This program is used to:

User tip: When a new code is created, a default record (using the current date as the effective date) is created in a related program, Edit Frequent Traveler Program Dates. This means that the Frequent Traveler code will be in effect automatically as soon as the new record is saved. Use Edit Frequent Traveler Program Dates to set up the date range during which particular Frequent Traveler programs are valid. That program controls the frequent flier pop-up window feature on the Reservations and RA Open screens. Please refer to that chapter for more information.

User tip: A field in the User Access Record can be used to restrict the user to 'view only' mode. In that mode, no records can be added, edited, or deleted.

TO DELETE A RECORD: Press F4. The following prompt will appear:

If the number entered matches the number of the record displayed on the screen, the following prompt will appear. Enter "Y" or "N" as appropriate.

To access the Frequent Traveler Codes program, type EDITFT (RET) at any menu "OPTION:"field or the appropriate line number on the Sales Control Files Menu. The screen will then display:

1. CODE

Enter up to three alpha characters to indicate a Frequent program in which you participate.

EXAMPLE: Type AA (RET)

User tip: Traditionally, the airline and hotel codes are 2 characters. When entering the code in Reservations, RA Open, or on the customer record, the 2-character codes are entered with a space between the code and the membership number.

Example: AA 123456789

When the code is 3 characters, do NOT enter a space between the code and the membership number.

Example: ABC123456789

2. DESCRIPTION

Enter a description of up to 50 characters to identify the program.

EXAMPLE: Type AMERICAN AIRLINES (RET)

3. CHECK DIGIT

Enter:

Y = A check digit routine is applied to each frequent traveler number entered into the RA Open program.

N = No, this airline or hotel does not have a check digit routine for its frequent traveler numbers.

EXAMPLE: Type Y (RET).

4. MINIMUM LENGTH

Enter the number of characters in the shortest valid frequent traveler number used in this airline's program.

EXAMPLE: Type 7 (RET)

5. MAXIMUM LENGTH

Enter the number of characters in the longest valid frequent traveler number used in this airline's program.

EXAMPLE: Type 7 (RET)

6. AUTO APPLY

Certain CARS+ users award frequent traveler point automatically when a frequent traveler number is in the customer record.This field is used to turn on this automatic feature.(Most users in the U.S.A. and Canada should leave this field blank.)

Y = If a renter has a frequent traveler number from this airline, automatically apply the number to every rental opened.

N = Do not automatically apply this company's frequent traveler numbers to all rentals.

7. POINTS BASE

This field was developed for a specific Thermeon customer.If it applies to you, you will be informed by your distributor how to set up this field.It does not apply to most CARS+ users.

8. INTL POINTS BASE

This field was developed for a specific Thermeon customer.If it applies to you, you will be informed by your distributor how to set up this field.It does not apply to most CARS+ users.

9. OVERRIDE CDP BLOCK?

When you define a CDPID number in the system, you can assign it a Privilege Code that under general terms states if a renter presents the CDPID number on a rental he cannot also present a frequent traveler number. This field allows you to say that this particular frequent traveler organization is exempt from the CDPID block.

Y = Yes, override the block, frequent traveler numbers from this company can be added to an RA even if there is a CDPID number on the rental that is set up to prevent frequent traveler codes.

N = No, do not override the block, frequent traveler numbers cannot be added to an RA which has a CDPID number set up to block frequent traveler numbers.

10. HOTEL PROGRAM

Indicate whether or not this record represents a hotel frequent traveler program rather than an airline program.

Y = Yes, this is a hotel program.

N = No, this is not a hotel program.

11. REQUIRE OTHER ID

Enter:

Y = Yes, data must be entered in the Other ID field of the RA Open screen in order to use this frequent traveler code when saving a contract.

N = No, entry of data in the Other ID field is not required.

12. REQUIRED CDPID#

If a specific CDP number is required on the contract in order to be awarded points from this frequent traveler program, enter the particular CDP number in this field.When entering a frequent flier number from this company, the CDPID number in this field will automatically be added to the RA.Removing this number from the contract will cause the frequent traveler code to be removed also.Press (RET) to skip this field.

13. FF SURCHARGE OPTION

To automatically apply an Optional Charge (such as a frequent traveler tax) to a contract when this Frequent Traveler Code is used, enter the Option Code that pertains to this Frequent Traveler code.If the rates or calculation methods vary for the different Frequent Traveler Codes, you will need to set up multiple Option Codes and match them up appropriately using this field.

14. ACCEPT MCO's?

This field is for Hertz operations and is used to block the acceptance of MCO's (miscellaneous charge orders) issued by certain frequent traveler programs.Enter:

Y (or blank) = Yes, MCO's are accepted.

N = No, MCO's are not accepted from this frequent traveler program.

15. TRAVEL CLUB CDPID

In some Australia operations,a memership number in a motorist association is forced for selected CDPID accounts. This field allows up to 10 characters, representing a CDPID number. When a CDPID number is entered, it affects how the Frequent Traveler Codes are accessed in the RA Open program.

Frequent Traveler records with a CDPID number in this field will NOT be shown in a list (using Shift/F7) from the "Freq Tvlr#" field in the Customer Info Sub-window (Sub-window AD). Instead, the Frequent Traveler code will be shown in a list (using Shift/F7)in the membership pop-up window.

To link this Frequent Traveler code to a CDPID number, enter the CDPID number.

16. TRAVEL CLUB STRING

This field concerns the check digit logic for a frequent traveler number.
17. RES POPUP MESSAGE
This field controls the pop-up window on the Open screen when opening a RA from a reservation that has a frequent traveler code and a corresponding surcharge. Enter:
Y (or blank) = a pop-up window will display asking if the frequent traveler code should be accepted and, if so, also announces that the surcharge will be added to the rental.

N = the pop-up window will not appear. The frequent traveler code and surcharge will be added to the RA without any announcement.

18. MAN POPUP MESSAGE
This field controls the pop-up window on the Open screen when opening a RA and the frequent traveler code is manually entered in the Frequent Traveler field in the Customer Info subwindow. Enter:
Y (or blank) = a pop-up window will display asking if the frequent traveler code should be accepted and, if so, also announces that the surcharge will be added to the rental.

N = the pop-up window will not appear. The frequent traveler code and surcharge will be added to the RA without any announcement.

19. ORGANIZATION CODE
Fields 19 through 23 are required for the Meyer One Rewards Program in Australia (for all other Frequent Renter programs, these fields should be left blank). In each of these fields, enter up to ten alpha-numeric characters for the proper value for your car rental operation.

24. ALLOW SECOND FT
This field allows another Frequent Traveler Code to be added to a Reservation or RA when this one is already on the transaction. Enter:
Y = a second Frequent Traveler Code is allowed on a Reservation or RA if this one is already on the transaction. (Add this code to the RA first. When the cursor is placed in the FT field again, a small pop-up window will appear where a second code can be added.)

N or
blank) = No, a second Frequent Traveler Code cannot be added to a Reservation or RA if this one is already on the transaction.

25. REPORT TO HQ
For Hertz operations, this field turns off transmission of this code in the EDRB (Electronic Daily Report of Business). Enter:
N = No, do not include data for this frequent traveler code in EDRB.
Y (or blank) = Include data for this frequent traveler code in EDRB.

26. CUST KEY
This field can be used to block a Frequent Traveler number from being used on more than one customer record. Enter:
Y = When a Frequent Traveler number of this type is added to a RA at Open or Close, examine the existing records in the customer file for and do not allow a duplicate. That is, block a Frequent Traveler number of this type from being used on more than one customer record.
N
(or blank) = No, do not examine the customer file for duplicate FT numbers.

You may add other companies to your system that do not appear on this list. However, there is no way to know without testing if a new airline's numbers will adhere to the same check digit routine used by the airlines listed below. Therefore, you may need to set the "Check Digit" field to "No" on new records.
