The Vehicle Presale Report can be used:

Regardless of the selection parameters, this report excludes all foreign vehicles and vehicles whose Status Code is S (Sold).

To access the Vehicle Pre-Sale Report program, type PRESALE (RET) at any menu "OPTION:" field or the appropriate line number on the Fleet menu. The screen will then display:

Enter data as follows:

1. START VEH#

Enter the vehicle unit number of the first vehicle to be reported. Press RET to default to the FIRST Vehicle Number.

EXAMPLE: Type 14090 (RET)

2. END VEH#

Enter the vehicle unit number of the last vehicle to be reported. Press RET to default to the LAST Vehicle Number.

EXAMPLE: Type 14200 (RET)

3. LOCATION

Enter up to 6 alphanumeric characters to indicate the present Location of the vehicle.

Enter:

  1. Up to 6 alphanumeric characters to select a single pick-up location.
  2. A Group Name representing several locations (see Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to accept the default location.

Note: User access may limited the locations for this report. If access is restricted and an attempt is made to run the report for a location or location group outside of the allowed parameters, the following message will be displayed at the bottom of the screen and the selection will be ignored:

4. CLASS

To limit the report to a particular vehicle class, enter up to 4 alphanumeric characters to select the Class Code. Or press (RET) to include to ALL Classes.

5. MAKE

To limit the report to a particular make of vehicle, enter up to 8 alphanumeric characters to select the Make. Press RET to include to ALL Makes.

EXAMPLE: Type FORD (RET)

6. CUTOFF YEAR

Enter 2 numeric characters to indicate the model cutoff year. Vehicles with this model year or older will be included in the report. Press RET to default to the current year.

EXAMPLE: Type 08 (RET)

7. CUTOFF
PURCHASE DATE

Using the selected date format, enter a cutoff purchase date. Vehicles with this purchase date or older will be included in the report. Press RET to default to "LATEST" (current date)..

8. ODOMETER

Enter up to 6 numeric characters to indicate the cutoff odometer reading. Vehicles with the current odometer value the same or greater will appear on the report.Press RET to default to zero.

9.MILES TO
GROUNDING

Enter up to 6 numeric characters to indicate number of miles. The value you enter will be used to select vehicles for this report. Vehicles will be eligible for selection if the difference between the scheduled grounding mileage and the current odometer is less than the amount entered in this field.

Press RET to accept the screen value of 999999 and thus exclude miles to grounding as a selection criteria.

10. CUTOFF
GROUNDING DATE

Using the selected date format, enter the cutoff grounding date. Vehicles with a grounding date earlier than this date will be included on the report. Press RET to default to LATEST and make all vehicles eligible to be reported.

11. VIN SELECTION

This field is used to select vehicles by VIN numbers. See the introduction to the Fleet Menu section for instructions on the use of this field. By leaving this field blank, all VIN numbers are included.

12. OWNING LOCATION

Press Shift and F7 to bring up a pop-up window listing choices pertaining to the Owning Location as shown below:

13. FLEET TYPE

To limit the report to a fleet type, enter a single character here representing that fleet type. Press (RET) to default to ALL fleet types.

14. PRODUCTION YEAR

Enter 2 numeric characters to indicate the production cutoff year. Vehicles with this production year or older will be included in the report. Press RET to default to the current year.

15. SORT ORDER

Enter one of the following words to select the sort or­der. Type the entire word - do not abbreviate.

VEHICLE - Sort by the Vehicle Number.

LOCATION - Group by current Location and sort by Vehicle #.

CLASS - Group by Class Code and sort by Vehicle #.

LICENSE - Sort by License Number.*

VIN - Sort by the full 17 characters of the VIN #.*

VINLAST8 - Sort by the last 8 characters of the VIN #.

OWNLOC - Sort by Owning Location.

PURCHDATE - Group by purchase date and sort by Vehicle #.*

GROUNDDATE - Group by grounding date and sort by Vehicle #.*

ELIGDATE - Group by eligibility date and sort by Vehicle #.*

MAKEMODEL - Sort by Make first; then by Model within Make.*

*The sort options marked with an asterisk require more processing time than the other choices. They involve data fields that are not part of the index structure of the Vehicle File.

Enter:

P = Print a hard copy of this report on your terminal's assigned printer or send as an e-mail. See the Edit Terminal Records Chapter for instructions on how to assign printers and send reports as e-mails.

D = Display this report on your terminal screen. See the General Data Entry Instructions chapter on how to control the screen display.

Indicate on which printer this report should print.

18. TURNBACK CODE

This field refers to the Hold Code 1 field in the Vehicle Inventory record and is used by a particular CARS+ customer. All other users should ignore this field.

19. INCL ONE-WAYS

Enter:

Y = Yes, include vehicles currently on rent on a one-way RA where the return location is the location requested in Field 3 above.

N = No, do not include vehicles on one-way RAs. Include only those vehicles whose "current location" is the one entered in Field 3 above.

Enter:

Y = Yes, include vehicles currently at a foreign location.

N = No, do not include vehicles currently at a foreign location.

21. INCLUDE ASSETS? (Y/N/O)
This field refers to non-vehicle assets (such as GPS units) that are inventoried. Enter:
Y = Yes, include non-vehicle assets in the report
N = No, do not include non-vehicle assets in the report (include only vehicles)
O = Report only non-vehicle assets

22. BEGINNING MODEL YEAR
Enter the two character Model Year of the oldest units to be reported or press RET to default to 2000.

NOTE: The Model Year Codes 50 through 99 represent 1950 through 1999.

Enter the two character Model Year of the newest units to be reported or press RET to default to 2049.

User tip Hertz Australia: Instead of listing the VIN#, the Tab Expiration Date from the Inventory record is reported.
