To access the Reservation Edit Report, type RER (RET) at any menu "OPTION:" field or the appropriate line number from the Reservations Menu. The screen will then display:

Enter data as follows:

The meaning of Fields 1 through 4 and Field 6 is determined by the value entered in Field 7. Please read the instructions for Field 7 before looking at the following directions.

1.STARTDATE

The date/time range entered in Fields 1 - 4 refer to the date the reservation was created in the system or the date it was last modified (refer to Field 7.) Using your selected date format, enter the Starting Date. Press RET to default to Today's Date.

2. START TIME

Using your selected time format, enter the Starting Time. Press RET to default to Midnight.

EXAMPLE: Type 630A (RET)

3. END DATE

Using your selected date format, enter the Ending Date. Press RET to default to Today's Date.

4. END TIME

Using your selected time format, enter the Ending Time. Press RET to default to 11:59PM.

EXAMPLE: Type 800P (RET)

5. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location. Enter:

  1. Up to 6 alphanumeric characters to select a single pick-up location.
  2. A Group Name representing several locations (see the chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to include ALL locations.

The user's access may limit the locations for which this report can be run. If access is restricted and a location or location group outside of those allowed is entered, the following message will display at the bottom of the screen and the selection will be ignored:

6. EMPLOYEE

Enter up to 6 alphanumeric characters to select a single Employee code. This will restrict the report to only those reservations by this employee. Press RET to default to All Employees.

7. SELECT TYPE

For every reservation in the Reservation File, CARS+ records who originally created the reservation and the creation date. Additionally, and when and who last modified the record is also logged. This selection field determines if reservations are to be selected by their create or modification information. Enter:

M = To request that reservations be selected by their most recent modification data, enter "M". Using this option means that Fields 1 through 4 will be the modification date and time range for selection and Field 6 will be the modifying employee. Note, for reservations that have not been modified, their modification date will be equal to their create data. As a result, this selection will produce a list of reservations that were either:

Created during the requested time period (and not modified since then) or

Modified during the requested time period.

C = To request that reservations be selected by their creation data, enter "C". Using this option means that Fields 1 through 4 will be the create date and time range for selection and Field 6 will be the creating employee. Note, the Reservation file is NOT indexed by the create date. As a result running the report in this manner may require more time than when running it by the modification data.

8. STATUS

Select up to 5 of the following Status separated by commas. Press return to default to ALL status's.

O = Open reservations *see User Tip below
F
= Filled reservations
C
= Cancelled(shows on the report as status “X”)
N
= All No Shows (both preprinted and non-preprinted) *see User Tip below
NP
= No Show reservations that were preprinted
T
= Turndowns *see User Tip below
R =
Request reservations
Q = Quotes only
ALL = All except for turndowns and quotes are included.

EXAMPLE: Type O (RET)

User tip: When a reservation is turned down when opening the RA, the reservation status is set to 'O" (open). It will be changed to 'N' when the NoShow program is run.
When selecting "O" or "N" in this field, these reservation turndowns are NOT reported even though their status may be "O" or "N".
When selecting "T" in this field, these reservation turndowns ARE reported even though their status is not "T".

9. START PICKUP DATE

Using your selected date format, enter the Starting Pick Up Date. Press RET to default to "EARLIEST".

10. START PICKUP TIME

Using your selected time format, enter the Starting Pick Up Time. Press RET to default to Midnight.

11. END PICKUP DATE

Using your selected date format, enter the Ending Pick-Up Date. Press RET to default to "LATEST".

12. END PICKUP TIME

Using your selected time format, enter the Ending Pick-Up Time. Press RET to default to 11:59PM.

13. START SOURCE CODE

If limiting the report by source code, enter up to 5 alphanumeric characters representing the starting source code.

14. END SOURCE CODE
If limiting the report by source code, enter up to 5 alphanumeric characters representing the ending source code.

15. SOURCE GROUP
Instead of limiting the report using a range of source codes, a source group can be used. Enter a source group code ; remember the first character of a Group Name is the plus sign "+". ( Refer to the chapter Edit Source Groups for details.)

16. START RATE PROD

This field and the next one are used to limit the report to reservations with a certain rate code(s). Enter up to 12 alphanumeric characters to indicate a starting rate product code. Press RETURN to default to the first rate product code on file.

17. END RATE PROD

Enter up to 12 alphanumeric characters to indicate an ending rate product code. Press RETURN to default to the last Rate Code on file.

18. DETAIL/ ABBREV/ SUMMARY

Enter 1 alpha character to select the report format.

D = Detailed Report (three lines of data per reservation) plus a summary
A
= Abbreviated detail (one line of data per reservation) plus a summary
S
= Summary (reservation counts only)

In all cases, the summary includes counts by:

SORT ORDERS

The 2 sort order fields allow the user to determine in what order the reservations will be printed. There are two possible sorts available on this report, the primary and secondary sorts.

The PRIMARY sort allows you to group reservations under major headings. As an example, reservations can be grouped by the employee who originally created them.

The SECONDARY sort allows you to determine in which order the reservations will appear under the major sort. As an example, reservations can be made to appear by Edit Date/Time order under each employee grouping. If no Primary sort is designated, reservations will be printed in the order of the Secondary sort.

19. PRIMARY SORT

Enter 1 alpha character to select the Primary Sort.

C = Vehicle Class
E = Create Employee
L = Pickup Location

S = Source Code

O = For Hertz users, this is the booking source of reservations received through OKC.

blank = no primary sort

20. SECONDARY SORT

Enter 1 alpha character to select the Secondary Sort.

N = Alphabetically by the customer's last name.
P
= Pickup Date/Time.
E
= Modified Date/Time.
C
= Change Status. This sort will list reservations by pickup Date/Time order within the following subheadings: New Reservations, Modified Reservations and Cancelled Reservations.

21. PRINT OPTIONS

This selection is only valid if a Detailed report was selected in Field 16 above. On detailed reports, enter one of the following:

Y = Yes, reserved options and their rates will print on an additional line for each reservation.

N = No, reserved options will not print on this report.

22. PRINT/
DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer or send it as an email message. See the Edit Terminal Record Chapter for instructions on how to assign printers and send reports as e-mails.

D = Display this report on the terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

23. FLAG SELECTIONS

If reservations are received electronically from a national reservation center and those reservations which should receive special handling (such as a preferred customer club) come with a special code, enter the single alphanumeric code used to flag those reservations to restrict this report to those reservations only. Press RETURN to default to all reservations.

24. RES TYPES

Enter up to two alphanumeric characters representing a single Reservation Type Code to restrict this report to just reservations created with that Type Code. Or press RETURN to default to reservations of ALL types.

25. DEL/COL

Enter:

Y = Print any Delivery or Collection address that is linked to the reservations. This information will print on additional lines after the reservation itself.

N = Do not print delivery or collection information for these reservations.

26. VEHICLE CLASS

To limit the report to a particular vehicle class or class group, enter:

  1. Up to 4 alphanumeric characters to select a single class
  2. A class group representing several vehicle classes (see the chapter Edit Class Groups for details.) Remember, the first character of a group code is the plus sign "+".
  3. Press RETURN to include ALL locations.

27. INCLUDE VOUCHERS

For reservations with vouchers, enter:

Y = Include basic voucher information (voucher number, FOP code, class , number of days). However, the options included in the vouchers will not be shown.

N = Do not include voucher information.

28. ASSETS ONLY

For reservations with non-vehicle assets, enter:

Y = List only those reservations with non-vehicle assets. (Note that Field 22, "Print Options" will automatically be changed to "Y".)

N = Do not limit the report based on non-vehicle assets.

29. SEAMLESS ONLY

This field displays only for Hertz operations doing seamless reservations. (The GVT record "SEAMTHC" must be set up.)

Y = The report will be of only seamless reservations.

N = Do not limit the report to only seamless reservations.

30. CREATE SOURCE
Use this field to select reservations by what program was used to create them. Enter up to 2 alphanumeric characters as follows:
WX = Reservations created through WebXml
WO = Reservations created through WebOta
WP = Reservations created through WebPlan
WZ = Reservations created through WebRez
WR = Reservations created through WebRent
W = All reservations created through any Web program (any of the above)

I = All reservations created through a Reservation Interface program
I_ = To limit the report to reservations created thorough a specific Res. Interface program, enter the last character of the Interface program name as the second character. For example, the program RZMRG4 would be entered as "I4" and RZMRGX would be entered as "IX".
C = All reservations created by a user in CARS+ Reservations
CW = Reservations created by the Walk-up Rental Receipt program.

31. START CDPID #

This field and the next one are used to limit the report to reservations with a CDDPID that falls within the range specified here. Enter up to 10 alphanumeric characters to indicate a starting CDPID number. Press RETURN to default to the first CDPID on file.

32. END CDPID #

Enter up to 10 alphanumeric characters to indicate an ending CDPID number. Press RETURN to default to the last CDPID on file.

33. BRAND ID
Enter up to 3 alphanumeric characters to indicate the Brand of reservations to be reported or press RET to default to all reservations. This field is used by operations that are "dual branded" and receive reservations from more than one "rental brand" (example: both Hertz and Dollar).

TIPS ON USING THE DATE/TIME SELECTIONS

A. To produce a report showing all reservations created on a specific date, enter a "C" in Field 7, change Fields 1 and 3 to the date in question and leave Fields 9 and 10 with default settings.

B. To produce a report listing all reservations with rentals scheduled to begin tomorrow and that were entered or edited today, enter a "M" in Field 7, use today's date in Fields 1 and 3 and tomorrow's date in Fields 9 and 10.
