This program is used to track personal items that are found in rental vehicles so that they can be returned to their owner. Records can be created and edited. A lost ticket can be printed.

To access this program, type EDITLOST at any menu "OPTION:" field or the appropriate line number on the Lost and Found Tracking Sub-menu of the History/Maintenance Menu. The screen will then display:

Enter data as follows:

1. TICKET#
When creating a new entry, leave this field blank. A ticket number will be assigned automatically when the entry is saved.

To bring up an existing ticket, enter the ticket number.

EXAMPLE: Press (RET)

2. STATUS
When creating a new entry, leave this field blank. When the status field is blank, the ticket is "open".

If updating an existing ticket, enter:

1 = item reclaimed by client
2 = item unclaimed and disposed of

EXAMPLE: Press (RET)

User tip: In order for old records to be purged from the file, they must have a status of 1 or 2.

3. LOCATION
Enter up to 6 alphanumeric characters representing the location where the item was found. Press (RET) to accept the default location.

4. VEHICLE#
Enter the number of the vehicle where the item was found. Or, skip this field and enter the license plate number in the next field.

EXAMPLE: Type 1891 (RET)

5. LICENSE #
Instead of entering the vehicle number in the field above, enter the license plate number of the vehicle where the item was found.

EXAMPLE: Press (RET)

6. FOUND DATE
Using the selected date format, enter the date when the item was found.

EXAMPLE: Type 11-20-08 (RET)

7. FOUND TIME
Using the selected time format, enter the time when the item was found.

EXAMPLE: Type 10A (RET)

8. PROBABLE RA#
If known, enter the RA number which is the likely transaction when the item was lost. Or press Shift/F7 to access a search of the RA File to determine the most recent RA on the vehicle.

EXAMPLE: Type TUS01220 (RET)

Once a RA number is selected, the customer information from the RA will display in the fields on the right side of the screen.

9. SHORT DESC
Enter up to 16 alphanumeric characters for a short description of what was found.

EXAMPLE: Type SUNGLASSES (RET)

User tip: The short description is displayed when the file is searched.

10. LONG DESC
Enter up to 50 alphanumeric characters for a more detailed description of the item.

EXAMPLE: Type PRESCRIPTION; AMBER FRAME (RET)

11. FOUND EMPL
Enter the user code of the employee who found the item.

EXAMPLE: Type MMG (RET)

12. CONT DATE
If the customer was contacted, enter the contact date. If a date other than the current date is entered in this field, the following question displays:

ARE YOU SURE? Y/N

Enter as appropriate to continue.

If the customer has not yet been contacted, skip this field.

EXAMPLE: Press (RET)

13. CONT NOTE
When the customer is contacted, enter up to 60 characters for a note about the conversation.

EXAMPLE: Press (RET)

14. DELV NOTE
When the item is delivered to the customer, enter up to 60 characters for a note.

EXAMPLE: Press (RET)

CREATE EMPL
For an existing entry, this field displays the usercode of the employee who created the record.

MOD EMPL
For an existing entry, this field displays the usercode of the employee who last modified the record.

CUSTOMER INFORMATION
This series of fields displays customer information for the renter on the Probable RA# shown in Field 8.
CUSTOMER CONTACT DATA
This series of fields displays contact information for the renter on the Probable RA# shown in Field 8.

A typical screen will then display:

Press F1 at the "OPTION" to save the record. A number will automatically be assigned to it.

The following question will display:

PRINT CLAIM TAG? (Y/N)

If "Y" is entered, a one-page report prints will all the data that was entered and displayed on the screen.

Use of Function keys:

F2 key brings up the next record allowing the user to scroll through the file one record at a time.
F4 key scrolls backwards through the file one record at a time.
F6 key allows the user to search the Lost and Found file
The search can be done by:
F1 key = Found Date
F2 key = Vehicle number
F3 key = Lost location; a specific location must be entered ("ALL" is not accepted)
F4 key = Status of the Lost and Found entry:
Blank = open
1 = reclaimed by customer
2 = unclaimed and disposed of


To obtain a report of lost and found items, use the Lost and Found Report program.

To purge old lost and found records, use the Purge Lost and Found Entries program on the Purge Menu.
