Use this program to enter and maintain information relating to all vendors. Each record in the Vendor File contains information such as vendor number, name, address, type, payment terms, and accumulated value of transactions. The Vendor file is used by many applications in CARS+ as well as the Accounts Payable module to ensure that all transactions and output data relating to a vendor are handled properly.
Vendors can be added to the Vendor File using any of these methods:
Because commissionable vendors may have open reservations with potential commissions, vendors cannot be deleted using this program.Instead, old vendor records are purged through the Purge Cust/Vendor Files program.
To access the Vendor File Maintenance program, type VEND (RET) at any menu "OPTION:" field or the appropriate line number from the Vendor Maintenance Menu. The screen will then display:

Enter up to 25 alphanumeric characters to indicate the Vendor Name. The name will appear on the Numeric Vendor List, the Alphabetic Vendor List, and on computer-prepared checks exactly as entered here. EXAMPLE: Type WORLD TRAVEL AGENCY (RET) Extended Name Feature: If your system is configured with the Extended Name feature, when the cursor is placed in the Name field, a special pop-up window will automatically appear for entering the name. This window allows the entry of up to 60 characters for the Vendor Name. An example is shown below: Vendor Name.......CENTRAL CITY AUTO BODY AND REPAIR SHOP Note, however, than only the firs 25 characters will show in the Vendor Name field once you have exited the window. User tip: If you use RealWorld Accounts Payable, only the first 25 characters of the name will show in AP. However, when the check prints, the entire extended name will print on the check. Vendor and Customer Linking: If the Vendor record is linked to a Customer record, attempts to make a change to the Vendor name, Address, and phone number will be blocked. A vendor can be set up with either a percentage or an amount - not both. Vendors who are subject to a Commission Plan (see Field 23) should have a default commission percent entered here. Examples: Enter a single alphanumeric character to indicate the commissions group that this vendor belongs. Your location may want to assign a Group Code by the frequency commissions are to be paid (ex. W = weekly, B = bi-weekly, M = monthly) or the week they are to be paid (ex. 1 = first week, 2 = second week, etc.). It can also be used to group vendors such as hotels, travel agencies or a travel company that may have multiple offices with different IATA numbers for each office. Thus, in a situation when multiple CDPID’s could apply to the same RA, there is a hierarchy for which CDPID takes precedence. For vendors who pre-pay in this manner, enter up to 6 alphanumeric characters representing the Customer Number of the Form of Payment used. The Edit Ticket Charge Codes program is used to set up various ticket codes that define a "profile" as to how tickets issued by this vendor are to be processed. For example, it allows the user to designate the amount of
any administrative fees to be assessed to a customer for processing tickets as well as what GL accounts should be used for ticket charges and administrative fees. Additionally, many other features can be chosen as to how the ticket processing is done including whether or not your company will accept liability, and whether or not a letter will be sent to the renter. LINKING NOTES TO VENDOR RECORDS
An optional note of up to 540 characters can be linked to a vendor by use of the Notes Subwindow of either the RA Open or Reservation programs. This note will appear to the counter agent when taking a reservation or opening a RA involving a vendor with a note. For instructions on how to link notes to vendors, see the section on Notes in the General Data Entry Instructions Chapter.
LINKING CUSTOMER AND VENDOR RECORDS
For certain CARS+ users, travel agents may need to be set up as both customers and vendors. They may be owed a commission on some transactions (vendors), and they may need to be billed for vouchers on other transactions (customers.) Fields in the Customer File involve logic that insures that the records for the same entity within the Customer File and the Vendor File remain in sync with each other.
Full explanation for these fields is in the Customer File Update chapter. IN addition to the name, address, and phone number fields, the unique fields are:
As a result, when setting up new travel agencies that need to be both Customer and Vendors, there is no need to go to the Vendor File Maintenance program. All required Vendor data may be entered on the Customer File fields.
Editing linked customer and vendor records:
When editing an existing Customer record that is set up with this link to a Vendor, changes to the following fields in the Customer record will cause the corresponding changes in the linked Vendor record:
