User tip: The Show Current Status 2 program lists only those RAs on HOLD or WAIT status.

To access the Show Current Status program, type CURSTAT (RET) at any menu "OPTION:"field or the appropriate line number on the Dispatch menu. The screen will then display:

Enter data as follows:

1. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location.

Enter:

  1. Up to 6 alphanumeric characters to select vehicles currently at a single location.
  2. A Group Name representing several locations (see the Chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to accept the default location.

Note: Your user access may be limited as to the locations for which you can run this report. If your access is restricted and you attempt to enter a location or location group which is outside your allowed parameters, the following message will be displayed at the bottom of the screen and your selection will be ignored:

2. WARNING TIME

Enter up to 2 numeric characters to indicate the number of minutes allowed before an RA on "Hold" status is to be considered overdue. For example, if it usually takes 30 minutes for your shuttle bus to pick up and deliver a customer to the base yard, you may want to set this field to 30 minutes. You will then be warned if any customer has been on a "Hold" status for more than 30 minutes. Press RET to accept the default of 15 minutes.

Y = The report will also show the number of reservations for each class for the time period defined in Fields 5 through 8.

N = Reservations will not be reported.

Y = The report will also show the number of vehicles that are scheduled to check-in during the time period defined in Fields 5 through 8.

N = Due in vehicles will not be reported. Because the Vehicle File does not carry the anticipated return date/time of an on rent vehicle, a "Yes" answer to this field forces the program to find and read all open RAs. This may increase processing time 3 to 5 times. For this reason, the default value of this field is "No".

5. START DATE

Using your selected date format, enter the starting date for reservations and check-ins. Press RET to default to today's date.

Using your selected time format, enter the starting time for reservations and check-ins. Press RET to default to midnight (first minute of current day).

READING THE REPORT

The Show Current Status Report has three pages. If you were to display the report on a terminal screen, page 1 would appear as follows:

Column definitions:

READY = Number of vehicles on the ready line that are available for rental (Status Code "A").

AVAILABLE = Number of vehicles with all other Type "A" Status Codes at this location. This is the pool of vehicles that can be brought forward to the ready line.

WAITING = Number of RAs that were opened without an assigned vehicle because none were available of the requested class on the ready line. These are listed in detail on the second page.

HOLDING = Number of vehicles holding on open RAs awaiting customer pick up. These vehicles are still parked in the ready line. Therefore, to get a total count of units on the ready line you must add the "Ready" total to the "Holding" total.

RESERVED = Number of reservations with pick-up date and time within the range specified on the selection screen.

DUE IN = Number of vehicles scheduled to check-in during the date and time range specified on the selection screen.

WARNING MESSAGE = In the example above, the warning message indicates that of the 7 RAs on Hold status, 3 have been on hold for more than 30 minutes. These 3 RAs are listed in detail on the third page of this report.

Observations on the report illustrated:

  1. As a first priority, the two class W vehicles on the back lot should be immediately brought to the ready line for the two waiting customers.
  2. By comparing the Ready column to the Reserved column, vehicles from the following classes should be brought to the ready line in order to meet anticipated demand:
    E, F, and W
  3. Because the two waiting customers will claim both of the class W vehicles, we will depend upon the scheduled check-in to fill the upcoming reservation.

This display shows all the RAs that were saved without an assigned vehicle. Column definitions are:

Time = Time the RA was opened. Customers have been waiting since this time.

Drw = Cash Drawer Number of the counter that wrote the RA.

RA# = Rental Agreement Number.

Cust Name = Renter's last name.

Cls = Class of vehicle requested.

Rate = Rate quoted to the customer.

RtrnDate/Loc = Scheduled Return Date and Location from the RA.

Notes = Any message from the RA Notes field.

Observations from the report illustrated:

1. Although Sampson has been waiting longer than Whiters, you may want to give the first available vehicle to Whiters because:

a. Whiters is paying full rack rate (6 vs 6CRP).

b. Whiters is involved in a longer rental (4 days vs 2).

c. Whiters is planning to return the vehicle to our location rather than a one-way rental to LAX.

This final page shows all RAs that have been on Hold for more than the accepted time period as defined on the program selection screen.

Column definitions are:

Cust Name = Renter's last name.

Open Time = RA Open Time (for on-line RAs, this is the time the RA was printed).

Drawer = Cash Drawer Number that wrote the RA.

Stall# = Parking stall # of the vehicle rented.

Veh# = Vehicle assigned to the RA.

RA# = Rental Agreement Number.

RES = Reservation number and pick up time (if a reservation was used to open the RA)

Observations from the report illustrated:

  1. This report was run at 1:15PM. That means that Mr. Smith's RA has been on hold for over an hour. A call to the rental counter for Cash Drawer #101 or to the shuttle bus should be made in an effort to locate the customer.
  2. Both of the last two RAs were written at Drawer #104. It is possible that your shuttle bus driver failed to stop at that pickup location.
