This program is used to control the use of selected rates by the anticipated length of rental. - referred to as "LOR". That is, certain rates for certain dates may be restricted to only long term with a minimum number of days and/or short term rentals with a maximum number of days.


Examples:

Prior to a special event in your area, you may want to limit short term or long-term rentals at a low rate that would conflict with the pickup dates of the busy period when rates can be lucrative due to high demand.

If you have good weekend business, you may want to avoid doing 1 day rentals on Thursdays that would leave the vehicles sitting over the weekend because they were not available for pickup Fridays.

The trucks in your fleet used for moving furniture are in demand at the end of each month and for the last weekend of each month. Therefore, you may want to limit rentals so that they do not interfere with the lucrative month end rentals.

To access the program, type EDITRTCT (RET) at any menu "OPTION:" field or the appropriate number on the Rates Control Files Menu. The screen will then display:

Enter data as follows:

1. LOCATION

For the pickup location, enter one of the following:

  • Up to 6 alphanumeric characters to select a single location.
  • A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  • "ALL" to include all locations

User tip: If your system is set up with different posting companies and, therefore, subject to the firewall logic, the following conditions must be met:

When entering a location, the posting company of the user's location and the location entered is the same.

When entering a group name, the user's location is a member of the group entered.

"ALL" is accepted only when the posting company of the user's location is blank.

2. RATE SEG

Control records can be entered for either a group of rates sharing the same Segment Code, or for individual rate products.

If this control record is meant to affect all rates with a particular Segment Code, enter a single character representing that code. If this control record is meant to affect a particular rate product, skip this field and use the Rate Product field. But the program does NOT support all rates for all segments.

3. RATE SET

If the Location field is set to "ALL", this field will accept a single Rate Set. If a Location Code or Group Code was entered in the Location field, you must skip this field. .

4. RATE PROD

If a Segment Code was entered in the Rate Segment field above, the cursor will skip this field.

If the Segment Code field is blank. this field will accept up to 3 Rate Product Codes. Enter the first one, press (RET). The cursor will move to the right where the second one can be entered. Press (RET) and enter the third one.

5. CLASS

This field is used to limit the record to a particular vehicle Class or Classes. Enter one of the following:

  • A single Class Group (a Class may have up to 4 characters)
  • Up to six Class Codes
  • leave the field blank to apply to ALL Classes.

Fields 6 - 9 can form an array of up to 7 records. Each field will accept up to 7 entries. An example is shown below.

In the illustration above, the "Special" rate is being limited on a truck used for moving furniture (Class T30). By limiting the short term rentals to 2 days, the trucks will be available for the last weekend of the month when they are in demand. Or, by imposing a minimum of 6 days in the "Min Long" field, they can be rented long term if the rental is at least 6 days which will include the last weekend of the month.

This record is used to avoid the situation where the trucks are rented at the "Special" rate for a period that does not include the last weekend of the month.

6. START DATE

Using your selected date format, enter the Starting Date for this record. can be entered for the record. After entering the first date, press (RET). The cursor will go to the right. If this record should be in effect for another date rate, enter the next start date and press (RET).

7. END DATE

Using your selected date format, enter the Ending Date. Similar to the field above, this field will also accept up to 7 ending date ranges.

8. MAX SHORT

Enter the maximum number of days that a short term rental can run.

EXAMPLE: Type 2(RET)

Note: If a record is set up and Fields 8 and 9 are left blank, the rate is blacked out for rentals starting within the date range entered. 7

9. MIN LONG

Enter the minimum number of days that a long term rental must run.

EXAMPLE: Type 6 (RET)

PRESS "F1" AT "OPTION:" TO SAVE.

A record is written for each date and for each Class. If a record already exists, the new data will rewrite it.

Editing records:

Individual records can be edited one at a time. That is, a single Rate Code and Class Code combination can be edited. If there are other dates the array, the remainder of the dates will display in sequence.

Or, records can be replaced with new ones.

Deleting records:

Records can be deleted by pressing F4 from the "OPTION" field. Records displayed on the screen will be deleted.

If no record is displayed on the screen when F4 is pressed, a prompt appears, "Purge all starting date" with the current date as shown below. Change the date as needed and use this tool to delete records in the future that may have been created in error.

Edit and deletions of existing records are records in a Log File noting the date and time of the change along with the code of the employee making the change.

Black outs:

If a record is set up and Fields 8 and 9 are left blank, the rate is blacked out for rentals starting within the date range entered. 7

Exceptions:

For CDPID (corporate) rentals, a Privilege Code (Premium Account) can be used to exempt rentals from the LOR logic.

A field in the User Access File record can be used to exempt certain users from LOR logic records.

Hierarchy:

Because so many choices are available for setting up these records, a hierarchy has been established defining which records take precedence over others. The hierarchy is listed below. Those at the top take precedence over those listed below. Reading from the top, once a record is found, all records below it in the hierarchy are ignored.
