I. INTRODUCTION

A. BASIC "GEOGRAPHY" TERMS OF CARS+
  • Location = is a geographical site where rental transactions occur. It is recognized as a site with a unique postal mailing address from which rentals can either begin or end.
  • Lot = is a parcel of land where vehicles can be parked either waiting to be rented or for processing after a rental (cleaning and servicing). Lots are related to locations. A single location can have one or more lots, or a single lot can service more than one location.
  • Stall = is a named or numbered spot on a Lot where an individual vehicle can be parked. Only one vehicle can be parked in a single stall at a time.Stalls must be assigned to lots .

B. MUST ALL OF THE RECORD TYPES LISTED ABOVE BE SET UP?

Locations: CARS+ requires that at least one owned location be set up using the Edit Locations program.

Lots: Lots are NOT required to run CARS+. But they are required, when the following circumstances apply:

  • If you want to use numbered stalls for parked vehicles
  • If vehicles can be parked at different physical sites (parking lots) and you wish to "know" at which site a vehicle is currently located.
  • If you wish to use the Lot Controller program which compares immediate fleet needs (reservations) to the fleet on hand.

Records must be set up in Edit Lot Numbers for the lot itself, and in Edit Lot Relationships to define which lots are associated with with locations. (A lot may serve multiple locations.)

Stalls: Numbered parking stalls are NOT required to run CARS+. But they are often related to a "ready line" (with numbered parking slots) and can be very helpful in directing a renter to their waiting vehicle.

II. USE THIS PROGRAM

This program is used to define which lots serve a location. Within a single location, lots can either serve the entire location or they can be set up to serve one or more rental counters (Drawers) within the location. For example, Lot 1 at the Sydney Airport may serve the two domestic terminals while Lot 2 may serve only the International Terminal. This program defines the general relationship between a Lot and Locations. If a Lot is to be further restricted to a single drawer or drawers, that is done through a field in Edit Cash Drawers. When it come to the Lot Controller program, the relationship defined in the Cash Drawer record supersedes the relationship defined here.

To access the Edit Lot Relationships program, type EDTLLOT (RET) at any menu "OPTION:" field or the appropriate line number on the Location Control Files menu. The screen will then display:

Enter data as follows:


1. LOCATION

Enter up to 6 alphanumeric characters to indicate the location that this lot serves. All Lots MUST be related to a Location, in addition they may also be related to a specific Counter (Drawer) within a location in Field 4 below.

2. LOT NUMBER

Enter up to 2 alphanumeric characters representing the Lot Number.

EXAMPLE: Type SI (RET)

3. DESCRIPTION

Enter up to 30 alphanumeric characters as a description for this relationship.

EXAMPLE: Type SYDNEY INTL READY LINE(RET)

4. LOT DEFAULT (Y/N)
Indicate if this should be the location's default renting lot for the Lot Controller program. Enter:
Y = For the Lot Controller program this lot should be considered the default renting lot for the location. If there is a Location Lot record for the user's drawer, it will take precedence in the Lot Controller program.

N = This lot is not the default lot.

This field is used by a specific client. Indicate the Lot zone here.
