USER'S
RESPONSIBILITY TO CHECK AUTOMATED PROGRAMS
There are several programs within CARS+ that can be set up to perform automatically. This ability is one of the convenient features of a computer. As examples, these programs include:
Daily Back up of data files.
Settlement of Electronic Draft Capture
Electronic Reservation Interface
Transmission of Electronic DBRs
Snapshot Poll of Fleet Utilization
Although these processes are set up to be generated automatically, it is the user's responsibility to check every day to make sure that the process really was performed successfully.
DAILY BACK UP
It is required that root's mail be read each day in order to determine if the nightly backup was successful. If you are not familiar with reading root's mail, contact Thermeon's Customer Support Dept. for detailed instructions.
Note: This applies to stand alone systems only. CARS+ Internet users do not check their daily backup because the responsibility rests with Thermeon.
ELECTRONIC DRAFT CAPTURE
It is critical that the Settlement Report be run daily. This is your only method on CARS+ to check if the credit cards you have collected are being successfully "banked" with your credit card provider. See the Settlement Report Chapter in this manual for details.
RESERVATION INTERFACE
Whenever reservations are transmitted electronically into your system, a report is generated. This report prints on the report printer for stand-alone systems. For CARS+ Internet users, it takes the form of an e-mail message. Each transmission report should be examined for reservations that CARS+ has rejected and for same day reservations. You should be sensitive to a prolonged period of time without an interface report.
The receipt of reservations can always be checked by running a Reservation Edit Report for the employee code "RESINT".
ELECTRONIC DRB
Hertz licensees can transmit their daily business electronically to Oklahoma City (OKC) by using the EDRB program in CARS+. It is the user's responsibility to check if the transmissions are received successfully at Hertz in OKC. Use the Packet PC program provided by Hertz to sign in to OKC to verify the date of the last transmission received as well as the number of contracts included in it.
FLEET UTILIZATION SNAPSHOT
Your system can be set up to take a "snapshot" of your fleet's utilization at a specific time (or times) of the day or night in order to accumulate data for a location's utilization. Because the time sensitivity of this process is critical, it is the user's responsibility to run the Fleet Utilization Report each day to verify that the automated program ran properly. Because it is a "snapshot", it is not possible to "go back in time" to capture the information. However, if the automated program fails to run, it IS possible (by contacting Thermeon's Customer Support Dept.) to do a manual run and capture a snapshot at that time.
