Use this program to produce a report of reservation turndown records, turndown records generated at Open, as well as miscellaneous calls recorded in the Call File.

To access the program, type TDRPT (RET) at any menu "OPTION:" field or the appropriate number on the Additional Reservation Programs Menu, which is a submenu of the Reservations Menu. The screen will then display:

Enter data as follows:

1. RES CREATE LOCATION

This field refers to the default location for the user at the time the reservation was created. Enter:

  1. Up to 6 alphanumeric characters to select a single location.
  2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. "ALL" to include all locations.

Press RETURN to accept the default location.

2. RES PICKUP LOCATION

For the reservation's pickup location, enter:

  1. Up to 6 alphanumeric characters to select a single location.

  3. "ALL" to include all locations.

Press RETURN to accept the default location.

3. START CREATE DATE

Using your selected date format, enter the Starting Date for the date range when the reservations were created. Press RET to default to today's date.

4. ENDING CREATE DATE

Using your selected date format, enter the Ending Date for the date range when the reservations were created. Press RET to default to today's date.

5. EMPLOYEE

To limit the report to transactions entered by a single employee, enter up to 6 characters representing the employee's code. Otherwise, press (RET) to default to ALL employees.

6. INCLUDE MISC CALLS

This field determines whether or not miscellaneous calls (those not related to reservations) should be included. These are the calls logged in the Call File. Enter:

1 = Include the miscellaneous calls logged to the Call File.

2 = Exclude the miscellaneous calls. Instead, list only the reservation turn down records. (Report is limited to those reservations with status "T".)

3 = Report only the miscellaneous calls.

7. START TURNDOWN REASON

Do one of the following:

Enter a starting reason code

Press Shift/F7 to access a pop-up window listing the codes.

Or Press (RET) to default to the “FIRST” one.

8. END TURNDOWN REASON

Do one of the following:

Enter an ending reason code

Press Shift/F7 to access a pop-up window listing the codes.

Or Press (RET) to default to the “LAST” one.

9. PRINT/
DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer. See the Edit Terminal Records Chapter for instructions on how to assign printers.

D = Display this report on this screen. See the General Data Entry Instructions Chapter on how to control the screen display.

10. INCL ALL TURNDOWNS

When turndown codes are created in the Edit Turndown Codes file, a field is used to define whether or not that code should ALWAYS be included in the Turndown Report. Enter:

Y = Yes, include all turndown codes in this report.

N = No, don't include all codes. Instead, include only those codes which are defined as "always report" in the Edit Turndown Codes file.

11. DETAIL/ SUMM/ TOTALS

Enter:

D = Detail. Show detail on each entry.

S = Summary. Only the subtotals by location will print.

T = Total. Only the grand totals for all locations will print.

Notes about the report:

Reservations are sorted by pickup date.

For turndown records (reservations with status "T") and reservations that were turned down while opening the RA and are in "N" status (See User Tip below):

User tip: When a reservation is turned down when opening the RA, the reservation status is set to 'O" (open) so that it will be changed to 'N' when the NoShow program is run.
