The 365ID document scanner device is used to import renter data from driver's licenses and Passports directly into Cars+ or Front Desk while also checking the validity of the document.
I. INTRODUCTION
The user will insert the renter's drivers license or passport into the
device to capture the data contained in the documents. The device will do the following:
- Scan and read the front of the inserted documents.
- Validate the authenticity of the document by comparing it to a library of documents from over 150 countries, thus helping to stop identify fraud.
- Import the renter's information directly into RA OPEN and Front Desk screens, thus minimizing common typographical errors.
- Activate the Customer and Reservations search programs in RA OPEN and Front Desk.
NOTE: CARS+ does NOT store a scanned copy (photo) of the document. 365ID is used solely to verify the validity of the document and to
extract data from the document directly into CARS+.
II. OPENING A NEW RA WITH A 365ID SCANNER
With 365ID document scanners the normal flow at the counter is as follows:
1. Scan the Renter's Document First
The first thing to do when opening a new RA is to scan the renter's
driver's license or Passport. The device is ready for scanning when the white power light is on steady near the front of the scanner. Insert
the document with the photo side facing the front of the device. The
power light will blink while scanning is taking place. The results of
the scan are then displayed by colored lights near the power light. The lights will display:
- GREEN: If the document inserted is found to be valid.
- RED: If the document is suspected to be forged or altered.
- YELLOW: If the scanner cannot make a firm decision, good or bad.
If the device indicates that the document is bad (RED light) or questionable (YELLOW light), management should already have a procedure in place so that counter agents know what to do. Documents that are either found as either Yellow or Red will NOT have any data sent to CARS+.
Once the colored indicator lights have shown, the document can be removed from the scanner.
2. Retrieve the Scanned Data
If the document is found to be valid (GREEN), in the RA Open program, with the
cursor in the Main Window's Option field, press the F2 Function key.
That will cause CARS+ to request all of the data that the scanning
device has read from the inserted document.
NOTE: 365ID only stores document data for 10 minutes after it is scanned. After 10 minutes, there will be nothing to retrieve and you must re-scan the document.
When scanning a driver's license, the following data* will appear in a pop-up window for review:
- Name
- Date of Birth
- Driver's License number and country/state
- License expiration date
- Home address
WARNING: The scanning device uses Optical Character
Recognition (OCR) software to read the document. This software is
provided by the manufacturer of the device, not by Thermeon. If the
document is dirty or shows signs of wear, it is possible that characters may be miss read. In our own vigorous testing, we found the devices to read driver's licenses incorrectly in about 20% of the time. In some cases, CARS+ will recognize that the data is bad and will leave the field on the pop-up blank. THEREFORE YOU MUST
compare the data displayed in the pop-up on your screen to your own physical reading of the document. Manually correct any errors that you see with your
keyboard or re-scan the document a second time.
When you are pleased with the displayed data, press the RET key on the pop-up and the scanned data will automatically be loaded into the proper fields on the Main Window of RA Open.
This will eliminate much of the typographical mistakes made when recording these critical pieces of
renter data. RA Open will also automatically search the Customer File
for a possible repeat customer record and search the Reservation file
for a reservation with the renter's name. All of this automatically
happens when a document has been scanned first and then F2 has been
pressed.
When scanning a passport, the renter's name will be loaded
into the Main Window and the following data* will automatically be loaded into the AD subwindow:
- Passport Number
- Issuing Country
- Date of birth
* The actual data imported into CARS+ depends on the data that is on the face of the document.
III. GENERAL NOTES
1. Both a driver's license and a passport can be scanned on the same RA. The name from the last document scanned will be the name used on the
Main Window of RA Open.
2. If the name on the driver's license and passport differ you will NOT be warned.
3. In the Additional Driver subwindow of RA Open (Subwindow "Q") once you enter a blank field a pop-up window appears for data entry. Within
that pop-up pressing the F2 function key will retrieve scanned data for
an additional driver's scanned drivers license.
4. The use of the F2 Function key changes slightly when document scanning is turned on.
- Without document scanning, pressing F2 in either the Main Window
Option Field or the fields for the pre-authorized FOP activates a card
swipe reader.
- With document scanning added to your system,
- F2 interfaces with the scanner from the Main Window Option Field and
- activates a card swipe
device only from the pre-authorized FOP fields and from within the
Deposit subwindow.
IV. REQUIRED SETUP
1. Edit Terminal Record
Use Edit Terminal Records to define the particular 365ID scanner that will be used by each terminal/work station at the counter.
To access the Edit Terminal
Records program, type EDITTERM (RET) at any menu "OPTION:" field or the appropriate
line number on the System Configuration menu. The screen will then display:

In Field 1 enter the terminal id of a counter workstation.
In Field 21 enter up to 20 characters for the serial number of the
365ID scanner which is printed on the bottom of the device that the
terminal in Field 1 is to use. Multiple terminals can share a single
365ID scanner at the same counter.
If a particular scanning device becomes unresponsive, use Change
Environment to temporarily link your counter workstation to a second
scanner. Do that by entering the new scanner's serial number into Field 12 on the screen.
365ID scanners do NOT physically attach to a computer or
workstation, they must have access to the internet via an ethernet cable
attached to a router.

2. Edit Country Codes
The 365ID devices use the ISO Codes for foreign countries to indicate who issued the driver's license or passport. Generally, CARS+ does not use ISO Country Codes. In order to use these devices you must enter the proper ISO Code for each country code you have on file. Enter the ISO Code in field 13:
