Use this program to report damage claims that are currently open.
  • Obtain a listing of damage reports that are incomplete, complete, or unreported (no RA # or Non-Rev # associated with the damage report).
  • Obtain a listing of damage reports by claim type.

To access the Vehicle Incident Clearance Report, type VICRPT(RET) at any menu "OPTION:"field or the appropriate line number on the Damage Tracking Sub-Menu. The screen will then display:

Enter data as follows:

1. VIR STATUS
This field refers to the status of the Damage Report. To limit the report to a single damage report status, enter:
C = completed
I = incomplete
U = unreported (no RA # or Non-Rev # associated with the damage report)
A = all statuses

2. CLAIM TYPE
Claim Status Codes are created in Edit Claim Status Code Records program.

When the "Ausie Rules" flag is turned on in the Edit Misc. Control Fields record, a field on the Damage Report displays the status of the claim. In order to progress to the next higher claim level, the requirements for the ones previous to that level have to be met. For example, a claim cannot go to status '4' without having the "Report Checked" field set to "Y".

Enter one of the following or leave this field blank to include all.

0 = The damage report status is U (unreported). Refer to the Damage Report Status field below.

1 = The damage report status is I (incomplete).

2 = The damage report status is C (complete) but there is not a work order for the damage report.

3 = The damage report status is C, there is a work order, but the Damage Report field "Report Checked" is not Y.

4 = The External Claim field is set to "Y", but the External Closed field is not set to "Y".

5 = There is an amount in the Damage Report field "Amount Outstanding".

6 = There is a negative amount in the Damage Report field "Amount Outstanding".

7 = All of the above criteria are met.

3. LOCATION

To limit the report to damage reports associated with a particular location, enter up to 6 alphanumeric characters to indicate the "damage" location. The "damage" location is determined as follows:

When the damage report is linked to a RA, it is the renting location.
When the damage report is linked to a Non-Rev Movement, it is the check out location.
In all other cases, it is set to the location of the user who creates the damage report

Enter a Location Group Name to select records associated with a group of locations. In addition, for this report, a Location Group will trigger "subtotal roll-ups" (if the group contains groups within groups, subtotals will print for each group level). For more information on this feature, refer to the section on Subtotal Roll-Ups at the end of the Edit Group Names chapter.

Press RETURN to default to ALL locations.

4. START DATE

Using the selected date format, enter the starting damage date. Press RET to default to today's date.

EXAMPLE: Type 070109 (RET)

5. END DATE

Using the selected date format, enter the ending damage date. Press RET to default to today's date.

6. ASSIGNED TO 3RD PARTY

This field refers to 3rd party (external) claims. Enter:

Y = List only those damage reports with a 3rd party claim.
N = List only those damage report that do not have a 3rd party claim.
A = List all damage reports regardless of external claims.

7. PRINT/
DISPLAY

Enter:

P = Print a hard copy of this report on the terminal's assigned printer or send the report as an e-mail. See the Edit Terminal Records Chapter for instructions on how to assign printers and send reports as e-mails.

D = Display this report on the screen. See the General Data Entry Instructions Chapter on how to control the screen display.
