This program is part of the Res Turndown logic - a feature in CARS+ that allows the following:

Use this program to:

User tip: A field in the User Access Record can be used to restrict the user to 'view only' mode. In that mode, no records can be added, edited, or deleted.

TO DELETE A RECORD: Press F4. The following prompt will appear:

ENTER CODE TO BE DELETED:

If the number entered matches the number of the record displayed on the screen, the following prompt will appear. Enter "Y" or "N" as appropriate.

ARE YOU SURE (Y/N) ?

If the number entered does not match, the following message will display:

ENTRY DOES NOT MATCH, DELETE ABORTED

To access the program, type EDITTD (RET) at any menu "OPTION:" field or the appropriate number on the Sales Control Files Menu. The screen will then display:

Enter data as follows:

1. TURNDOWN CODE

Enter up to 6 alphanumeric characters representing a code used for a turndown reason. Both the code and the description from the next field will display in a pop-up window in the appropriate programs.

EXAMPLE: Type C1 (RET)

2. DESCRIPTION

Enter up to 30 alphanumeric characters for a description of the code entered in Field 1.

EXAMPLE: Type LOC CLOSED FOR PICKUP TIME (RET)

3. EXPIRED

Use this field to designate that a code has expired. (Codes cannot be deleted.) Enter:

Y = Yes, this code should be expired.

N = No, this code is not expired; it is active.

EXAMPLE: Type N (RET)

4. RES ONLY

As stated above, the turndown logic stores records in either the Reservation File or the Turn Down Call File. A pop-up window in each program displays appropriate turndown codes and their descriptions. This field controls in which pop-up window the turndown code appears. Enter:

Y = This code may be used from the Reservations screen. It will be included in the Shift/F7 list from the "Turndown Code" field from the D subwindow.

N = This code isn't used from actual Reservations. Instead, it is used for miscellaneous calls and will be included in the Shift/F7 list in the "Log Reservation Turndown Call File" from the T subwindow. (A reservation is not required to record this Turndown entry.)

O = This code can be used only when the turndown is from RA Open. That is, the customer with the reservation came to the rental counter but the customer decided not to rent. Sample reasons for counter turndowns are:

  • unable to secure the rental with a credit card auth or a cash deposit.
  • renter is on the Do Not Rent list
  • desired class was not available and renter would not take a substitution.
  • renter was underage
NOTE: This feature is turned on in Edit Misc Control Fields in the "Open Turndowns" section on page 7. When it is turned on and a reservation was loaded but the user exits RA Open without saving the RA or presses F3 to clear the screen a popup window will appear asking the question:

SHALL THE RESERVATION BE TERMINATED?
Enter:
N = exiting RA Open continues as usual
Y = another pop-up window is displayed and a turndown code must be entered. Only those turndown codes defined as type "O" in Edit Res. Turndown Codes can be used. The status of the reservation will remain 'O" (open), and will normally be converted to status "N" (noshow) when Process Noshows is run

5. RPT ALWAYS

In the selection screen for the Reservation Turndown Report, a field asks if all turndown codes should be included in the report. When the user answers "Y", then all codes are included. However, when the user answers "N", only those codes that have a "Y" in THIS field (Report Always) are included in the report.

Use this field to indicate if this code should always be included in the Reservation Turndown Report.

Y = Yes. Turndowns using this code should always be included in the Reservation Turndown Report.

N = No. Turndowns using this code should be included in the Reservation Turndown Report only when "all codes" are requested.
