When not using the Extended Address logic:
User tip: The field in the Edit Main Control Record (which can require the use of US/Canada state codes) should be set to “Y” for companies operating in the US and Canada.
When using the Extended Address logic:
Setup Requirements:
- The field in the Edit Main Control Record which can require the use of US/Canada state codes should be set to “N”.
- In the program Select Address Fields (EDITADR), the State field should be set to “display” (Y), but not be “required” (N). The requirement for a state to be entered for selected countries is handled by field 7 of this program.
Ask Thermeon’s Customer Support Dept. to load the Country Code file which includes the country codes, and the state/province codes for the U.S., Canada and Mexico. State codes for other countries may be added at a later date. The Country Code file provided by Thermeon contains the Hertz Corporation country code designations. Please refer to the EDIT COUNTRY CODES ADDENDUM at the end of this chapter.
To access the Edit Country Codes program, type EDITCTRY (RET) at any menu "OPTION:" field or the appropriate line number on the Rental Control Files Menu.The screen will then display:

1. ABBREVIATION |
Enter up to four alphanumeric characters to represent a country or state. If you receive reservations from a national reservation center, this code should match that used by your reservation center. EXAMPLE: Type ISI (RET) |

Enter the country or state name represented by the code in Field 1. EXAMPLE: Type ICELAND (RET) |

3. MARKET CODE |
(This field is reserved for a future enhancement.) |

4. STATE |
This field is used by the extended address logic.Indicate whether or not the code in Field 1 is a state code.Enter:

5. COUNTRY OF STATE |
If it is indicated in the “State” field above that the code in Field 1 is a state, the country code for that state must be entered in this field.(This code must already exist in this file.) EXAMPLE: Press (RET) |

6. WWD COUNTRY CODE |
For Hertz users, some data feeds require the ISO country code (Field 1) .Yet others require the WWD (World Wide Directory) country code. In some cases, the first 2 characters of the ISO code and the 2-characater WWD code are the same.In that case, this field can be left blank. When they are different, Hertz users should enter the WWD Codefor the country (or state) in this field. EXAMPLE: IC (RET) |

7. REQUIRE STATE |
This field is used by the extended address logic.If the code in Field 1 is for a country, indicate if a state code is required when using the Country Code.Enter:
User tip: If this field is set to “N”, a state code may optionally be entered for this country.However,a record for that state must exist in this file. EXAMPLE: Press (RET) User tip: Extended address logic only – When entering an address in the address window, the country code is always entered into the country field. For those countries that do not use states, the state field is to be left blank. For those countries that do use states, once the state code is entered into the state field, the country code will automatically display in the country field and cannot be edited. |
| 8. REQ FED TAX ID |
This field controls whether or not a Federal Tax ID number is required when opening a RA when the customer has a drivers license from this country. (The Federal Tax ID is entered in the AD subwindow of RA Open.) Enter:Y = Yes, a Federal Tax ID is requiredEXAMPLE: Type Y (RET) User tip: There are two similar fields for a customer: The Federal ID field and the Federal Tax ID field. This field in Edit Country Codes can be used to require that the Federal Tax ID field be required. A similar field in Edit Misc. is used to require that a Federal ID be entered for the customer in order to save the RA. |
| 9. STATE IN ZIP |
For countries outside the USA and not using the extended address logic, this field is used to require the entry of the state code for US addresses. For example, users in Europe that enter an address from the USA enter "USI" as the country code. When this feature is turned on, the state and zip code must be entered together in the zip code field, such as "CA92780" for the state code 'CA' for California and the zip code '92780'. Enter: Y = require the state code in the zip code field for addresses for this country.Example: Press (RET) |
| 10. REGION |
This field is for Hertz Corporate operations only. Enter the Hertz accounting Region Code that should be used in Euro-swap if the voucher or HCC on a transaction was issued by this country. All other users should leave it blank. |
| 11. SPED CODE |
This field for Brazilian users only. For Brazilian State Codes entered into this file, enter here the Brazilian SPED Code for the State. This field should be blank on all Country Code records or State Codes for states outside of Brazil. All other users should leave it blank. |
| 12. DL CHECK METH |
This field is used to apply check digit logic to the drivers license number entered in RA Open. Enter:1 = The Swedish check digit logicExample: Press (RET) |
| The next three fields are used for the official International Standards Organization (ISO) codes for countries. These values are used by some CARS+ programs that export data to a third party system that requires ISO codes. |

User tip: A field in the User Access Record can be used to restrict the user to 'view only' mode. In that mode, no records can be added, edited, or deleted.
TO DELETE A RECORD: Press F4. The following prompt will appear:

If the number entered matches the number of the record displayed on

EDIT COUNTRY CODES ADDENDUM
This addendum to the Edit Country Codes chapter lists the Hertz Corporation's standard codes for foreign countries. For convenience, they have been pre-loaded into the Country Code File. You may edit or delete these codes as you wish. Thermeon makes no warrants as to the accuracy of this information.
