I. INTRODUCTION
CARS+ WebRES is a fully-integrated internet-based reservations module and is run as an add-on module to the CARS+ Rental & Fleet system. The web-based HTML reservation screen is directly linked to the CARS+ database. When a reservation is made through WebRes, the reservation is added to the rental company's CARS+ reservation file, and an email confirmation notice is sent to both the booking party and the rental company.
The rates and classes offered are subject to yield management and planning calendar controls which are in effect. In addition, several set up choices allow each WebRES application to be configured according to the user's preferences. The purpose of this chapter is to address the required set up steps and the various choices in configuration that are available for WebRES.

II. REQUIRED SET UP STEPS
A. BOOKING PAGE
Thermeon's Customer Support Dept. will set up the reservation booking page and provide you with the internet address for that page. You will need to install that address as a link on your web site. Most clients choose to display the WebRES booking page within a frame of a page on their website. This allows you to surround the booking page with your corporate graphics (logo, etc.) as well as links to other areas of your website. This link can be installed in as many “affiliate” sites as desired. Additionally, it is possible to track, from within WebRES, which affiliate site referred the customer to your WebRES booking page.
B. USER-SUPPLIED DATA
WebRES is capablile of displaying thumbnail pictures for each class of vehicle available for rent. Thermeon will not host these pictures on its website, you will be responsible to host them on your webiste. WebRES will simply link to the pictures on your site.
Additionally, you will need to host on your site both an HTML (*.htm or *.html) and a plain text (*.txt) version of your Terms and Conditions of Rental. Again, WebRES will simply link to these items.
Optionally, you may also host on your site an HTML description of the various optional extras the customer can select to add on to the reservation. A separate file for each option is required. See section G below for more information.
This next series of steps require set up in CARS+. Links are provided to the appropriate chapter in the CARS+ Manual for detailed instructions on setting up the referenced CARS+ control files.
Create a record with an Employee code of "WEB" and a Password of "CASS". Assign a Menu Type which has access to the Reservations program and set the Company ID to whichever company will be receiving the reservations (usually 00). Set the Password Expiration to 01-01-0000 (Earliest) and the Account Expiration to 12-31-9999 (Latest) or 31-12-9999 for European date format. Note: Thermeon may have already performed this step.
Create a Terminal Record with a Terminal Name of "WEB" and Terminal Type of "VDT". Set all printers to "/dev/tty" and printer types to "FIXEDFMT". For the Location, enter your main Location Code and default Cash Drawer. Set Shared Usage to "N". Note: Thermeon may have already performed this step.
Page 1, Field 39: Valid Rental Location. This field is used to control whether or not a location is valid for WebRES as an opening location, a closing location, or as both an opening and closing location. Choices for WebRES are as follows:
Y = This is a valid renting location for both pickup and return in WebRES and CARS+.
N = This location is not a renting location and cannot be used as such in WebRES or CARS+. Instead, this is a fictitious location which represents an accounting office, service center, sales lot, etc. This location CANNOT be used as a pick up location or return location.
W = In WebRes, this location will not display. It is a valid renting location in CARS+.
O = In WebRes, this location can be used only as an opening (pickup) location. In CARS+ it can be used as an opening and closing location.
C = In WebRes, this location can be used only as a closing (return) location. In CARS+ and can be used as an opening and closing location.
X = In Webres, this location can be used as an opening and
closing location, but it is not a valid renting location in CARS+.
(Cannot be used as opening or closing location in Reservations or RA
Open.) (Used by Hertz Australia for licensees not on CARs+ who need to have a way to accept reservations through WebRes and not have them be transmitted as 'no-shows' on the GAR feed.)
Page 1, Field 43: Walkup Rate. All valid WebRES renting locations must have a Walkup Rate. This can be the WEB rate or some other rate. See the section on Edit Rental Rules/Rates below for more information on this. Remember that this field also affects the CARS+ Reservation and RA Open programs. If not using the Web Class Rate field discussed below, then the Walkup Rate must contain all valid vehicle Classes used in WebRES. (If the Class does not exist in the default rate, it cannot be displayed in WebRES -- even though it might be present on other rates.)
Page 2, Field 40: Airport Loc. This field is this referenced by the “sort airport locs” control.
Page 4, Field 14: Web Class Rate. If you wish to use a different list of classes for WebRES than those classes configured in the location Walkup Rate, you can specify an alternate rate for that purpose in this field. Make sure that the product specified here is valid for this location either by Rate Set or Rate Group. This can be a "rules-only" rate (i.e. no rates entered into page 3) that exists strictly for this purpose.
Alternately, a location with a code of "WEBRES" can be used to control which vehicle classes are displayed for WebRes as well as the order in which they are listed and their default descriptions. Initially, this location must be set up as a renting location. After setting up the Class Codes, however, it should be changed to a location that is NOT valid for renting as it serves no other purpose. Note that this method affects all locations.
If the location with a code of "WEBRES" is used, enter the Class Codes that should display in WebRes. The order of their display is dependent upon the hierarchy levels set for the WEBRES location's Class records. The default description for the classes is also set here.
If a "WEBRES" location is not set up, or there are no classes set up for it, then the classes displayed are determined by either the Location Walkup Rate or the Location Web Class Rate as discussed in section E. above.
Set the Warning Percentages as desired. WebRES can then be set to prevent reservations for any class which has reached Warning Level 1, 2 or blacked out. This setting will be discussed later in this document.
WebRES can display pricing for and allow the rental customer to select specified optional items for the purpose of obtaining an estimate of charges. Use the “WebRES Visible” column to indicate which items should display on the WebRES page. Note that you can also make the description appear as a Hyperlink (something the user can click on.) When the user clicks on the link, a window will pop up containing information about the option. Mandatory and dependent options (taxes, surcharges, underage fees, etc.) should not be set up this way.
H. PLANNING CALENDAR (Planning Menu)
EXTEND PLANNING CALENDAR: Extend the Planning Calendar for as far in advance as you expect reservations to be booked. WebRES will allow unlimited bookings for any date beyond the date to which the Planning Calendar has been extended.
CHANGE CLASS AVAILABILITY: Enter any anticipated vehicle purchases and sell-offs which will occur during the time for which the Planning Calendar has been extended.
RECALCULATE CLASS NEEDS: Finally, run the Recalculate Class Needs program to update the Planning Calendar.
Setting up Rate Capacity is optional. However, if you decide to apply the "capacity control" logic to the WEB rate, be sure you have set up appropriate capacity records for as far in advance as you will accept reservations. In a similar manner to that of the Planning Calendar, WebRes will allow unlimited bookings for any date that does not have an effective Rate Capacity record.
WebRES shows the rates for all vehicle classes associated with a given rate product on the rate display page. When the Planning Calendar indicates that that class will be “sold out” at any time during the requested rental period, sold out classes may appear (labled as "sold out") or they may not appear - depending on how your system is configured.
How Rates are Displayed: WebRes will look for a rate product named "WEB" and will display the rates for all vehicle classes associated with that Rate Product.
Next it will look for the walkup rate associated with the opening location (see Item II.E above). If this Rate Product contains vehicle classes not present in the WEB Rate Product, WebRes will display those unique classes at the walkup rate pricing.
Note: WebRes uses the "walkup rate" field on page 1 of the Edit Location record and not the field for the default reservation rate found on page 3 of the Location record.
If no rate product named "WEB" is present, then the walkup rate will be used. Therefore each location must have either a "WEB" rate in the Rate file or a valid walkup rate defined in its Location record.
If WebRes has been configured to allow the entry of a Corporate ID, it will start by displaying the rate product and classes associated with that ID number. Then it will proceed to displaying any unique classes from the WEB rate product, then the walkup rate product, as detailed above.
If desired, apply the Yield Management feature to the WEB and/or walkup rates. Yield Management is a feature whereby the rates will increase by a preset amount when the booking level for a vehicle Class reaches a predetermined percentage. There are five Yield Management levels which can be set which, along with the base rate, can produce up to six distinct rates for a given class based on booking level. These predetermined booking levels are set independently of the Planning Calendar Warning Percentages.
For those rental operations that have a wide variety of classes available for rent, sometimes the display of available classes on page 2 of WebRES can be very long and therefore making it difficult for the user to find and select the class he/she desires. If desired, a drop-down list of class groups can be displayed on page 1 of WebRES which will allow the user to restrict the dislay of classes on page 2 to just those of interest to the user. For example, you could set up class group offerings Economy cars, Mid-size cars, Luxury cars, Sports cars, SUVs, and Trucks. Use the Edit Class Groups program to define the various groupings for WebRES to display.
III. WebRES OPTIONS
WebRES can be configured to run in many different modes causing different data entry fields to appear on the booking page. A portion of a WebRES configuration screen is shown below (click image to view in greater detail):

The list of data aliases are those pieces of data which can be passed into WebRES by the URL linking to the site. This is done by appending the data alias and the desired value to the end of the referring URL. Generically, this would appear as "?data_alias=value". For example, assume that the URL to your version of WebRES is https://secure.thermeon.com/webres/thmrac/res.html
It is also possible to string more than one of these together. In this case, for the second and subsequent alias/value pairs, you replace the "?" (question mark) with an "&" (ampersand). For example, if the agent mentioned in example #3 above happens to work for the partner company mentioned in example #2 above, the URL linking to WebRES would be: The data entry box to the right of each data alias is for the entry of an alternate name (text) for the alias. For example, you will notice that the box to the right of res_vend_no has been pre-populated with "iata". This means that "iata" now becomes the alias for the vendor and it is the text that will be used in the URL. In this case, the URL for example #3 above would now be: Some of the data aliases also have a second data entry box labeled "Default:" The fields can be used to specify a default value for the corresponding data entry fields on the WebRES screens. For example, by default the pickup location will default to " Note: The data alias "no_location_list" has special meaning. There is no value associated to this alias. Passing this alias in the URL will cause the drop-down location lists not to be displayed, This alias can be used in conjunction with the alias for "pickup_loc" and, if desired, "return_loc" to force the pickup and return locations to a specified value and not give the user the ability to change them. |

Used with hyperlinked options (see CARS+ setup above). This is the URL to the directory on your website where the individual html files reside for each option. The name of the actual file will be the option code. For example, if the option code for a baby seat is “SEAT” and you store the various option information files in a subdirectory of your website called “options”, then the base URL would be www.yourwebsite.com/options/. When the user clicks on the link for the baby seat, WebRes will complete that URL with SEAT.html. |
