Often times when a new location is added to CARS+, its data can be modeled after that of an existing location. Additionally, a change at one location may need to be made in other locations.

When setting up a new location through this program, there are several other records that must be manually set up in order for the new location to be fully operational such as:

Refer to the chapter Overview - Adding a New Location for a list. Additionally, there are many other records that offer the option of being Location sensitive such as IT records, Option rates, fuel, etc.

User tip: To copy only Class Codes from one location to another, use the program Clone Class Codes on the Fleet Control Files Menu.

User tip: If reservations from another location should be transferred to the new location, use the Change Res Location program to transfer them as of a certain pick up date.

To access this program: To access the Clone Locations program, type CLONELOC (RET) at any menu "OPTION:" field or the appropriate line number on the Location Control Files menu. The screen will then display:

Enter data as follows:

1. FROM LOCATION

Enter up to 6 alphanumeric characters representing the Location Code from which data will be copied.

EXAMPLE: Type TUS (RET).

2. TO LOCATION

If copying data from one location to another existing location, enter up to 6 alphanumeric characters to select an existing location.

EXAMPLE: Type SNA (RET).

When the location entered in this field already exists, the following question will display:

LOCATION GEN ALREADY EXISTS; DO YOU WANT TO RE-WRITE IT? Y/N

Enter:

N = clear the data entered in Fields 1 and 2.

Y = proceed with cloning the data.


If copying data from one location to a group of locations, enter the group code (beginning with the plus sign "+".)

EXAMPLE: Type +SOCA (RET).


If copying data in order to create a new location, enter up to 6 alphanumeric characters representing a new Location Code to be created. A new location record will be set up. All fields in the record of the "From Location" will be copied to the new location EXCEPT for the following:

  • Address
  • Phone
  • RA number range
  • 7 digit location code
  • Next Non-Rev #
  • Fax number
  • Insurance RA number range
  • Contact phone
  • Contact
  • Fed Tax ID
  • E-mail
  • Lease number range

3. LOCATION DESC

If creating a new location, enter up to 20 alphanumeric characters for the location name.

EXAMPLE: Type ORANGE COUNTY AIRPT (RET).

4. CLONE MISC/REMIB ACCOUNTS

Enter:

Y = Yes, copy the Miscellaneous and Reimbursement accounts.

N = No, don't copy them.

EXAMPLE: Type Y (RET).

5. CLONE OPTION RATES

Enter:

Y = Yes, copy the Option Rates records.

N = No, don't copy them.

EXAMPLE: Type: Y (RET)

6. CLONE VEHICLE CLASSES

Enter:

Y = Yes, copy the Vehicle Class Codes.

N = No, don't copy them.

EXAMPLE: Type: Y (RET)

7. CLONE DROP CHARGES

Enter:

Y = Yes, copy the Drop Charge records.

N = No, don't copy them.

EXAMPLE: Type: Y (RET)

8. CLONE RES CONVERSIONS

Enter:

Y = Yes, copy the Reservation Conversion records.

N = No, don't copy them.

EXAMPLE: Type: Y (RET)

9. CLONE GL CODES

This field and the next one are used to clone existing GL accounts in the Valid GL File with a new profit center, enter:

Y = Yes, clone the GL accounts and use the new profit center entered in the next field.

N = No, don't copy them.

EXAMPLE: Type: Y (RET)

10. GL PROFIT CENTER

If the previous field is marked with "Y", enter the new profit center that should be assigned to this location.

EXAMPLE: Type: 101 (RET)

User tip: Remember that this feature adds the new accounts to the Valid GL Account file only. If using GL, new accounts will need to be added to the GL Chart of Accounts and the financial statement layouts.

11. OVERWRITE EXISTING? Y/N

Enter:

Y = Yes, overwrite the existing data with the data from the "Clone From" location.

WARNING: When cloning to an existing location, answer Y in this field will cause the data in the Location record of the "Clone to" location to be replaced with the data from the "Clone From" location.

N = No, do not overwrite existing data; just add new data.

EXAMPLE: Type N (RET).

12. COMPANY NUMBER
This field is used to copy location data from one data base (Company) to another. For example, after setting up a new rental location in Company 00 (the production renting data base), this program can be used to copy that same location over to Company 99 (the training data base). If this field is left blank, data is reproduced in the company the user is currently sign in to.

To copy data into another company:

Enter the same Location Code in fields 1 and 2.

Then in this field enter the Company number of the destination date base. The name of the data base will display to the right of this field.

EXAMPLE: Type 99 (RET)

The screen will then display:
