Tour Master File Download

The following refers to the set up and use of running downloads of the IT file data from the OKC Tour Master and Tour Location files.

I. SETUP

Before the download can be activated, set up is required by Thermeon's Support Dept. These steps are listed below:

A. User Access File
Two records must be created in the Edit User Access File program. The fields that need data are shown below:
Employee:            TRDNL1

C. System set up

Thermeon's Support Department will configure the download to run automatically. (Note to Support staff: Details on this are found in issue 32535, comment 44.)

D. Edit Main Control Record (shortcut: EDITMAIN)

Page 2, Field 4 - Use rates not TPR

This field must be set to "Y".

E. Edit Hertz Tour Download Record (shortcut: EDHZTO)

The data entered in this control file is used to merge the OKC records properly into CARS+. Fields are provided to define things such as the CARS+ Option Codes used for inclusive options as well as those that are offered at a special out-of-voucher rate.

II. TOUR MASTER FILE DOWNLOAD

Existing IT file records are rewritten and new records are added when records in the Tour Master file:

Match the region specified in the CARS+ Download Record control file.

Have no region code (meaning they are worldwide).

IT records that are NOT updated from the Tour Master file are:

If "Y", the Global Net Rates control file is read for an option matching the DRIVR option. Its position in the IT Inclusives is determined and set to "Y".

If "A", the TOUR FAMILY field is set to "W". Otherwise, it is set to "N".

TD-INCL-VLF
If "Y", and there is an VLF Exempt Option Set code entered in the CARS+ Tour Download Record, that Option Set code is entered in the EXEMPT OPTSET field. Otherwise, the Global Net Rates control file is read for an option matching the VLF option defined in the CARS+ Tour Download Record. Its position in the IT Inclusives is determined and set to "Y".

Additionally, the values in the CARS+ Tour Download Record are used to populate certain fields in IT records as follows:

III. TOUR LOCATION DOWNLOAD

The Tour Location File is the second download from OKC. Data from the Tour Location File is mapped to the CARS+ IT file as follows:

MIN_AGE	IF "21", the Min Age field is set to 21. And, the contents of the Min Age Privilege Code field from the CARS+ Tour Download Record is entered in the Age surcharge privilege code field on page 2 of the IT record. If "25", the Min Age field is set to 25. Any other value in the OKC file is ignored.
RES_IND1	If "Y", the Global Net Rates control file is read for an option matching the SKI option defined in the CARS+ Tour Download Record. Its position in the IT Inclusives is determined and set to "Y".
RES_INC4	If "Y", the Global Net Rates control file is read for an option matching the GPS option defined in the CARS+ Tour Download Record. Its position in the IT Inclusives is determined and set to "Y".

Note: The Hertz Tour Master File upload does not use the IT Templates when creating IT records.
