The Quote Edit Report is designed to:

To access the Quote Edit Report, type QUOTE (RET) at any menu "OPTION:" field or the appropriate line number from the Reservations Menu. The screen will then display:

Enter data as follows:

1. START EDIT DATE

Using your selected date format, enter the Starting Edit Date. The Edit Date is the date that the Quote was saved or last modified. Press RET to default to the current date.

2. START EDIT TIME

Using your selected time format, enter the Starting Edit Time. Press RET to default to Midnight.

EXAMPLE: Type 630A (RET)

3. END EDIT DATE

Using your selected date format, enter the Ending Edit Date. Press RET to default to Today's Date.

EXAMPLE: Type 040504 (RET)

4. END EDIT TIME

Using your selected time format, enter the Ending Edit Time. Press RET to default to 11:59PM.

EXAMPLE: Type 800P (RET)

5. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location.

Enter:

  1. Up to 6 alphanumeric characters to select a single pick-up location.
  2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to accept the default location.

6. EMPLOYEE

Enter up to 6 alphanumeric characters to select a single Employee code. This will restrict the report to only those quotes that were originally created by this employee. Press RET to default to All Employees.

7. SELECT TYPE

For every quote, CARS+ records both when and who originally created the quote and when and who last modified it. This selection field determines if quotes are to be selected by their create or modification information. Enter:

M = To request that quotes be selected by their most recent modification data, enter "M". Using this option means that Fields 1 through 4 will be the modification date and time range for selection and Field 6 will be the modifying employee. Note, for quotes that have never been modified, their modification date will be equal to their create date. As a result, this selection will produce a list of quotes that were either:

Created during the requested time period (and not modified since then) or

Modified during the requested time period.

C = To request that quotes be selected by their creation data, enter "C". Using this option means that Fields 1 through 4 will be the create date and time range for selection and Field 6 will be the creating employee. Note, quote records are NOT indexed by the create date. As a result, running the report in this manner may require more time than when running it by the modification date

8. STATUS

Enter one of the following codes to select the status of the quotes. Press RET to default to quotes (whether or not they became reservations.).

O = Open (a quote that is still open; not converted to a reservation.)

F = Filled (a quote that has been converted to a reservation)

C = Cancelled (the quote or reservation was cancelled)

N = All No Shows (both preprinted and non-preprinted). To have this status, the quote would have been converted to a reservation. After converting it, it was processed as a no-show.

NNP = No Show reservations that were NOT preprinted (Preprinted No Shows are reported as Voids on the DBRs)

9. START PICKUP DATE

Using your selected date format, enter the Starting Pick Up Date. Press RET to default to "EARLIST".

EXAMPLE: (RET).

10. START PICKUP TIME

Using your selected time format, enter the Starting Pick Up Time. Press RET to default to Midnight.

EXAMPLE: (RET).

11. END PICKUP DATE

Using your selected date format, enter the Ending Pick-Up Date. Press RET to default to LATEST.

EXAMPLE: (RET).

12. END PICKUP TIME

Using your selected time format, enter the Ending Pick-Up Time. Press RET to default to 11:59PM.

EXAMPLE: (RET).

13. DETAIL/ SUMMARY

Enter 1 alpha character to select the report format.

D = Detailed Report (three lines of data per reservation)

S = Summary Report

SORT ORDERS

Fields 14 and 15 allow the user to determine in what order the quotes will be printed. There are two possible sorts available on this report, the primary and secondary sorts.

The PRIMARY sort allows you to group them under major headings. As an example, they can be grouped by the employee who originally created them.

The SECONDARY sort allows you to determine in which order the data will appear under the major sort. As an example, data can be made to appear by Edit Date/Time order under each employee grouping. If no Primary sort is designated, data will be printed in the order of the Secondary sort.

14. PRIMARY SORT

Enter 1 alpha character to select the Primary Sort.

C = Vehicle Class
E = Create Employee
L = Pickup Location
S = Source Code
blank = no primary sort

15. SECONDARY SORT

Enter 1 alpha character to select the Secondary Sort.

N = Alphabetically by the customer's last name.

P = Pickup Date/Time.

E = Modified Date/Time.

C = Change Status This sort will list quotes by pickup Date/Time order within the following subheadings; New, Modified and Cancelled.

M = Pickup Date with subtotals after each month.

16. PRINT/
DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer. See the Edit Terminal Record Chapter for instructions on how to assign printers.

D = Display this report on the terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

17. FLAG SELECTIONS

If you receive reservations from a national reservation center and those reservations which should receive special handling (such as a preferred customer club) come with a special code, enter the single alphanumeric code used to flag those reservations to restrict this report to those reservations only. Press RETURN to default to all reservations.

18. START SOURCE CODE

Enter up to 5 alphanumeric characters to indicate a starting reservation Source Code used on quotes. Quotes with this code through the code in Field 13 will be included in this report. Press RETURN to default to the first Source Code on file.

EXAMPLE: Type AAA (RET).

19. END SOURCE CODE

Enter up to 5 alphanumeric characters to indicate an ending Source Code. Press RETURN to default to the last Source Code on file.

TIPS ON USING THE DATE/TIME SELECTIONS

A. To produce a report showing all quotations entered on a specific date, change Fields 1 and 3 to the date in question and leave Fields 9 - 13 with default settings.

B. To produce a report listing all quotations with rentals scheduled to begin tomorrow and that were entered or edited today, use today's date in Fields 1 and 3 and tomorrow's date in Fields 9 and 11.
