The Hold Code logic can be used to refine and control the ability to rent vehicles beyond the controls imposed by the use of Vehicle Status Codes. Refer to the chapter of this manual titled Introduction to Hold Codes for an overview of how this logic works.

Use this program to manually apply and remove hold codes to individual vehicles or non-vehicle assets (such as hand held GPS units).

Note that another program, Mass Apply Hold Codes, allows hold codes to be applied to or removed from several vehicles at one time.

To access the program, type UPDHOLD (RET) at any menu "OPTION:"field or the appropriate number on the Hold Code Sub-Menu (History Maintenance Menu). The screen will then display:

Immediately upon entering this program, a prompt will appear for the user's code and password. The application and removal of Hold Codes is controlled by the Hold Level assigned the User Access record.

Enter data as follows:

1a. VEHICLE NUMBER

Vehicles can either be accessed by their unit number or by their license plate number. To access a vehicle by unit number, enter up to 6 alphanumeric characters representing the unit number of the vehicle which is to have an hold code added or removed. The vehicle's license plate number will automatically be displayed in the second field.

EXAMPLE: Type F9249 (RET)

1b. LICENSE
To access a vehicle by license number, type slash "/" and up to 11 alphanumeric characters representing the license plate number of the vehicle which is to have an hold code added or removed. The vehicle's unit number will automatically be displayed in the first field.

EXAMPLE: Type /456789 (RET)

VEHICLE DATA

Data about the vehicle or unit will display in multiple fields:

Make, Model, Model Year, Current Odometer reading, Grounding Odometer, Current Location, Grounding Date, and Registration Expiration date.

CURRENT HOLD CODES

When Hold Codes are created in the Edit Vehicle Hold Codes program, each one is assigned a priority number to define its relative importance. This area of the screen is used to display the top 6 Hold Codes already in effect on the vehicle (as sorted by priority). The first 10 characters of the Hold Code description are shown along with the Vehicle History description field if applicable.

2. HOLD CODE

To apply or remove a Hold Code, enter 1 character representing the Hold Code. Or press Shift/F7 to invoke a pop-up window which displays the Hold Codes on file. Highlight the one desired and press (RET).

EXAMPLE: Type R (RET)

3. ACTION

Enter:

1 = Add this Hold Code to this vehicle.

2 = Remove this Hold Code from this vehicle.

EXAMPLE:Type 1(RET)

If the Hold Level specified in the user's User Access File record is not of a sufficient clearance level to apply or remove the Hold Codes, one of the following messages will display:

YOU DO NOT HAVE THE AUTHORITY TO APPLY THIS HOLD CODE

YOU DO NOT HAVE THE AUTHORITY TO REMOVE THIS HOLD CODE

When a Hold Code is manually applied to a vehicle, an examination of the unit's Vehicle History record is performed to determine if an open history record with a matching Hold Code is already on file for that vehicle. If a match is found, the following message displays:

THIS HOLD CODE ALREADY IS ON THE VEHICLE

If a match is not found, a new Vehicle History Record will be created when saving the “add” of the new Hold Code .

When a Hold Code is manually removed from a vehicle, another examination of the unit's Vehicle History is performed. If a matching history record for the Hold Code is found for the vehicle, removing the Hold Code will automatically update the Vehicle History with a closing date and time. If a matching history record for the Hold Code is not found, the following message will display:

THIS HOLD CODE IS NOT ON THE VEHICLE

4. REASON

Enter up to 30 characters as an explanation or reason for applying or removing the Hold Code.

EXAMPLE: Type ANNUAL RENEWAL (RET)


User tip: Some Hold Codes define a Vehicle Status that should be applied to the vehicle(s).

If the vehicle is in an "available" type status, the status of the vehicle will be changed to the status defined in the Hold Code record as soon as the hold code is applied.

If the vehicle is on rent or on a Non-Rev, the status of the vehicle will be changed to the status defined in the Hold Code record when the RA or NonRev closes.



The screen will then display:
