The Reservation Departure Report is used to report open reservations. The report can be run in a variety of ways such as:

To access the Reservation Departure Manifest program, type RESDEPT (RET) at any menu "OPTION:" field or the appropriate line number on the Additional Reservation Programs Menu. The screen will then display:

Enter data as follows:

1. START DATE

Using the selected date format, enter the starting pick up date. Press RET to default to today's date.

2. START TIME

Using the selected time format, enter the starting pick up time. Press RET to default to 12:00 midnight.

EXAMPLE: Press (RET)

3. END DATE

Using the selected date format, enter the ending pick up date. Press RET to default to today's date.

4. END TIME

Using the selected time format, enter the ending pick up time. Press RET to default to 11:59PM.

5. SHOW QUOTED RATES

Enter:

N = No, do not include quoted rates.

Y = Yes, include quoted rates in a second row of data for each reservation.

EXAMPLE: Type N (RET)

6. RES STATUS
Enter:

O = Limit the report to open reservations.

F = Limit the report to filled reservations.

B = Include both open and filled reservations.

7. LOCATION

Enter up to 6 alphanumeric characters to indicate the pickup location. Enter:

  1. Up to 6 alphanumeric characters to select reservations for a single location.
  2. A Group Name representing several locations (see the chapter Edit Group Names for a discussion on location groups).Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to accept the default location.

8. SORT ORDER

Enter:

1 = Sort by pickup date, then by class.

2 = Sort by location, then by pickup date, then by class.

3 = Sort by rate code, then by location, then by pick up date

9. PRINT/
DISPLAY

Enter:

P = Print a copy of this report on your terminal's assigned printer or send it as an e-mail. See the Edit Terminal Records Chapter for instructions on how to assign printers and send reports as e-mails.

D = Display this report on the terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

10. DETAIL/ SUMMARY

Enter:

D = Detailed Report. The report will show one line of data for each reservation (Two lines if rates were requested) plus a summary section.

S = Summary Report. The report is the summary section only; no data is included on individual reservations.

11. FLAG SELECTIONS

This field applies to Hertz users only.

Enter up to 9 of the special service flags listed below. This restricts the report to those reservations which have the requested service flags.

$ = Guaranteed res

# = Applicant for Gold

M = Multi-month res

1 = # 1 Club

P = Platinum customer

S =Gold Service res

E = Express service

K = 5-Star and Gold Service customer

G = Gold Service Customer

* = 5-Star Customer

Accepting the default word "ALL" includes all reservations.

NOTE: The service flags on Hertz reservations change on an ongoing basis. The list above is an example, but may not be representative of the flags currently in use. The description field from the Edit Gold Service Messages record prints on the report.
12. BOOKING LOCATION
To limit the report to reservations created at a particular location or reservation center, enter the location code in this field. Otherwise press (RET) to include all reservation regardless of booking location.

13. TOUR RES'S ONLY?
Enter:

Y = Yes, limit the report to reservations with a tour voucher.

N = No, include all reservations.

14. TOUR OPERATOR (OR ALL)
This field is accessible only when Field 13 is set to "Y".
To limit the report to reservations for a particular tour operator, enter the IT Code for the tour operator. Otherwise press (RET) to include all reservations.

15. VEHICLE CLASS

Enter:

  1. Up to 4 alphanumeric characters to select reservations for a single vehicle class.
  2. A vehicle Class Group code representing several classes. (see the chapter Edit Class Groups for a discussion on vehicle class groups). Remember, the first character of a Class Group code is the plus sign "+".
  3. Press RETURN to accept ALL vehicle classes.

16. ONE WAYS ONLY
Enter:

Y = Yes, limit the report to reservations that are one way; that is, the return location is not the same as the pick up location.

N = No, include all reservations.

EXAMPLE: Type N (RET)

17. RATE CODE
To limit the report to reservations with a single rate code, enter the rate code. Otherwise press (RET) to include all reservations regardless of rates.

Notes about this report:

If run without rate information, one line of data is shown for each reservation. If rate information is requested, an additional line is provided with the rates.
