Use this program to obtain a report of prepaid fuel sales on closed and posted RAs which can be run in detail or in summary.

If run in detail, the report lists each RA with prepaid fuel revenue, the fuel levels at Open and at Close, the amount of fuel in the tank at Close, and the gross fuel revenue for each RA.

If sorted by employee, subtotals are provided for each employee showing their half tank sales, full tank sales, and total sales (number of RA’s, the average amount of fuel left in the tank at Close on the employee’s RAs, and the total fuel revenue for the employee.)

The final section shows the number of RAs (and the corresponding percentage) that returned at each tank level. This final section is show 3 times:for half-tank sales, full –tank sales, and total sales.

This report can be used for analysis to determine the pricing of fuel for future prepaid fuel sales.

To access the Prepaid Fuel Report, type PPFRPT (RET) at any menu "OPTION:" field or the appropriate line number on the Incremental Sales submenu of the Month End Menu. The screen will then display:

Enter data as follows:

1. START DATE

Using your selected date format, enter the Starting DBR Date. Press RET to default to today's date.

EXAMPLE: Type 090107 (RET)

2. END DATE

Using your selected date format, enter the Ending DBR Date. Press RET to default to today's date.

EXAMPLE: Type 093007 (RET)

3. LOCATION

Enter:

  1. Up to 6 alphanumeric characters to select a single opening location.
  2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to default to ALL locations.

4. SORT ORDER

Enter the appropriate number to select how the data will be sorted on the report.

1 = Sort by the opening employee code

2 = Sort by the RA number

EXAMPLE: Type 1 (RET)

5. DETAIL/ SUMMARY

Indicate whether the report should print in detail (listing each RA) or in summary. Enter:.

D = Detail; list each RA

S = Summary; show totals only.

DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer. See the Edit Terminal Records Chapter for instructions on how to assign printers.

D = Display this report on your screen. See the General Data Entry Instructions Chapter on how to control the screen display.

Notes about the report:

If run in detail, the following data is shown for each RA:

RA number

Opening Employee

RA’s Closing DBR Date

Opening Location

Tank level at Open

Tank level at Close

Amount of fuel in the tank at Close

Gross fuel revenue (the prepaid fuel charge on the RA); if fuel was included in the rate, “INCL” prints in this column.

If sorted by Employee, subtotals for each employee show in each section (Half-tank sales,; full-tank sales; total sales):

Number of RAs opened by the employee

Average amount of fuel at Close for the employee’s RAs

Total prepaid fuel revenue for the employee

Overall totals are shown for the same items as for each employee.

The final section shows the number and percentage of RAs returned at each tank level with a separate analysis for Half-tank sales, full-tank sales and total sales.

User tip: The following RAs that had prepaid fuel sold at Open are not included in the report:

A. RAs where the distance driven was less than the prepaid minimum miles/kms defined in the Edit Miscellaneous Control Fields record.

B. RAs where the topping off fee was charged at Close instead of the prepaid fuel.

C. RAs where the prepaid fuel charge was edited to zero.
