Use this program to produce a report of all lease contracts that were closed manually by RA Close or Batch Close RA rather than through the Lease Cloning program. Generally, these are the RAs for the final period of the lease agreement.

This report is produced by the program examining the closed lease contracts in the RA file.

To access the program, type CLSEARLY (RET) at any menu "OPTION:" field or the appropriate number on the Leasing Menu. The screen will then display:

1. LOCATION

1. Up to 6 alphanumeric characters to select a single location.

2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".

3. Press RETURN to include "ALL" locations

Using your selected date format, enter the beginning date for the date range. Press RET to default to the first day of the current month.

Closing the Final RA in a Lease Agreement

By definition, leases are invoiced at the start of the rental period not at the close as is the case with rental RAs. Therefore, a twelve month lease from 01-01-11 through 12-31-11 on a monthly billing cycle will be invoiced 12 times. On December 1st, the Lease Cloning program will close out the November RA and create a new RA for the 31 days of December. An invoice for that 31 day period will be created and posted on that date as well. When the client finally returns the vehicle on December 31st and the program RA Close is used to close the final RA:

  1. RA Close WILL NOT recalculate any rental charges. This RA had it's revenue invoiced on the 1st. This is true even if the renter returns the vehicle early.
  2. Any existing invoice or Fiscal Notice that was printed at the time the RA was created (December 1st) will NOT be required to be canceled.
  3. The closed RA will appear on the Lease Closed Early Report.
