CARS+ can keep track of 10 periodic maintenance items for each vehicle in your fleet. Maintenance warnings are issued when pre-set elapsed mileage or calendar time is exceeded from when the service was last performed. Mileage and Time parameters are set in the Service Code File and selected by flags in each vehicle record in the Inventory File.

Use this program to:

Vehicle Maintenance Warning Reports can be produced for all vehicles in your fleet, a specific range of Vehicle Inventory numbers, Vehicle Classes or Makes, and Current Location. The Warning Report can cover a single Service Code maintenance item or any range of codes. For Service Codes that are strictly time based, the report can be run in a mode where a future date is entered and work due as of that date will be listed.

For each vehicle within the range of vehicles selected, the following checks are made to determine if the vehicle should be listed. For the sake of illustration, assume that a Warning Report is being made for those vehicles needing an oil change.

1. CARS+ reads a Vehicle Inventory record to find the Current Odometer reading and the Service Code flag for oil changes.

2. The Vehicle History File is read to find the most recent history record of an oil change, if any. CARS+ then compares the odometer reading and date of this record with the current odometer and date to arrive at elapsed time and mileage figures.

3. If no history record for an oil change is found, the system will compare the current odometer and date with the purchase odometer and purchase date.

4. If either the elapsed time or mileage calculated in steps 2 or 3 above exceed the allowable range, an oil change warning for this vehicle is printed on the Warning Report.

In order for your Vehicle Maintenance Warning Report to function properly, the following steps must be taken:

1. All desired maintenance acts must be entered into the Service Code File

2. Service Code Flags must be set in each Vehicle Inventory record. These flags indicate which maintenance acts are to be used and which of the three possible elapsed mileage and time limits apply.

3. ALL maintenance acts MUST be entered into the Vehicle History File.

4. Vehicles must have a purchase odometer and purchase date entered in their Vehicle Inventory Control record.

THE VEHICLE MAINTENANCE WARNING REPORT WILL ONLY BE AS ACCURATE AS YOUR CONSISTANCY IN ENTERING ALL MAINTENANCE ACTS IN THE VEHICLE HISTORY FILE.

To access the Vehicle Maintenance Warning Report program, type WARNRPT (RET) at any menu "OPTION:" field or the appropriate line number on the History/Maintenance Menu. The screen will then display:

Enter data as follows:

1. STARTING DATE

Using your selected date format, enter the Starting Date. Vehicles whose odometer date is earlier than this date will not appear on the report. By setting this date several weeks in the past, you may eliminate vehicles which are not in your current working fleet from being reported. Recommended: Press (RET) to accept the default of "EARLIEST".

2. ENDING DATE

Using your selected date format, enter the Ending Date. Vehicles with odometer dates which are later than this date will not appear on this report. By setting this date in the past, vehicles which are currently active will be eliminated and only inactive vehicles will be reported. Recommended: Press (RET) to accept the default of "LATEST".

The Starting and Ending Dates eliminate vehicles from being reported based on a date that may not be familiar to the user. Many of those eliminated vehicles may be past due on a particular service act and as a result can be lost. Therefore, it is suggested that you always use the default values for both of these fields.

3. STARTING VEHICLE

Enter up to 6 alphanumeric characters to indicate the Starting Vehicle. Press RET to default to the First Vehicle on file.

4. ENDING VEHICLE

Enter up to 6 alphanumeric characters to indicate the Ending Vehicle. Press RET to default to the Last Vehicle on file.

EXAMPLE: Type 14200 (RET)

5. CLASS

Enter up to 4 alphanumeric characters to indicate the Class of vehicles. Press RET to default to All Classes.

EXAMPLE: Type E (RET)

6. MAKE

Enter up to 8 alphanumeric characters to indicate the Make of the vehicle. Press RET to default to All Makes.

EXAMPLE: Type FORD (RET)

7. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location.

Enter:

1. Up to 6 alphanumeric characters to select vehicles currently at a single location either foreign or owned.

2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".

3. Press RETURN to default to ALL locations.

Note: Your user access may be limited as to the locations for which you can run this report. If your access is restricted and you attempt to enter a location or location group which is outside your allowed parameters, the following message will be displayed at the bottom of the screen and your selection will be ignored:

8. STATUS

To limit the report to vehicles in a particular status, enter 1 alpha character to select only those vehicles currently in that status. By design, sold vehicles will never appear on this report. Press RET to default to all statuses except sold.

9. START SERVICE CODE

Enter up to 2 numeric characters to indicate the Starting Service Code.

EXAMPLE: Type 1 (RET)

10. END SERVICE CODE

Enter up to 2 numeric characters to indicate the Ending Service Code.

EXAMPLE: Type 5 (RET)

User tip: The Service Code numbers entered in Fields 9 and 10 can range from 01 to 89 if desired. When any Service Codes in the range of 11 to 89 are selected, Open Service Tickets will be included in the report for the vehicle's selected. Open Service Tickets with a date (start date) that is earlier than or equal to the date entered in Field 14 will be included.

11. SORT ORDER

Enter 1 alpha character to indicate the sort order.

L = Location

V = Vehicle

12. SEPARATE PAGE(S)

Enter 1 alpha character to select whether or not you wish to print each vehicle on a separate page.

Y = Insert a page break after each vehicle. Therefore, each page can be used as a separate work order.

N = Do not insert a page break after each vehicle.

DISPLAY

P = Print a hard copy of this report on your terminal's assigned printer. See the Edit Terminal Records Chapter for instructions on how to assign printers.

D = Display this report on your terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

14. WORK DUE AS OF

For those service flags that are strictly time based, such as an annual inspection, this field can be used to enter a future date. For example, if you wanted a report of which vehicles will be due for their inspection next month, you would enter the last day of the upcoming month in this field.
