The Hold Code logic can be used to refine and control the ability to rent vehicles beyond the controls imposed by the use of Vehicle Status Codes.
The Hold Code Sub-Menu provides the user access to various Hold Code programs. The following section introduces the Hold Code features of CARS+. Refer to the individual chapters for details on each program.

Although many of the controls enforced by the use of Hold Codes are already available in CARS+ through the use of Vehicle Status Codes, the Hold Code logic further controls the ability to re-rent a vehicle and control scheduled maintenance and grounding.
Each vehicle and non-vehicle asset, regardless of status (on rent, available, in maintenance, non-rev, etc.), can have Hold Codes applied to it that control whether the unit can be re-rented or used on a Non-Rev Movement. Some Hold Codes can be set up so that they are applied and removed automatically by the system. Others may be manually applied or removed.
Use Edit Vehicle Hold Codes to create and edit Hold Codes. Since multiple Hold Codes can be placed on a unit, each Hold Code must be assigned a priority level. (The Hold Codes are applied in order of their priority.) A listing of Hold Codes can be obtained using Vehicle Hold Code Listing.
Use Edit Hold Code Messages program to create custom messages that are displayed on the RA Open, Non-Rev Movement, and/or RA Close screens when the vehicle involved has a Hold Code. A message can be a warning, and a separate message can advise that the transaction is blocked (termed “hard message”). A listing of Hold Code messages can be obtained using Vehicle Hold Code Message List.
Hold Codes can be applied in the following ways:
Note that the RA Close program does not apply a Hold Code when the vehicle checks in and the odometer or date indicate that a service is due. It is the Maintenance Warning Hold Code Update program that applies the Hold Code when it's run overnight. If the vehicle is on rent when the Hold Code is applied, upon check-in its status will change to the status defined in the Hold Code record.Hold Code Check Vehicles: This program is usually scheduled to run automatically every night and is set up by Thermeon Customer Support. (It can also be run manually from the menu.) It compares the Tab Expiration date and the Grounding Date/Odometer fields in the Vehicle File to the Hold Codes on the vehicles. Vehicle History records (Code 97) are either closed or opened accordingly. For example, if the registration renewal date had been updated on a vehicle record, this program would close the History Record that was opened for that issue.
Maintenance Warning Hold Code Update: This program is usually scheduled to run automatically every night and is set up by Thermeon Customer Support. (It can also be run manually from the menu.) A field in the Service Code file is provided to link it to a Hold Code. This update program compares the Service Code warnings to the open Hold Codes applied to vehicles. If a service (such as an oil change) is past due and the corresponding Hold Code is not on the vehicle, a Vehicle History record (Code 97) is opened and the Hold Code is applied to the vehicle. When the service is entered via the Vehicle History Update program, the history record (Code 97) is closed and the Hold Code is removed from the vehicle.
Update Vehicle Hold Codes: This program is used to manually apply or remove Hold Codes to one unit at a time.
Mass Apply Hold Code: This program is used to manually apply Hold Codes to multiple units at a time.
The Vehicle Hold Codes Report lists all open Hold Codes on the vehicles in the fleet. (Sold vehicles are always excluded from Hold Code logic.)
The Hold Code Call Report lists all vehicles with an open Hold Code which are on an open RA or Non-Revenue. The report gives the name and phone numbers of the renters so that they can be called about exchanging their vehicle for one without a Hold Code.
Vehicle History: When a Hold Code is applied to a unit, a Vehicle History record is automatically opened using Service Code 97. When the Hold Code is removed from the unit, the Vehicle History record is automatically closed.
Security: Users must have the proper security clearance to apply and remove Hold Codes. This is controlled in Select Items for Menus where a “Hold Level” is assigned to each
Menu Type. Correspondingly, when a
Hold Code is created, a minimum Hold Level is defined for adding or removing
that Hold Code.
