Use this program to:

• Change utilization percentages associated with overbooking warning messages. For example, this program can be used to alter the warning levels for the weeks around a special event or holiday. When taking reservations or renting vehicles, the percent utilization which triggers the warning message is always the default values found in the Class Codes file UNLESS temporarily changed by this program.
• Place a "black-out" (and thus prevent additional local reservations) on a class or classes for a span of dates.
• Set up an off-sell period for a class or classes. (Off sell requires the reservation agent to call the location for approval of the booking.)
• Set up a "free sell" period for a class or classes. All reservations will be accepted without any warning messages.
• When activating the Metroplex feature, use this program in "defaults also" mode to set the Warning Percentages to the same level at all locations for a given class.
• When Class Groups are defined, use this program in "defaults also" mode to set the Warning Percentages to the same level for all classes within the Class Group.
• To print a report of all future warning adjustments that have been made.
• Recall previous records
• Delete previous records

NOTE: Neither of these warnings or the black-out or off-sell are consulted when reservations are automatically merged from a national reservation system. For example, blacking out a class on your computer will not prevent the reservation merge program from accepting additional reservations for that class. These warnings and the black-out logic affect only local reservations. To black out a class with a national reservation center, you must contact them.

ADDITIONAL NOTE: Those CARS+ users who are part of a shared system (corporate entity and licensees) need to be aware that this program is subject to the firewall logic in that the user's default location must match the location code entered on the screen in order to create, edit, or delete records.

To access the Change Warning Percentages program, type CHGPCT (RET) at any"OPTION:" field or the appropriate line number on the Fleet Planning Menu. The screen will then display:

Enter data as follows:

1. LOCATION	Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location. Enter: Up to 6 alphanumeric characters to select a single location. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+". Press RETURN to accept the default location. EXAMPLE: Type TUS (RET)
2. START DATE	Using your selected date format, enter the starting date for the change in the warning levels. Press RET to default to today's date. EXAMPLE: Type 070108 (RET)
3. END DATE	Using your selected date format enter the ending date of the period of change or press RET to default to "latest" if this is a permanent change. EXAMPLE: Type 070608 (RET)
4. DEFAULTS ALSO	Default values for the Level 1 and Level 2 warning percentages (see the next fields) are displayed in the Class Codes records. Use this program to change the warning percentages temporarily for specific time periods or to update the default values in the Class Code records. User tip: Once a Class Code is saved, any changes to the warning percentages must be changed here. The warning percentage fields in the Class Code record cannot be edited directly. Enter: N = No. This is a temporary change. The warning percentages displayed in the Class Codes File will not be updated. Y = Yes. Change the warning percentages displayed in the Class Codes File to the values entered in the next 2 fields. EXAMPLE: Type N (RET) User tip: When the Recalculate Class Needs program is run, temporary changes made to the warning percentages are lost. The warning percentages are reset to the default values in the Class Code records.
5. WARNING % 1	Enter the utilization percent above which the Level 1 Warning Message will be issued: WARNING - APPROACHING FULL BOOKING EXAMPLE: Type 90 (RET) User tip: If the location for which this class is being set up is part of a metropplex group, it is highly recommended that the Warning Percentages for this class be the same for all locations within the metroplex group. For example, the Warning Percentages for the class CCAR should be the same for each location in the metroplex group. If this is not the case, the Class Availability Report may display unexpected Warning Percentage values. Additionally, if Class Groups are defined, it is highly recommended that all vehicle classes defined in a class group use the same Warning Percentage values. If this is not the case, the Class Availability Report may display unexpected Warning Percentage values. This is regardless of whether the metroplex feature is used or not. Please refer to the section titled "NOTES ON SETTING UP METROPLEX GROUPS AND CLASS GROUPS" of the manual chapter Introduction to Fleet Planning for details.
6. WARNING % 2	Enter the utilization percent above which the Level 2 Warning Message will be issued: WARNING – POSSIBLE OVERBOOKING EXAMPLE: Type 100 (RET) User tip: Please refer to the "User Tip" for field 5 above.
7. - 12. CLASS 1 - 6	Use these fields as needed to indicate the Class(es) of Vehicles you wish to change. Enter either: Up to 4 alphanumeric characters representing individual Class codes in the next six fields A Class Group in Field 7 to make the same change to all classes in that group (remember the first character of a Class Group is "+"). The word "ALL" in Field 7 to change all classes the same way. EXAMPLE: Type CCAR (RET)
13. BLACKOUT REASON	Enter up to 25 characters to explain the reason for this change in warning percents. This test will print on the Black-Out Report (see below). EXAMPLE: Type DAYTONA 500 SOLD OUT (RET)

As an example, the screen will then display:

SPECIAL WARNING PERCENTAGES:

A. SETTING UP BLACKOUTS

Blackout periods can be set up using this program. Reservations cannot be made for blackout periods, and walk up rentals are not allowed for a class that is under a blackout.T o set up a blackout, enter data as follows:

5. WARNING % 1	Enter "999" in this field. This unique percent means that the class has been blacked out. The following message will be displayed when taking a local reservation: CANNOT RESERVE VEHICLE - BLACKOUT IN EFFECT EXAMPLE: Type 999 (RET)
6. WARNING % 2	Enter "999" in this field.

When the "blackout" message appears in Reservations, the class is removed and an alternate class must be selected.

Likewise, if doing a walk-up contract in RA Open, the vehicle class will be removed from the screen and an alternate class must be selected.

B. SETTING UP OFF-SELL PERIODS - CALL LOCATION FOR APPROVAL

In a similar manner to the Blackout, an off-sell period can be defined. When attempting to make a reservation when an off-sell is in effect, the following message displays:

THIS CLASS IS ON OFF-SELL; CALL THE PICKUP LOCATION FOR APPROVAL.

(The location name and phone number will display for convenience.)

The user is then asked if the pick-up location has approved the reservation, if the answer "Y "(Yes) is given, the creation of reservation may proceed.

USER TIP: Be warned that the stop sell setting may mask the fact that the class is overbooked. When the system hits a stop sell it does not continue and check if the class is overbooked. Therefore, before answering "Yes" the pickup location should check it's availability via the Class Availability Report.

On walk-up rentals (there is no reservation) in RA Open, off-sell will produce the following warning message but will NOT prevent the rental:

C. SETTING UP FREE-SELL PERIODS

Just the opposite of the Blackout, a free-sell period can be defined during which there are no restrictions or warning messages - all reservations are accepted.

To set up a free-sell, enter data as follows:

REPORT

To print a report of all future warning percentage change records, press F8 while the cursor is in the Option field.

DELETING RECORDS

When a record is saved in this program, it is stored in a log file. To delete the record, retrieve it by either:

• Entering the same location and start/end dates
  or
• Press F2 to scroll (backwards) through the records.

Once the record is displayed, Press F4 to delete it. This results in:

1. The original changes that were made to the Planning Calendar by this record will be removed.

2. The warning percents for the classes involved will change back to the defaults that are defined in the Class code records.

3. The change record in the log file will be marked as having been cancelled.

RE-INSTATING RECORDS AFTER THE PLANNING CALENDAR HAS BEEN INITIALIZED

Occasionally the planning calendar may need to be initialized (restarted). Thermeon's Customer Support Dept. can perform this by initializing it, extending the planning calendar, and running Recalculate Class Needs.

Once the above steps have been performed, the warning percentages will have defaulted to the percentages in Edit Class Codes. Previous records that change the percentages can be restored by recalling them to this screen using F2 to scroll through them. Once the desired record is displayed, press F1 to save it to the new calendar.
