Use this program to:

The Following Set Up is Required:

1. Goals for employees to reach in making option sales must be set in the Edit Employee Incentive control file. These goals or "targets" specify a volume of sales for various options that can be expressed as a number of RAs, a number of sales days, or a percentage of sales to be obtained.

2. In addition, Edit Incentive Control Record can be used to further refine how incentives will be calculated.

3. Finally, before this report can be run, the Update Revenue Incentives program must be run (often as desired) to calculate the appropriate incentive pay earned from meeting the sales targets. As this program can involve a significant amount of calculations, usually is it scheduled by the Report Driver to be run every night when system resource demands are low.

The Revenue Incentive Report is used to report an employee's progress in reaching the "targets" and to report the incentive pay earned by the employee for the month.

Another version of this program, the Individual Revenue Incentive Report, (Individual Sales Reports Sub-Menu of the Daily Procedures Menu) can be used by employees to check their progress. In the "individual" version, the report can be run only for the employee accessing the report.


WARNING CONCERNING OPTION PACKAGES

The use of Option Packages (not Option Bundles) may negatively impact this report. Please see the warning section at the end of the chapter, Overview - Option Discounts, Bundles and Packages for a more detailed explanation of the impact of the Option Package logic on this and other reports.


To access the program, type REVRPT (RET) at any menu "OPTION:" field or the appropriate number on the Incentives Sub-Menu of the Month End Menu. The screen will then display:

Enter up to 6 characters for a single user code or press (RET) to run the report for ALL users.

2. START DATE

The Extra Revenue Report is used to generate Employee Incentive records. These are based on closed RA and edits to posted RAs. The Revenue Incentive Report reads the records in the Employee Incentive file.

Using your selected date format, enter the starting date for records that will be reported. Press RET to default to today's date.

3. END DATE

Using the selected date format, enter the Ending Date.

EXAMPLE: Type 093007 (RET)

4. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location. Enter:

  1. Up to 6 alphanumeric characters to select a single location where the RAs were opened.
  2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to default to ALL locations.

5. INCLUDE COMPARISON

This field allows a comparison of the requested month to the same number of days in the previous month. Enter:

Y = Yes, include comparison data

N = No, do not include comparison data

6. CREATE TEXT FILE

This field allows you to export the data to a csv file (a comma delimited). When “Y” is entered in this field, the previous field for comparison data must be set to “N”

Y = Yes, export the data

N = No, do not export the data

Support & User tip: The file is created in the extrev directory..The file name is:.REVyymmddhhmm.location code

7. INDENT AFTER EMPL

Enter:

Y = Yes. The employee code and location should be shown only on the first line of data for each sort change.

N = No. The employee code and location should be shown on each line of data reported. (This is helpful for spreadsheet resorting purposes.)

8. PRINT/DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer. See the Edit Terminal Records Chapter for instructions on how to assign printers.

D = Display this report on this screen. See the General Data Entry Instructions Chapter on how to control the screen display.

9. DETAIL/ SUMMARY
This field determines whether a detailed or summary version of the report is run. Refer to the section below titled "Notes about this report" for more information about each version. Enter:

D = run a detail version of the report. ( A detailed version must be selected when requesting a text file.)

S = run a summary version of the report.

If run in detail, the following data is shown:

Number of possible RAs where the option could have been sold - (this number is determined by how Edit Incentive Control Record is defined)

Number sold - of those counted above, the number of RAs with the Option sold by the Employee being reported

Days Possible - Total number of days on the possible RAs

Days sold - Total number of days on the RAs on which the Option was sold

Percentage of Penetration - Number of RAs sold divided by the number possible

Revenue sold - total Option revenue

Target: This is the target that has been met. If a target has not been met, it will be Target 1.

Incentive: This field shows the incentive which is either per day, per RA, or a percentage.

Incentive earned: This is the calculated incentive based on the target reached.

Next target: Next target, if any.

Next incentive: Next incentive, if any.

The following special character have the meanings described:

A hyphen ( - ) prints to indicate the employee did not meet the level 1 target

A plus sign ( + ) prints if the option has only two targets and the first target was met or the option has 3 target levels and either the first or second target was met.

An asterisk ( * ) prints when the highest target was met.

Subtotals are shown for the Revenue and Incentive Earned columns.

When “All L Types” is selected on the Extra Revenue Report, the incentive is calculated on all L type options combined together.


If sent to a text file, the following additional data is included:

Days possible (for all RAs counted as a possible sales, the days possible is the lesser of the elapsed days on the RA or the Max Days on the Option record.)
Revenue amount
Incentive amount

If run in summary, the report format is:

RAs are sorted by the renting location first and then by the employee

The Y axis (column on left side) lists the renting locations and employees; a subtotal is shown for each location.

The X axis (in a row across the top) shows the employee, user's last name and first name, up to 10 options (each showing the number of RAs on which the option was sold), Revenue, and earned incentive.


A field in the Edit User Access record can be used to enter the user’s payroll employee number. When data is entered in that field, it is used on this report instead of the user code.

WHEN THE REPORTED NUMBERS DO NOT LOOK RIGHT

There are two types of reports in CARS+:

Those that read the actual source data files

And those that read a summary file of data based on actual source data files.

For example, the Extra Revenue Report reads the actual Rental Agreement file to find the incremental sales. But because the selling agent can be the res agent, the RA's Opening agent or even an employee who added an option at a later time, it can require a significant amount of system processing time to find records and "crunch" the numbers. The Revenue Incentive Report on the other hand does NOT read the RA file but rather a summary file of rental data. Data is placed in this summary file by the Update Revenue Incentive program.

Update Revenue Incentive program calls the Extra Revenue Report in "update mode". So in theory the Extra Revenue Report and Incentive Reports should produce the same output. If the numbers in the Incentive Report do not look correct, try the following:

  1. Manually run Update Revenue Incentive to make sure the summary data file is up to date.
  2. Run the Extra Revenue Report for the period in question. Be sure to run the report in the same way the Edit Incentive Control Record is defined.
  3. Run the Extra Revenue Report in detail mode so that each RA is reported and it's sells opportunity is defined.
