The Logic Behind This Report

Much of the profit in car rental comes from the sale of additional products and services on a rental agreement. As a result, several reports in CARS+ cover the sales of these optional items -- many of which can be used to incentivize these sales. Reports used to incentivize options are based on closed RAs (incentives are only paid on completed transactions). These reports are usually run either once a month or in conjunction with payroll pay periods. As a result, by the time that a problem of an under performing employee appears on the incentive reports, the problem may have existed for a week or more.

The Today's Option Sales Report is based on today's open RAs. That is, it reports how well agents are selling on the contracts that opened today. It allows a manager to notice immediately when an employee is under performing. Perhaps the employee needs coached or should be temporarily transferred to another position.

This report should NEVER be used for incentive pay (contracts can be voided or options removed from the RA after this report is run).

The following set up is required in order to run this report:

1. Goals for employees to reach in making option sales must be set in the Edit Employee Incentive control file. These goals or "targets" specify a dollar amount of sales per day for various options.

2. The Option Set "SRPD" must be set up in order to report "ALL" incentivized options.

3. The Option Set "SRPD" must be entered in the "SRPD" field of Edit Incentive Control Record. (Other fields can be used to further refine how incentives will be calculated.)

4. Finally, before this report can be run, the "Open Opt Tracking" field in Edit Locations must be set to turn on this feature.

Another version of this program, the Individual Revenue Sales Report, (Daily Procedures Menu) can be used by individual employees to check their own progress. In the "individual" version, the report can be run only for the employee accessing the report.


WARNING CONCERNING OPTION PACKAGES

The use of Option Packages (not Option Bundles) may negatively impact this report. Please see the warning section at the end of the chapter, Overview - Option Discounts, Bundles and Packages for a more detailed explanation of the impact of the Option Package logic on this and other reports.


To access the program, type DAYSALES (RET) at any menu "OPTION:" field or the appropriate number on the Manager's Sales Reports Sub-menu of the Daily Procedures menu. The screen will then display:

Enter data as follows:

1. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location. Enter:

  1. Up to 6 alphanumeric characters to select a single location where the RAs were opened.
  2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to default to ALL locations.

2. OPTION CODE
Enter either:

A single Option Code to see how employees are selling this option today (the Option Code entered must be set up in Edit Employee Incentives.)

Or the word "ALL" to see how all incentivized options are being sold. If ALL is selected, there are no details for individual options. Instead the report will give the total dollar amount of all options sold today. For example an employee who sold five LDWs at $10.00/day and another employee who sold 10 Baby Seats at $5.00/day will each appear with $50.00 of option sales.

3. REPORT DATE

Using your selected date format, enter the date for records that will be reported. Press RET to default to today's date.

4. EMPLOYEE

Enter up to 6 characters for a single user code or press (RET) to run the report for ALL users.

5. DISPLAY/ EXPORT

This field allows you to either display the report on your screen or export the data to a csv file (a comma delimited)..

E = Export the data

D = No, do not export the data, instead display the report on the screen

EXAMPLE: Press (RET)

6. REVENUE/ PENETRATION
This field can only be changed on runs for a specific Option Code in Field 2. Enter:

R = Revenue. The report will give the total dollar value of the daily rates for the option requested.

P = Penetration. The report will give the percentage of sales for the option requested.

For example, the rental agent has opened 6 RAs so far today, but the option in question was not able to be sold on two of the rentals (it may have been included in the T&M rate, or is CDPID blocked). If the agent sold the option on two of the remaining four RAs, 50% penetration will be shown.

Displaying This Report:

When displaying this report, the program will automatically refresh the data on the screen every 15 minutes. Therefore, a manager can use this display to have a real time picture of what is happening at the counter. By pressing the function key "F4" the program will immediately refresh the data. Like the Reservation Display screen, this program when in display mode is exempt from the CARS+ time out feature. But if it is left running at 12 midnight, the program will be closed by the time out feature.


Notes about this report:

Unlike the incentive reports based on closed RAs, this report does NOT have several ways of reporting sales. Sales are reported by the daily rate sold on the option. The data displayed is:

Opening Employee Code and Last name

Option Code of the single option requested or "ALL"

Sold -

If revenue is requested, this is the sum of the daily rates for the option sold today (if five RAs were opened today with LDW sold at $10.00/day, $50.00 will appear on this report)

If penetration is requested, this is the percentage of the possible RAs which had the option sold

Target - this is the daily target for this employee and option defined in the Edit Employee Incentives record.

SRPD - this is sum of the daily rates for the options sold today that are in the SRPD Option Set.

Target - this is the daily target for SRPD as defined in the Edit Employee Incentives record.

The last two columns are NOT based on Open RAs. Instead, they are based on RAs that were opened by this employee but which have CLOSED between the start of the present month and today. This is meant to be a preview at what will be reported in more detail on the other incentive reports.

MTD Rev - this is the total revenue for the option from contracts that have closed and posted so far this month which were opened by the employee being reported.

Target - This is the revenue target for the entire month.


When this report is run for a Location Group, subtotals will appear after each location with a grand total for the Location Group.
