I. INTRODUCTION

The CARS+ system is delivered with two sets of data files. The first set of files, accessed in Company 00, contains no data and is intended for your own live data. After completion of the data entry phase of system setup, the live data in Company 00 should be copied over to the training files, Company 99, thus creating your own permanent training system. This section contains information on the setup and maintenance of these training files.


II. CREATION OF YOUR TRAINING FILES

After all data files are set up and have been checked for accuracy, contact Thermeon’s Customer Support Dept. and request that the "live" data be copied to the training files.


III. MODIFYING THE TRAINING FILES

After the copying is complete, login to the training company and follow the procedures stated below.

Because the company name and location names are copied, make the following changes so that reports and rental agreements printed in the training company will be easily distinguished from those of the live company.

Edit Company File (EDITCOMP)

Fields 1 and 2 - Company Name: Change the company report name and display name to: "TRAINING COMPANY".

Edit Location File (EDITLOC):

Page 1, Field 2 - Location name: Change to "TRAINING COMPANY".

Page 1, Fields 7and 8- RA # range: Change the RA number range to a unique range that will identify the RAs as being from the Training Company and not the live company.

Page 2, Field 3: Posting Company. If a company number is in this field, remove it.

CAUTION: This field MUST be blank in order to post training company RAs. Failure to remove the posting company number will cause training company RAs to update the live accounting company files.

For those operations having many locations, rather than having to manually remove the posting company number from each location, a special program is available to remove the posting company numbers from all location records at one time. Ask Thermeon’s Customer Support Dept. to run the "CPYCMP” program.

CAUTION: This program should be run ONLY from the training company and not your live operating company!


IV. SANITIZE THE TRAINING COMPANY DATA

To protect past customers’ personal data, that data should not be used for training or testing purposes.

For that reason, CARS+ provides a program that will “sanitize” data after copying it to another company, such as when live data is copied to a training company in CARS.

In order to remove credit card data and other customer personal information in the training company (or any other receiving company), the program MASK CUSTOMER PID (shortcut: PIDUPD) needs to be run. It will “sanitize” the data in several files including the Customer, Reservations, RA, and Deposit/Payment files. The data is replaced with standardized information for all records.

PROGRAM: MASK CUSTOMER PID (shorcut: PIDUPD)

Data Field #1: Company No.

Enter up to 2 alphanumeric characters representing the Company whose data should be changed

Data Field # 2: Second Employee

Because of the critical nature of this program, it requires 2 usercodes/passwords in order for it to be run. Therefore, enter up to 6 alphanumeric characters representing an employee code of a second employee. This employee must have this program on their menu. This is followed by a prompt to enter the password.

This program makes the following data changes:

Customer File -- For all customers, the following changes are made:

Reservations -- For all reservations, the following changes are made:

RAs -- For all RAs, the following changes are made:

Additional Drivers records:

Data Field 3: Reset IT Codes

Y = Yes. On IT Code records with a billing account number, replace it with : 4564 4564 4564 4564

N = No. Do not replace the billing account number on IT Code records.

IV. FILES SHARED BY BOTH THE LIVE AND TRAINING DATA

The following files are shared by both sets of data:

Security Files
Menu Type File
User Access File
Terminal Records File
Credit Card Definitions File

This means that changes made to these files, while in the live system, will also apply to the training system and vice versa. Therefore, make changes with extreme caution.
