enter:
blank = No signature capture device is used.

A valid device name defined in Edit Counter Devices.

20. RELEASE GOLD CODE
In order for users at Hertz locations to access the program Exit Gate Gold Choice, this field must have a setting that allows it. (This is part of the set up required to do Gold Choice.) Enter:
B = Booth terminal with existing feature set
G
= Gate terminal with existing feature set
R = Roving terminal with existing feature set
1 = Gate terminal with expanded feature set
2 = Roving terminal with expanded feature set
Expanded feature set (choices 1 or 2) provides a section on the screen displaying if coverages ( LDW, P&P, DDW) are accepted, included, CDP included, declined, or available for sale.

21. SCANNER DEVICE

If the terminal defined in Field 1 is to use a 365iD Document Scanner to read the renter's driver's license and passport, enter the 16 character serial number from the bottom of the scanning device that this terminal is to use. Note, the same scanning device can be shared by more than one terminal at the counter. If this terminal is not going to use a 365iD scanner, leave this field blank.

PRESS "F1" AT "OPTION:" TO SAVE THE RECORD.

User Tip: CARS+ reads the Terminal Record once when the user logs in and the values defined there are placed into memory. The record is not read again during that CARS+ session. Consequently, any change made to a Terminal Record will not be recognized until the affected user(s) start a new CARS+ session. This can be done by typing either END or LOGIN in the OPTION: field of any CARS+ menu. A temporary change to the default values can be made by using any of the programs listed below. Changes made via any of these programs will take effect immediately without having to start a new session and will be canceled when a new session is started.

Using the Select Items for Menus program, you can determine which users can access which programs depending on their menu access level in CARS+. You may wish to allow access to one or more of these "temporary change" programs, but not to the Edit Terminal Records program itself.


TO CLONE AN EXISTING RECORD:

To create a new record by cloning an existing one, bring up the existing record. Then enter the new code infield 1. The following question will show at the bottom of the screen:
