To access the program, type PRVRPT (RET) at any menu "OPTION:"field or the appropriate number on the Customer Maintenance Menu. The screen will then display:

Enter data as follows:

1. START DATE

Using the selected date format, enter the starting date. The date range selected in Fields 1 and 2 refers to the closing date of the RA. For RAs that are open, it refers to the return date.

Press (RET) to begin with the first day of the current month.

2. END DATE

Using the selected date format, enter the ending date for the date range. Press (RET) to accept the current date.

3. OPEN LOCATION

Enter up to 6 alphanumeric characters to indicate the opening Location making one of the following choices. Enter:

1. Up to 6 alphanumeric characters to select RAs for a single location.

2. A Group Name representing several locations.(The first character of a Group Name is the plus sign "+".)

3. Press RETURN to accept the default location.

EXAMPLE: Type TUS (RET).

4. ACCEPTS MAIL ONLY

This field refers to the “opt out” field on the customer record. Enter:

Y = Selects RAs for customers whose “opt out” field is set to “N”.

N = Selects RAs for customers whose “opt out” field is set to “Y”.

B = Selects RAs regardless of the setting in the customers’ opt out field.

5. INCIDENTS ONLY

This field is used to select RAs by whether or not they have an incident entry attached to them. Enter:

Y = Selects only RAs with incident entries.

N = Selects only RAs without incident entries.

B = Selects RAs regardless of whether or not there is an incident entry.

6. PRINT/ DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer or send it as an e-mail. See the Edit Terminal Record chapter for instructions on how to assign printers and send reports as e-mails.

D = Display this report on the terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

7. SELECT RA STATUS
Enter:
1 = Report open RAs only. The date range in Fields 1 and 2 refers to the return date.
2 = Report closed RAs only. The date range in Fields 1 and 2 refers to the closing date.
3 = Report both open and closed RAs.

Notes about this report:

RAs are listed in numerical order. The following detail is shown in 3 rows of data for each RA:

Row 1:

RA number

Customer number

Customer’s last name (expanded if using extended name)

Closing date of the RA

Opt out setting from the customer record

Row 2:

Gross revenue from the RA

Incident amount

Incident action

Incident comments (first field)

Row 3:

Customer’s phone number

Customer’s cell phone number

Customer’s e-mail address

Data for each RA is separated by a line of asterisks.

A summary section shows:

The number of RAs reported

The number of RAs where the customer’s opt out is set to “N”

The number of RAs with an incident record

The total incident amount

The total gross revenue

This report contains a calculation of rental length called "DBR Days" (or just "Days"). One of two possible formulas are used in CARS+ to calculate this figure.
