WARNING: Once this feature is set, it cannot be reversed! Thermeon Customer Support will first load this on the clients training company where the client can test properly as well as all XML booking before this should be loaded on the live server.
In some parts of the world, the typical home or business address has more components than the typical address fields provided on the RA Open screen, Customer record and Vendor record. CARS+ accommodates these addresses through a feature where additional address fields can be used. The addresses affected include:
When the extended address feature is enabled, the normal address fields (such as in the RA Open screen) are inaccessible. Instead, when the cursor is placed in the address field, a pop-up window displays enabling the entry of an "extended address" as defined in this program.
TYPES OF EXTENSIONS GAINED THROUGH EXTENDED ADDRESS MODE
A. More fields for an address
The Select Address Fields program provides up to 10 fields for an address. Besides the standard fields of street address, city, and state, additional fields are provided for such things as building, locality, and county. Use this program to select fields you want to use.
B. More characters per field
In the extended address mode, the fields allow for more characters. For example, in the standard address mode of CARS+, the street address is limited to 30 characters. In the expanded mode, it allows up to 60 characters. Below is a listing of the fields and the characters allowed:
Field # of characters Building 60 Apartment 60 Street 60 Locality 60 Town 60 City 60 County 60 State 4 Country 4 Postal Code 12
C. More types of addresses
Using the program Edit Address Types, several addresses can be set up for one customer, vendor, or location. The customer file already provides for a home address and an employer's address. However, with the expanded address feature a mailing address (such as a post office box) can be set up. Up to 99 address types can be defined in the syste
Note: Setting up of Edit Address Types (1-10) will occur when the CVTADR is run per step II, B (Edit Address Types) below.
PROGRAMS AFFECTED
The extended address fields apply to the following programs:
II. SET UP

In the column "Req" (Require) using "Y" for Yes and "N" for No, indicate which fields should be required.

User tip: The fields selected here apply to all types of addresses. That is, certain fields cannot be selected for the Customer home address and different fields for the Location address.
User tip: Users should ignore the "Print" columns on the right side of the screen. These are used by Thermeon staff to determine how to format the extended address fields on certain RA print programs.
PRESS "F1"AT "OPTION" TO SAVE.
This program is used to create various address types. Once created, select which address types are required in order to create a new customer record. The various address types can be used as selections on the Selected Customer Reports program and can be used to print Customer Labels.

See NOTE below.4 Location address 5-9 Reserved for future use 10 - 99 Available for use
C. After the above two files are set up (Address Fields and Address Types), contact Thermeon's Customer Support Dept. to enable the extended address logic.
NOTE: For direct bill customers, Address Type 3 displays in page 1, Fields 4 - 8 of the Customer Record. When a person has an Address Type 2 (Employer), it displays in Page 1, Fields 14 - 17 of the Customer Record.
III. ENTERING AN ADDRESS
When the system is configured to accommodate the "extended address" feature, an address pop-up window will automatically appear when accessing the address fields in the following programs:
An exception is made for RAs. The address window pops-up automatically when opening a new RA. However, when viewing an existing RA, it will not display automatically. To display the address window, place the cursor in the address field and press Shift/F7.
A typical address pop-up window is shown below. (The actual fields shown on your screen will depend upon which fields were chosen in the Select Address Fields program.)
| OPTION: __ EDIT ADDRESS 1 Address Type 1 HOME ADDRESS 2 Building 3 Apartment/Suite 4 Street 5 Locality 6 Town 7 City 8 County 9 State 10 Country 11 Postal Code 1SAVE 2NEXT 3ERASE 4DELETE 5 6 7HELP 8 |
HERTZ MEXICO:
For Hertz Mexico, the order in which the fields appear differs from the above due to the GVT record CHECKZIP being set up. The Country Code and Postal Code fields will appear first. If there are any records in their respective Zip Code File, the postal code and country code entered are validated against the file.
When a matching record is found and there is more than one record with the zip code, an automatic search displays all records with that zip code. The user then must select the appropriate one. The remaining address fields from the Zip Code File are loaded in display only mode.
If a matching record is not found, the following message displays:
Enter data as follows:INVALID ZIP CODE FOR COUNTRY
| 1. ADDRESS TYPE |
Enter a Type Code number. Up to 99 address types can be defined. Type Codes 1 - 9 are reserved as follows: 1 = Home address 2 = Employer address 3 = Billing address (used for Direct Bill Customers, Vendors) 4 = Location address 5-9 = Reserved for future use 10-99 = Available for your use User tip: Direct Bill customers use address type 3 as their main address. Once the type 3 address is entered, it will display in Fields 4 -8 on page 1 of the Customer record. When using a direct bill customer on RA Open, it is assumed it will have a Type 3 address. EXAMPLE: Type 1 (RET) |
|
2. - 11. |
Enter address data in the appropriate fields. Fields 2 - 8 each accept up to 60 characters. Fields 9 and 10 each accept up to 4 characters, and Field 10 accepts up to 12 characters. Required fields are: Street, City, State, and possibly postal code.
|
| State and Country Fields: | The country is always entered in the country field. For those countries that do not use states, the state field should be left blank. For those countries that do use states, once the state code is entered into the state field, the country code will automatically display in the country field and cannot be edited. To search the states, enter the country code first, then place the cursor in the state field and press Shift/F7. The search will be limited to the states that are set up for that country. The name of the state and the country will display to the right of the code. |
After pressing "F1" at the "OPTION" to save, the address window will be automatically cleared from the screen and the cursor will advance to the next field. Although the extended address is stored when this procedure is followed, the standard address fields will continue to display in the various programs. An illustration of this point follows.
For example, assume on the RA Open screen that the extended address pop-up window was completed as shown below:
| OPTION: __ EDIT ADDRESS 1 Address Type 1 HOME ADDRESS 2 Building SOUTH TOWER 3 Apartment/Suite APT. 1456 4 Street 115 SOUTHWEST JOHN F KENNEDY BLVD 5 Locality 6 Town 7 City NORTH GREEN MOUNTAIN FALLS 8 County FARMINGTON 9 State VT VERMONT 10 Country USA UNITED STATES OF AMERICA 11 Postal Code 05222 1SAVE 2NEXT 3ERASE 4DELETE 5 6 7HELP 8 |
After pressing F1 to save, the pop-up window disappears and you are returned to the Main window which would look like this.

IV. EDITING AN ADDRESS
A. RA OPEN OR RESERVATIONS
Once data is entered in the extended address window, all editing must be done by accessing it again by pressing Shift/F7 from the address field. This is the only way that addresses can be edited.
If an attempt is made to edit the address directly from the Address fields, the message 'CHANGE NOT ALLOWED" displays.
B.CUSTOMER FILE
When a customer's record is accessed from the Customer File, the extended address pop-up window displays automatically when the cursor is placed in the Address field. Edits can be done at any time in the pop-up window.
V. ENHANCING PRINT PROGRAMS
Although standard CARS+ programs can support both normal and extended addresses, the following print programs may need to be enhanced to use the extended address fields:
