The Physical Inventory History Report examines a file that is created each time a physical inventory is entered into CARS+. At the time that a physical inventory is taken, the vehicle number, date and time of the inventory, current location and status are recorded.

This report accesses that information and is used generally for research purposes. For example, to determine where a car was over the last 3 months, this report can be run for that individual car using the Start and End Date fields to specify the period of time.

Note, however, that when a physical inventory is taken, vehicles that are currently on rent or on an open Non-Rev Movement are NOT INCLUDED in the inventory. Therefore, if the vehicle was on rent the day that the inventory was taken, it will not have a record in the Physical Inventory File for that day and will not appear on this report. To get a complete picture of the activity of a vehicle, it is necessary to run this report as well as the Vehicle History Report for History Code 00 (rental agreements).

Old physical inventory files can be purged by running the Purge Physical Inventory program on the Purge Menu.

To access the Physical Inventory History Report, type PHYRPT (RET) at any menu "OPTION:" field or the appropriate line number on the Physical Inventory menu Menu. The screen will then display:

Enter data as follows:

1. STARTING VEHICLE

Enter the vehicle unit number of the first vehicle to be reported or press (RET) to accept "FIRST".

EXAMPLE: Type 14100 (RET)

2. ENDING VEHICLE

Enter the vehicle unit number of the last vehicle to be reported or press (RET) to accept "LAST".

EXAMPLE: Type 14100 (RET)

3. LOCATION

Enter up to 6 alphanumeric characters to indicate Location(s) of the vehicle(s). Enter:

1. Up to 6 alphanumeric characters to select vehicles at a single location.

2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups).Remember, the first character of a Group Name is the plus sign "+".

3. Press RETURN to default to ALL locations.

4. START DATE

Using the selected date and time formats, enter a starting date.

EXAMPLE: Type 110110 (RET)

5. END DATE

Using the selected date format, enter an ending date.

EXAMPLE: Press (RET)

6. PRINT/ DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer or sent the report as an e-mail. See the Edit Terminal Record Chapter for instructions on how to assign printers and e-mail reports.

D = Display this report on the terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

7. VEHICLE STATUS
To limit the report to vehicles in a particular status, enter the status code. Press (RET) to accept the default of "A" (available). Or enter "ALL" to include vehicles regardless of status.

Enter up to 11 alphanumeric characters to indicate the starting vehicle license plate number or press (RET) to leave this field blank.

9. ENDING LIC#

Enter up to 11 alphanumeric characters to indicate the ending vehicle license plate number or press (RET) to leave this field blank.
