Use this program to:

  • Enter a Trip Ticket (the Hertz Canada version of a Non-Rev Movement). Transactions entered through this program are transmitted to OKC.
  • Complete a preprinted Trip Ticket.

(Transactions entered in the Non-Rev Movement Entry program on the History/Maintenance Menu are not transmitted to OKC.)

Batch version: A batch version of this program can be used to create a trip ticket for an on-rent vehicle as long as the user both opens and closes the ticket in a single session.

To access the program, type TT (RET) at any menu "OPTION:" field or the appropriate number on the Hertz Canada Menu. The screen will then display:

Enter data as follows:

1. DOC#

To bring up an existing Trip Ticket:

Enter the ticket number in Field 1 and press (RET)

To complete a preprinted Trip Ticket

Enter the ticket number in Field 1 and press (RET). If the "In Kms/Miles" field is blank when the ticket is saved with F1, the ticket's status is changed to "O" (open) and all required fields to open a ticket must be completed.

If data is entered in the "In Kms/Miles" field, when the ticket is saved with F1 the ticket's status is changed to "C" (closed). All required fields for a closed ticket must be completed.

To create a new Trip Ticket:

A field in the Location record can be used to generate automatically assigned Trip Ticket numbers. If that field is blank, you must enter a trip ticket number in this field.

If that field is used (a 7 character number has been set up) leave this field blank. A number will be assigned to the transaction when it is saved. However, note that when this field is left blank, all data must be entered to both open and close the ticket in a a single session.

2. OUT DATE/ TIME

Using your selected date and time format, enter the date and time (with a slash separating them) that the driver left with the car. These fields can be back dated for batch entries.

3. OUT LOC-VENDOR

Enter one of the following:

The Location Code for the location from which the vehicle is checking out. This can be an owned location or a foreign location.

A valid Vendor Number

EXAMPLE: Type TUS (RET)

4a. OWN AREA/

Enter the 5 digit Area Number representing the area of the vehicle owner.

EXAMPLE: Type 93825 (RET)

Note: A GVT record can be set up to require the Owning Area be validated against the Vehicle record's Owning Location. If you want to validate this field, ask Thermeon's Customer Support Dept. to set up GVT record VEHOWNER.

4b. UNIT

Enter up to 6 characters representing the Vehicle Number. Or return to the "OPTION:" field and use the F6 Search feature to select the vehicle.

If the current status of the vehicle is "O" (on rent) and the return date on the RA is after the current date, the Out Date and Due Date on the Trip Ticket must be earlier than the opening date/time on the RA. If the Trip Ticket dates conflict with the open RA, the following message is displayed:

THIS DATE IS AFTER THE ON-RENT DATE OF THE CURRENT OPEN RA# xxxxxxxx

(where xxxxxxxx is the RA number.)

If the current status of the vehicle is "O" (on rent) and the return date on the RA is earlier than the current date (meaning the RA is overdue), the Out Date and Due Date on the Trip Ticket must be either earlier than the opening date/time on the RA or later than the return date on the RA. If the Trip Ticket dates conflict with the open RA, the following message is displayed:

THIS DATE IS BEFORE THE RETURN DATE OF THE MOST RECENT RENTAL RA# xxxxxxxx

(where xxxxxxxx is the RA number.)

5. OUT KMS/MLS:

Enter the odometer reading of the vehicle checking out, or press (RET) to accept the current odometer reading.

EXAMPLE: Type 1200 (RET)

6. DUE LOC-VENDOR

Enter one of the following:

The Location Code for the location from which the vehicle is checking out. This can be an owned location or a foreign location.

A valid Vendor Number

EXAMPLE: Type TUS (RET)

7. DUE DATE

Using your selected date format, enter the expected return date.

EXAMPLE: Type 101205

Note: Due date must be within 90 days of the current date.

8. DRIVER NAME:

Enter up to 18 characters for the Last Name of the driver followed by a slash (/), then enter up to 12 characters for the First Name of the driver.

EXAMPLE: Type SWEENEY/PHIL

9. VEH STAT

Enter the Vehicle Status Code to indicate the status the vehicle is to be in while on a open Trip Ticket.

The following types of statuses are not allowed:

On-Rent - only the RA Open programs can place a vehicle in this status

Sold Types - vehicles must be sold via the Sell A Vehicle program.

Available Types - while a vehicle is on a non-rev ticket it must be in a non-available type of status.

THE FOLLOWING FIELDS ARE USED ONLY WHEN CLOSING A TRIP TICKET.

10. IN DATE/TIME

This field is used when closing a trip ticket. In your selected date and time formats, enter the date and time that the vehicle checked in.

EXAMPLE: Type 101205/1245 (RET)

NOTE: When entering an open ticket, leave this field blank.

11. IN LOC-VENDOR

This field is used when closing a trip ticket. Enter the Location Code (or Vendor Code)where the vehicle checked in.

EXAMPLE: Type TUS (RET)

NOTE: When entering an open ticket, leave this field blank.

12. IN KMS/MLS

This field is used when closing a trip ticket. Enter the current odometer reading at the time the vehicle checks in.

EXAMPLE: Type 1236 (RET)

EMPL OUT

This field displays the code of the user that opened the trip ticket.

EMPL IN

This field displays the code of the user that closed the trip ticket.

CWF DATE

This field displays the date that the trip ticket data was transmitted to OKC.


When opening the trip ticket, the screen will then display:

Press "F1" at the "OPTION:" field to save the transaction. The Trip Ticket status will be set to "O" (open).


To recall a Trip Ticket t
o the screen, enter the number in Field 1 or use the "F6" Search feature to search the Non-Rev File.

When closing the trip ticket, the screen will then display:

PRESS "F1" AT "OPTION:" TO CLOSE the ticket. Upon doing so, the Status on the vehicle will be changed to whatever status is specified in the Location record for vehicles checking in from a RA. The Trip Ticket status will be set to "C" (closed).


Notes about Trip Tickets and Vehicle Status:

If the vehicle's status is other than "O" (on rent) and the date out on the Trip Ticket is later than the current date in the vehicle's inventory record,OR

If the vehicle's status is "O" (on rent) and the RA's return date/time is earlier than the current system date/time, the following fields are updated in the vehicle record:

Current Date
Status
Current Odometer
Current Location
Last RA#

If the vehicle's status is other than "O" and the date out on the Trip Ticket is later than the current date in the vehicle's inventory record and the security access level attached to the current status is less than the security level of the user, the following fields are updated in the vehicle record:

Current Date
Current Odometer
Current Location
Last RA#

If the vehicle's status is "O" and that status has a security attached toit that is less than the security level of the closing rental agent, a Trip Ticket can be opened.

If the vehicle's status is "O" and the last RA on the vehicle is an exchange RA, a Trip Ticket can be createdproviding the ticket is both opened and closed in a single session. The close date/time, which cannot be changed, will default to one minute before the date/time of the exchange. (This means that the vehicle's status and location will not be updated.)


EDITING TRIP TICKETS

Once an Open ticket has been transmitted to OKC, the only fields that may be changed are the 3 check-in fields. No other edits are allowed.

Once a Closed ticket has been transmitted to OKC, use the program CARRENT - Edit Trip Ticket to make edits.
