This control file is used to group more than one location under a single code. This concept is used in conjunction with other CARS+ programs such as:

- One Location Code, or

- The word "ALL" to select all locations on file, or

- A Group Code which allows reports to be run for a group of locations under a single code. By defining location groups, it is possible to run the following type of reports:

1. A Vehicle Status Report for available cars at just the suburban locations.

2. A DBR for just the airport locations.

3. A RA Summary report for owned locations in the northern part of the state.

- In addition, for many reports, Group Codes will trigger subtotal roll-ups (groups within groups and subtotals provided for each group level). For more information, refer to the section on Subtotal Roll-Ups at the end of this chapter.

TO DELETE A RECORD: Press F4. The following prompt will appear:

ENTER GROUP CODE TO BE DELETED:

If the number entered matches the number of the record displayed on the screen, the following prompt will appear. Enter "Y" or "N" as appropriate.

ARE YOU SURE (Y/N) ?

If the number entered does not match, the following message will display:

ENTRY DOES NOT MATCH, DELETE ABORTED

If there are unexpired Option Rate records or unexpired Percent Matrix records using the Group Code, the following message will display and the Group Code will not be deleted:

THIS CHANGE WILL TERMINATE OPTION RATES; CANNOT PROCEED


To obtain a report of the locations and groups within groups, use the Location Group Codes Report on the Print Location Control Files menu.

Changes made to records in this file are logged in the CHGLOC file which can be accessed by a Thermeon Customer Support representative.

Enter data as follows:

1. GROUP CODE

Enter the plus sign "+" followed by up to 5 alphanumeric characters as a code to indicate a group of locations. It should be noted that the first character of a group code MUST be the plus sign.

EXAMPLE: Type +SUB (RET).

2. DESCRIPTION

Enter up to 49 characters for the description of this location group.

EXAMPLE: Type SUBURBAN OWNED LOCATIONS (RET).

3. TYPE

In general, Location Groups are used on many CARS+ report programs to select a "group" of locations to be reported. In addition, special groups can be set up for specific uses with the system. This field is used to designate whether or not a Location Group triggers any special logic. Enter:

O = (Option) This Location Group Code can be used in the Edit Optional Rates program and/or the Edit Percentage Matrix program (codes used on those two programs MUST be Type "O"). This type cannot be used for any other purpose. It cannot be used in the Location field in Edit Privilege Codes.

T = For Hertz operations only. This turns on the following two features:

Gold reservations can be searched and selected if the pickup location and the user's default location are members of the same "T" group.

Additionally, members of a type "T" group are exempt from the block that can be imposed on options added to one-way RAs.

M = Metroplex group. Used only by WebPlan to identify which locations groups to chose from. Location Groups used as Metroplexes within Edit Locations do NOT need to be a Type "M" if Webplan is not used.

P = Posting group. Used by the autopost program. (Note this is used by APOST2 - location group posting. All locations in this group must have the same posting company number set against the location record in Edit Locations page 2 field 3)

W = For WebXML Webres

L = For Hertz licensees in North America, this choice is used to define which owned locations are considered 'local' by OKC for the purposes of revenue split calculations on rentals of foreign vehicles that rent one way between the licensee's owned locations. The Revenue Split for foreign vehicles rented between these locations will be the 80/20 (local rental) split. By setting up the Group, the revenue splits between your owned locations will correspond to the splits that OKC calculates.

Blank = This Location Group is not used for any of the above special purposes. It can be used on any other Control File record.

EXAMPLE: Type O (RET)

User tip: All Location Groups defined here can be used on any CARS+ report to select locations to be reported. That is even those groups that are defined primarily for Options can be used on any report even those that have nothing to do with options. But an Option Location Group cannot be used as a metroplex group or as part of a Special Document record. If a program requires a ceratin type of Location Group, not only must the Location Group entered be of the correct type, but all sub-groups that are members of that group must have the same Type Code.

User Warning: Changing the Type on an existing Location Group may cause records that use that Group Code to no longer be "seen" by the system. For example, if Location Group +SUB has a blank Type and is currently used to set up Special Documents for the suburban locations, changing it's Type Code to "O" so that it can be used for Option Rates, will cause all Special Documents with +SUB as their Location Group to become invalid.

In these fields enter the Location Codes of locations that belong to this group. The following codes may be used

a. Owned locations defined in the Location File.

b. Foreign locations defined in the Customer File.

c. Other location groups (that is a Location Group can be a member of a larger location group). . However, for metroplex purposes, a Group Code may not have other groups as members. All members of the metroplex group must be individual locations.

Note: Although CARS+ can have an unlimited number of locations, there is a limit on Location Groups. All locations involved in a group (including all locations in sub-groups) cannot exceed 500.

SUBTOTAL ROLL-UPS


Operations with multiple locations are often interested in running reports with subtotals by geographic divisions such as:


This is done by creating multiple levels of location groups (remember, a group can be part of another group). Reports with subtotal roll-ups will print subtotals for each group level. For example, a report run for the group which represents the entire country gives a grand total for the entire operation and includes subtotals for each region. Within each region, subtotals are shown for each state or province. Within each state/province, subtotals are shown for each city. Within each city, subtotals are shown for each location.

To illustrate this, an example is shown below. Observations follow the example.

Observations:

Locations 1, 2 and 3 roll up to a city group, +CITY1.

Locations 21 and 22 roll up to another city group, +CITY2.

The city groups +CITY1 and +CITY2 roll up to an area group, +AREA1.

The area groups AREA1 and AREA2 roll up to a regional group +REGN1

Finally, the regional groups roll up to a group for the entire operation, +ALL.

In a report that supports rolled-up subtotals, the subtotals will appear in the order illustrated in the chart above.
