Use this program to enter historical data (data for days other than today) or to manually correct previously stored data. The program Operating Statistics Update is the program that is used to create this same data automatically for the current system date. Obviously, due to the detail requested, it is much simpler to use the automatic program to maintain this data than this manual version.

Currently, this data is used to produce the Daily Operations Report, a report that allows you to compare key operating data for a date against a comparable date one week, one month or one year ago. The data in this file is stored in more detail than is currently reported on the Daily Operations Report (data is stored for each class while the report can only be run for all classes). And there are fields here that do not appear on the report (such as T&M and res build for days 8-14). Both of these facts are due to future reports that are planned around this data. In order to support these future reporting needs, data is stored in the format described below so that historic data will be available.

To access the Edit Operating Statistics program, type EDITOPS (RET) at any menu "OPTION:" field or the appropriate number on the Additional Daily Tasks Sub-Menu located on the Daily Procedures Menu. The screen will then display:

Each field illustrated represents information that is captured when the Operations Statistics Update program is run. This program is used to correct the information that was captured by the Operating Statistics Update program or to manually enter the information for days when the information was not captured automatically.

Enter data as follows:

1. LOCATION

Enter up to 6 alphanumeric characters representing the Location Code.

EXAMPLE: Type TUS (RET)

2. DATE

Enter the date that corresponds to the data to be entered. As a point of reference.:

Rental data (Fields 20-27) will be for the day prior to the date entered here (yesterday's statistics).

Reservation data (Fields 5-19) will be for the next day and following.

No data will actually be entered that applies to the date entered here. Perhaps it is helpful to think of the automatic program Operating Statistics Update. That program when programmed to run automatically every night, will record after midnight the statistics for the previously completed date and the reservation build for the next upcoming 15 days.

3. CLASS

Enter up to 5 alphanumeric characters representing the Class Code whose statistics are to be recorded.

4. DAY OF WEEK

Enter one of the following the day of the week codes that represents the day that the above date fell on.

SU - Sunday

MO - Monday

TU - Tuesday

WE - Wednesday

TH - Thursday

FR - Friday

SA - Saturday

NOTE: This program does NOT check the accuracy of the day of the week assignment made here against the date in field 2. Entry of the wrong day of the week code will cause other programs to misreport rental data.

5. TOMORROW'S REZES

Enter the number of reservations for the appropriate class (in this case, CCAR) with a pick-up date for the following day (in this case for 08-20-01).

6. - 19. RES BUILD

Enter in Field 6 - 19 the number of reservations for this class with pick-up dates for each of the next 14 days (in this case, for August 21 - September 3, 2001. See the illustration at the end of this chapter for an example.

20. NO SHOWS

Enter the number of no-shows from the previous day (in this case, August 18.)

21. STD OPENS

Enter the net number of contracts that were opened in the standard manner on the previous day (in this case, August 18.). The formula for net opens used by the Operating Statistics Update program (and thus should be used here) is:

Enter the number of contracts that were opened via express service on the previous day (in this case, August 18.) Note: "Express service" is currently defined within the system to only be Hertz Gold Service rentals.

Enter the number of contracts that closed the previous day (in this case, August 18.)

EXAMPLE: Type 12 (RET)

24. DAYS

Enter the total number of DBR rental days from the contracts that closed on the previous day.

EXAMPLE: Type 49(RET)

25. T&M

Enter the time and mileage revenue for the contracts that closed (entered in Field 23) for this class of vehicle on the previous day (in this case, August 18.)

26. TURNDOWN COUNT

Enter the number of customers that you had to turn away (turndowns) on the previous day for the class in Field 3.

27. TURNDOWN ENTERED

Enter a "Y" in this field (even if field 26 is blank) to indicate that the number of turndowns for this date has been entered. Turndowns are normally entered via the Enter Turndowns Program. That program automatically sets this field to "Y". A "Y" in this field is used to determine if a blank in field 26 means there were no turndowns (a value of "Y") or if turndowns were never entered for this date (this field is blank).
