For control of manually prepared RAs, some
operations use a separate number range for RAs
entered through Batch RA Open. A series of fields in the Location record provide the ability to define 2 ranges of RA numbers used for Batch RAs. Another field in the Edit Misc. Control Fields record can be used to require that when saving a Batch Open RA, the user manually enter a RA number that falls
within one of the batch RA number ranges defined on page 5 of the
Location record.
In order to account for all numbers within the range, RA numbers that are not used should be voided through this program.
To access the Void Manual RA Numbers program, type
VOIDMN (RET) at any menu
"OPTION:" field or the appropriate line number on the Additional Daily Tasks Sub-Menu of the Daily Procedures menu. The screen will
then display:
OPTION: __ VOID MANUAL RA NUMBERS
1 RA # 2 Reason 1 3 Reason 2
1SAVE 2 3ERASE 4 5BACKUP 6 7HELP 8
|
Enter data as follows:
1. RA#
|
Enter up to 8 alphanumeric characters representing the RA number that needs to be voided. Because manual RA numbers are voided in this program, the RA number entered cannot already exist in the system.
The number must fall within the batch RA number ranges set up on page 5 of the Location record.
EXAMPLE: TB000502 (RET)
|
2. REASON 1
|
Enter a reason why the RA number is being voided. This is a required field if the system is configured to require the user to enter a RA number for each RA opened in Batch RA Open. (The Prenumbers in Batch" field in Edit Misc. Control Fields is set to "Y".)
EXAMPLE: PAPER WAS TORN (RET)
|
3. REASON 2
|
If an additional reason is needed, enter it in this field.
EXAMPLE: Press (RET)
|
Upon pressing F1 to save the record, the user is required to enter their usercode and password.
The following then takes place:
A void RA is created using the number entered. The opening and closing dates/times are set to the current system date/time. The last name field is set to "SPOILED-RA". The opening and closing employee of the RA is set to the user that entered the void. The RA is marked with a "Y" in the Batch RA Open field.
A report of voided RAs can be obtained on the
Batched RAs Report.
