Being able to swipe or scan the driver's license while opening a RA can increase efficiency at the rental counter. The data from the license is loaded into the appropriate fields of the RA Open screen. The license of the renter and the additional drivers may be scanned.
This chapter lists the steps necessary to set up and use the drivers license swipe/scan logic.
II. HARDWARE
The device used for swiping (reading the magnetic stripe on) the drivers license is the same device used for swiping credit cards. NOTE: Not all swipe readers are compatible with CARS+. Please contact Thermeon Customer Support for information on compatible devices.
The device needed for scanning the PDF417 2D bar code on the license is the Zebra (formerly Motorola) DS9208 Omnidirectional Hands-Free Presentation Imager. The scanner is available in several configurations -- the required configuration is DS9208-DL00004NNWW**. This device must be programmed to format the drivers license data in a manner compatible with CARS+. Please contact Thermeon Customer Support for assistance with this.
**Note that this scanner has been discontinued by the manufacturer, however product may still be available. Thermeon is currently identifying a suitable replacement.

III. SET UP
Thermeon's Support Dept will configure your system for this logic by setting up GVT records. The logic for these records is:
A. SWIPEDL - this record turns on the ability to swipe the license
B. DLSEARCH - This record checks the license number and the state code and will prevent the number/state from being used on more than one customer record.
IV. COUNTER AGENT INSTRUCTIONS - RA OPEN
Both swipe and scan devices may be connected simultaneously to the same PC. A drivers license may be either scanned or swiped depending on whether it has only a mag stripe, only a bar code, or both.
All references to "swipe" in the instructions below apply equally to scanning the license.
Swiping the license
A. Swiping from the Main Window "OPTION:" Field
With the cursor at the Main Window "OPTION:" Field: Press F2.
The following prompt will appear at the bottom of the screen:
SWIPE/SCAN DRIVERS LICENSE NOW
B. Swiping from other fields in the Main WindowWhen the license is swiped through the card swipe reader, the last name and first letter of the first name are used to search the Reservations file. If a match is found, it will be shown on the bottom half of the screen in the same way as a typical search of the Reservations file. If no match is found or the rental agent bypasses the reservation search, the customer file is searched by the license number.
There are many ways to open a RA, and the various scenarios are listed below.
SWIPE LICENSE FIRST
1. Swipe first; a customer is found (with or without a reservation) using the license number, and selected from the search initiated by the swipe.
2. Swipe first; no customer record foundThe name and the expiration date from the license are used. The rest of the data comes from the customer record. Note that there is no warning message if data on the drivers license is different from the data in the customer record.
Data from the drivers license is used (name, address, date of birth, and drivers license data).
SWIPE LICENSE SECOND
3. A customer record (with or without a reservation) is loaded on the RA Open screen before the drivers license is swiped.
4. Reservation without a customer record is loaded on the RA Open screen before the drivers license is swiped.When the drivers license is swiped, the name and the expiration date from the license are used.
If the last name and first initial on the drivers license do not agree to the name in Field 1, the following message displays:
NAME DOES NOT MATCH, PROCEED Y/N?
Enter:
N = the drivers license data is not accepted.
Y = the drivers license data is accepted, and the name as well as other data from the license is loaded.
The swipe will not do a search of the reservation file.
If the last name and first initial on the drivers license do not agree to the name in Field 1, the following message displays:
NAME DOES NOT MATCH, PROCEED Y/N?
Enter:
N = the drivers license data is not accepted.
Y = the drivers license data is accepted, and the name as well as other data from the license is loaded.
The license can also be swiped using F2 from the following fields:
Field 1 Name
Field 2- Address
Field 3 - C/S/Z(Address)
Field 6 - License
C. Swiping from the Additional Driver (Q) subwindow
The license can be swiped for each additional driver by pressing F2 from Fields 1, 5, 9, or 13.
Swiping the credit card
When the drivers license swipe is turned on, the credit card is swiped by pressing F2 from Field 7, FOP, or Field 8, Auth.
The name on the credit card is checked against the name already loaded in Field 1. If they are not the same, the following message displays:
NAME DOES NOT MATCH, PROCEED Y/N?
Enter:
N = Do not accept the credit card. The credit card data is not loaded and the message "Not Processed" is displayed.
Y = accept the credit card and continue.
