The local renter rewards logic offers the ability to easily reward frequent renters with awards that are set up as special documents. This feature includes:
II. REQUIRED SET-UP STEPS
A. SET UP SPECIAL DOCUMENTS FOR THE REWARDS
Each Customer Type participating will be linked to a Special Document. Therefore, the awards can vary by Customer Type.
To access the Edit Special Documents program, type EDITDOC (RET) at any menu "OPTION:" field or the appropriate number on the Sales Control Files Menu.
Example of a promo for 1 free day:

B. DECIDE WHICH CUSTOMER TYPES WILL PARTICIPATE
In Edit Customer Type Codes three fields on page 2 are used to define the award type:
- the number of rentals needed for the award
- which award it is linked to (a Special Document code)
- the minimum charge in time and miles/kms (less discounts) that the RA must have in order to qualify - this field is optional
To access the Edit Customer Type Codes program, type EDITCUST (RET) at any menu "OPTION:" field or the appropriate number on the Rental Control Files Menu.
In the example below for Customer Type PFD, Fields 12 and 13 show 4 rentals are required in order to have the Special Document "1FREE" offered to the renter (1 free day). And a minimum of $150 in time and miles/kms must be met for the rental to qualify.

C. TURN ON THE LOGIC IN EDIT MISCIn Edit Misc. Control Files, the "Local Renter Rewards" field on page 6 is used to turn on the logic. Enter "Y" to turn it on.
To access the Edit Misc. Control Files program, type EDITMISC (RET) at any menu "OPTION:" field or the appropriate number on the Rental Control Files Menu.
D. CUSTOMER RECORD
The field "Award Points" in the customer record tracks the number of 'points' (rentals) a customer has accumulated. Once a sufficient number has been reached to qualify for the reward, a message is displayed when opening a RA asking if the customer wants to use the reward. Rewards that are used automatically deduct the appropriate number of points from the customer record. Each time a rental closes, the number is increased by 1.
NOTE: This field can also be manually edited by users with access to the Customer File Update program.
E. EDIT TIMES RENTED
The program Edit Times Rented can be used to automatically allow a customer's type to progress from one level to another based on the number of times rented. This can be quite helpful when using the Local Renter Rewards logic.
To access the Edit Times Rented program, type EDTRENT (RET) at any menu "OPTION:" field or the appropriate number on the Customer Maintenance Menu. In the example below, customers who rent 5 times are automatically changed to Customer Type PFD.

When opening a RA for a renter who has a qualifying customer type and sufficient points to earn a reward, a question will display. The type of reward (in the example below "1 FREE DAY") is taken from the Special Documents record.
CUSTOMER ELIGIBLE FOR 1 FREE DAY, ACCEPT Y/N?
Enter:
Y = Yes, the customer wants to use the award on this rental.
The Special Document will be automatically entered in the S subwindow.
The points will be deducted from their accumulated total.
If the customer has accumulated enough points to redeem more than one reward, the message will come back up after answering "Y". Enter another "Y" to redeem a second reward or enter "N" if the customer does not want to redeem it. This works for free days and rewards of a certain value. It does not work for percent off rewards.
N = No, do not use the award. The customer's points will keep building.
B. OPENING RAs FOR REPEAT RENTERS WHO HAVE A CUSTOMER TYPE THAT DOES NOT QUALIFY FOR RENTER REWARDS
When opening a RA for a repeat renter whose customer type is not set up for renter rewards, the following question will display:
DO YOU WISH TO ENROLL IN THE FREQUENT RENTER AWARDS PROGRAM Y/N?
Enter:
Y = Yes, the renter wants to participate. The user will then be prompted to enter a customer type that is set up for the rewards program. The renter's customer type will be automatically changed to the customer type entered.
N = The customer type will not be changed and the customer will not be enrolled in the program.
C. CLOSING RAs
No message will be shown if:
- there is no minimum time and mileage/km charge required in order for the RA to earn a point
- there is a minimum time and mileage/km charged required and the minimum has been met
If there is a minimum time and mileage/km charged required in order for the RA to earn a point and the minimum has not been met, the following message will be shown:
MIN NET T&M xxx, RENTAL DOES NOT QUALIFY FOR THE yyy .
Where xxx is the minimum required and yyy is the award linked to the customer type.
User tip: The points used are deducted from the customer's account when opening the RA. If the customer returns early and does not use all the redeemed rewards, the points in the customer record are NOT readjusted. Example: Assume that a free day is 10 points. The customer has a balance of 25 points and redeems 20 points for 2 free days of 10 points each. Customer balance is now 5 points. If the customer returns after only one day, the points in the customer record are NOT automatically readjusted to 15. In this situation, they would have to be manually adjusted directly in the customer record.
A. The Customer Rental Awards Report produces a report of rental activity for renters who are part of a local frequent renter rewards program.
To access the Customer Rental Awards Reports program, type AWARDRPT (RET) at any menu "OPTION:" field or the appropriate line number on the Customer Maintenance Menu.
Notes:
The date range refers to the RA closing date.
The report can be limited by customer type, minimum number of rentals, minimum number of rental days, or minimum amount of revenue.
