Entering a transaction with a more recent date/time or odometer with the following programs will cause an RA to be flagged as "questionable".
1. Make Vehicle Available - Using this program to change a vehicle's status from "O" to "A" will cause the related RA to be flagged.
2. Batch Open RA - Batch opening a new rental agreement with a more recent Date/Time will cause a previously opened (unclosed) RA using that vehicle to be flagged.
3. Opening a RA - opening an on-line RA for a vehicle that is already on another open RA will cause the earlier RA to be flagged.
3. Vehicle History Update - If a service record is entered with a more recent date/time or odometer, any open RA involving that vehicle will be flagged.
4. Close Foreign RA - If you close a foreign RA involving one of your vehicles (a rent-back) and there is still an open RA on file, that RA will be flagged as questionable.
5. Open a Non-Rev Movement for the vehicle while there is still an open RA and the Non-Rev has a more recent date will cause the RA to be flagged as questionable.
6. Entering a different status for a vehicle in Physical Inventory.
Some questionable RAs are as a result of one-way rentals where the vehicle has been returned to your site before you have the data necessary to batch close your original rental agreement.
Planning Calendar - When the same vehicle is on 2 or more open RAs with overlapping times, multiple commitments are
counted for the same unit. Thus, the planning calendar numbers will
be wrong. Use the Questionable RA Report as a
source to find multiple-rent vehicles.
The Questionable RAs Report is used by management to control these "questionable" transactions. In the case where a vehicle is currently listed on more than one RA, this report will list the vehicle number, all open rental agreements, employee who entered the contract and the date/time of opening. When more than one open RA lists the same vehicle, the RA's determined not to be the current transaction have a question mark attached to the RA number.
Preprinted RAs: A field in the Edit Misc. Fields program or the Location record can be used to designate what
status a RA goes into when it is pre-printed. If it goes to "O" status
and the vehicle is used for a different rental, the pre-print becomes
'questionable'. To list the preprinted RAs that are in questionable status, the Questionable RAs report can be run with a date range.
After researching why the RA is in questionable status and resolving the situation, the questionable flag should be removed from the RA. To remove the questionable flag from a RA, resave the RA in the Edit Opening Fields program.
User tip: This report may be configured to run automatically at night. Users interested in this feature should contact Thermeon's Customer Support Dept. for further information.
User tip: The Auto-Close Questionable RAs program can be used to close past-due questionable RAs and the Auto Close Questionable RAs Report lists those closes.
User tip: The Questionable RA Report lists open RAs in questionable status. When a RA that has been flagged as "questionable" is closed without the questionable flag having first been removed, the fact that it closed in a state where it was flagged as "questionable" is shown on the RA Summary Report with a question mark following the RA number. This indicates that the some other data in the system may still be in error.
