Non-Vehicle Class Codes: Assets other than vehicles, such as optional equipment (handheld GPS units, child restraint seats, ski racks, handtrucks, etc.) can be entered in the Inventory File. In order to do so, Class Codes must be created for them. By entering the units into inventory, they can be tracked and overbooking controls can also be used.
Cloning Class Codes: Class Codes are location sensitive. If you have multiple locations with the same class codes, the following options are available:
Enter the Class Code for each individual location.
Use a Group Name (location group) instead of an individual location code. An individual Class Code record will be set up for each location in the Group and locations in its sub-groups.
Use the "Clone A Location" program (on the Location Controls Menu) to clone Class Codes from one location to another.
Offering alternative
classes: When using the planning calendar to monitor availability, and the overbooking
warning appears, the hierarchy rating of the vehicle class entered
is used to determine what other types of vehicles could be considered for the
transaction. Using the hierarchy
ratings in the Vehicle Class records, the next available class down and the
next available 3 classes up are shown in a pop-up window for alternative
classes that could be offered. Keep this in mind when assigning hierarchy levels.
User tip: In order for the alternative classes to be offered, the “Res Warning Level 2 Hard” and “RA Warning Level 2 Hard” field in the Location field must be set to “Y”.
Note: Edit Vehicle Attribute Codes and Edit Class Vehicle Attribute Codes can be used to define the characteristics of this vehicle class, such as the interior dimension of the cargo area, maximum cargo weight, or the maximum towing weight etc.. These items can be displayed during the reservation and rental process once defined and identified with the coinciding class of vehicle.
To access the Edit Class Codes program, type EDITCLS (RET) at any menu "OPTION:" field or the appropriate line number on the Fleet Control Files menu. The screen will then display:

Depending on a setting in the field "Validate Pricing Codes" in Edit Misc. Control Fields, this code may need to have already been created using the Edit Pricing Code program. 5. MINIMUM AGE |
Enter up to 2 numeric characters to indicate the minimum age the renter must be in order to rent a vehicle in this class. Leave this field blank if there is no special age restrictions on this class of vehicles. In that case, the minimum age restrictions elsewhere in the system will be used. EXAMPLE: Type 25 (RET). The minimum age can be set in four other places within the system. The following notes outline the Hierarchy of the various Minimum Age rule fields.

6. UNDER AGE SURCHARGE |
This field refers to the charge that can be set up in the Edit Optional Charge Codes file pertaining to levying an additional charge on drivers who are under a certain age, such as under 25. If you want the underage surcharge to apply to all classes of vehicles, leave this field blank. If however, it should apply to certain classes and not to other classes of vehicles, enter as follows: Y (or blank) = Yes. The underage surcharge should be applied to underage drivers renting this class of vehicle. N = No. The underage surcharge should NOT be applied to underage drivers renting this class of vehicle. 7. RES WARNING % 1 |
User tip: Data can be entered in this field only when creating a new Class Code. After the initial set up, changes in the default warning percentages must be done using the Change Warning Percentages program on the Planning Menu. The percentage entered in this field is used with the Planning Calendar logic. Refer to the chapter titled Introduction to Planning for detail about the Planning Calendar. Enter a percentage (up to 3 numeric characters) indicating a first level utilization percentage. When the utilization for this Class is anticipated to be at or higher than this percentage, the following warning is issued when taking reservations or renting vehicles:
This percentage amount may be more than 100% if a high no-show factor is expected. EXAMPLE:Type 85 (RET) User tip: If the location for which this class is being set up is part of a metropplex group, it is highly recommended that the Warning Percentages for this class be the same for all locations within the metroplex group. For example, the Warning Percentages for the class CCAR should be the same for each location in the metroplex group. If this is not the case, the Class Availability Report may display unexpected Warning Percentage values. Please refer to the section titled "NOTES ON SETTING UP METROPLEX GROUPS AND CLASS GROUPS" of the manual chapter Introduction to Fleet Planning for details. Depending upon how your system is configured, the second warning level can be an advisory message only, or it can impose a blackout and prevent saving a new reservation or walk up rental. EXAMPLE: Type 110 (RET) User tip: If the location for which this class is being set up is part of a metropplex group, it is highly recommended that the Warning Percentages for this class be the same for all locations within the metroplex group. 9. CLASS HIERARCHY |
Several programs within CARS+ use the Class Hierarchy rating. This hierarchy is based on rental cost with the lowest number representing the least expensive vehicle, and the highest number representing the most expensive class of vehicle.
The numbers from 1 to 999 can be used. We recommend that numbers should be used leaving "gaps" in between them. This will allow you to insert a future new class between two previously established hierarchy levels. 10. EDRB FLAG |
For those users who transmit their transactions electronically to a data center, indicate whether or not contracts with this vehicle class are to be transmitted. For contracts which have vehicle exchanges, the final vehicle on the exchange is used to determine if the contract will be transmitted.

11. DROP CATEGORY |
Enter a single alphanumeric character to indicate the type of drop charges that should be applied to this class when involved in one-way rentals. For example, the drop charges for trucks and vans may be greater than that of passenger cars. By assigning a Drop Category to the classes of trucks and vans, this pricing distinction can be set up. 12. USE IN PLANNING |
It is possible to set up classes of vehicles for which you have no actual vehicles in your fleet. For example, you may want to accept reservations for economy cars, but in reality, your smallest car is a compact. Thus, you accept a reservation for an economy and give the customer a compact. Or, you may have some classes that you prefer to exclude from the Fleet Planning Calendar. Enter:

If an amount is entered in this field, the amount will override the general Auth Pad in the estimate. In addition, the amount will be entered in the Auth Amount field in the Main Window of RA Open. 17. SURCHARGE |
For operations that charge TFFC (Tax for Fuel Conservation), normally the rate is defined in the Model Code record. However, in order to charge a different TFFC rate to certain customers, an alternative rate can be set here. Additionally, the number entered cannot be greater than the number in this field. EXAMPLE: Type 4 (RET) |

If this class of vehicles is allowed to tow another vehicle, enter the maximum gross weight that is allowed to be towed. EXAMPLE: Type 5600 (RET) NOTE: When the gross vehicle weight rating (GVWR) is entered here, it requires that the renter's personal insurance data be entered in the Insurance Data subwindow of RA Open in order to save a RA. Entering a number of days in this field affects how reservations can be booked through WebRes. The days are used to create a 'range' from the current date forward. This field is used for locations that use the multiple metroplex logic. It limits the use of multiple metroplex availability for this class by the anticipated length of the rental. For example, if the vehicle class is not available in its immediate location or metroplex, check the next level of multiple metroplexes only if the rental is anticipated to be longer than the number of days entered here. (This prevents shuttling a vehicle for a short rental.) Enter the minimum amount of rental days when using the multiple metroplex logic. User tip: Deleting Class Codes:
When a Group Code is used, and F4 is pressed to delete the Class Code, the individual records for that Class are deleted from each location that is a member of the group and its sub-groups.
User tip: Adding a Class to an on-going operation.
The following steps can be used as a guide to add a Class when an operation is on-going:
1. Create the new Class Code for all locations in Edit Class Codes. If there is a Group Code that represents all locations, use the Group Code in the Location field. That will add the Class to all the locations in the group. (shortcut EDITCLS)
2. Add the new Class to any Class Groups that should include it. (shortcut EDITCLGP)
3. Add the new Class to all the rates using the program Add Class to Rates (shortcut ADDCLASS).
4. Ask Thermeon's Support Dept. to rebuild the Planning Calendar.
User tip: When a new Class Code is added and the Fleet Planning logic is being used, the Extend Planning Calendar program (Fleet Planning Menu) must be run to set-up a calendar for that class.
Class codes that are created by the system:
When a vehicle goes one-way to a location where that vehicle class is not set up, a record is automatically created in the Class Code file for that class under the closing location code. The description will be **NEW** and all other fields will be blank except for the two Res Warning Percentage fields, they will be set to 999% (this prevents uncontrolled use of this class at a location it was not planned to be used at).
For example, assume that class XFAR is set up for Location A but not for Location B. If a one-way rental occurs where a XFAR rents at Location A and closes at Location B, a record will be automatically created in the Class Code file for Location B that looks like the one shown below. This class cannot be reserved at location B until it is formally installed and the warning percentages corrected.

It is recommended that the list of Class Codes be reviewed on a regular basis. Classes with the description **NEW** should be edited by correcting the description and entering data in all other pertinent fields.
