The Fleet Snapshot Report is an abbreviated summary of the fleet arranged by Current Status and Location.

With the creation of the control file "Edit Fleet Snapshot Control Record", column headings and status codes on the Fleet Snapshot Report can be customized through the use of a Report Code (Field #2). In addition, multiple versions of the report can be created that are location specific or generic to all locations.

To access the Fleet Snapshot Report program, type SNAP(RET) at any menu "OPTION:" field or the appropriate line number on the Fleet Menu. The screen will display:

Enter data as follows:

1. OWNING LOCATION

Enter up to 6 alphanumeric characters to indicate the Owning Location or Fleet Pool to be reported or press RETURN to default to ALL..

Note: Your user access may be limited as to the locations for which you can run this report. If your access is restricted and you attempt to enter a location or location group which is outside your allowed parameters, the following message will be displayed at the bottom of the screen and your selection will be ignored:

2. REPORT CODE

To use a customized version of the report, enter up to 2 alphanumeric characters representing a report code. This code must have been previously created through the Edit Fleet Snapshot Control Record program on the Fleet Control Files menu.

3. CURRENT LOCATION

Enter up to 6 alphanumeric characters to indicate the Pick-Up Location making one of the following choices:

1. Up to 6 alphanumeric characters to select a single location.

2. A Group Name representing several locations. (The first character of a Group Name is the plus sign "+".) In addition, for this report, a Location Group will trigger "subtotal roll-ups" (if the group contains groups within groups, subtotals will print for each group level). For more information on this feature, refer to the section on Subtotal Roll-Ups at the end of the Edit Group Names chapter.

3. Or press RET to default to "ALL" locations.

Fields 4 - 8: If you are making use of the Report Cord feature in Field 2, the labels for Fields 4 - 8 will change to reflect the labels that were set up for that report code in the Edit Fleet Snapshot Control Record. Likewise, the appropriate status codes that were also set up will be entered in Fields 4 -8.

4. OUT OF SERVICE CODES

Enter those Vehicle Status Codes that represent vehicles which are out of service. Up to ten codes can be entered separated by commas.

EXAMPLE: Type B,N,T (RET)

5. STOLEN CODES

Enter those Vehicle Status Codes that represent stolen cars. Up to ten codes can be entered separated by commas.

EXAMPLE: Type C,W (RET)

6. GROUNDED CODES

Enter those Vehicle Status Codes that represent grounded vehicles. Up to ten codes can be entered separated by commas.

EXAMPLE: Type G,P (RET)

7. FOR SALE CODES

Enter those Vehicle Status Codes that represent vehicles in various stages of being sold. Up to ten codes can be entered separated by commas.

EXAMPLE: Type X,Y (RET)

8. WRECKED CODES

Enter those Vehicle Status Codes that represent vehicles that have been in an accident and are no longer useable. Up to ten codes can be entered separated by commas.

EXAMPLE: Type W (RET)

9. IGNORE CODES

Enter those Vehicle Status Codes that you would like the report to ignore. In other words, vehicles in these codes will not be included in the report.

10. PRINT/ DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer. See the Edit Terminal Records Chapter for instructions on how to assign printers.

D = Display this report on your terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

11. CLASS GROUP SUMMARY

Use this field to request a summary by Class Groups. After the location totals, a line will print for each Class Group.

Y = Include the Class Group summary.

N = No, don't include the Class Group summary.

User tip: Keep in mind that a single Class may be a member of more than on Class Group

12. INCLUDE ASSETS?
This field refers to non-vehicle assets (such as GPS units) that are inventoried. Enter:
Y = Yes, include non-vehicle assets in the report
N = No, do not include non-vehicle assets in the report (include only vehicles)
O = Report only non-vehicle assets

READING THE REPORT

The following are the definitions of the columns which appear on the report:

Location = Current location of the vehicles (this includes foreign locations).

Idle/Available = The number or vehicles in all "A" Type Status Codes.

Out of Service = The number of vehicles with the Status Codes which were entered in Field 2.

Stolen/Embezzeled = The number of vehicles with the Status Codes which were entered in Field 3.

Grounded for Turnback = The number of vehicles with the Status Codes which were entered in Field 4.

Current On Rent = The number of vehicles with Status Code "O".

For Sale = The number of vehicles with the Status Codes which were entered in Field 5.

Wrecked = The number of vehicles with the Status Codes which were entered in Field 6.

All Other Status = The number of vehicles with all other Status Codes which were not reported previously.
