For some users, the standard space allowed for customer's names is not sufficient. Therefore, to accommodate operations which typically have customers and/or vendors with longer names, CARS+ can be configured to work in what is called "extended name" mode.
Customers:
II. SET UP
Contact Thermeon's Customer Support Dept. to enable the extended name feature.(The Support Dept. will set up a special record coded "EXTNAME".)
III. ENTERING A CUSTOMER NAME
User tip: To edit a name, see Section V. Editing a Name.
In the RA Open, Reservations, and Customer programs when the cursor first accesses the Name fields, a special pop-up window will automatically appear for entering the name. An example is shown below:
Last Name
First Name
Title
The Last Name field accepts up to 18 characters .
The First name field accepts up to 60 characters (including spaces). While the entire name will be saved, only the first 12 characters will display upon exiting the pop-up window. This is due to space constraints.
The Title field accepts up to 10 characters. (The title must have already been set up in the Edit Title Codes control file.)
ENTERING A COMPANY
When entering a company, leave the Last Name field blank and use the First Name field for the company name. (Remember, the Extended Name feature allows for up to 60 characters in the First Name field.) Here's an example:
Last Name
First Name BLACK BEAR ENVELOPE AND PRINTING CO
Title
When the Last Name field is blank and data is entered in the First Name field only, the following message will display:
IS THIS A COMPANY?
Enter:
Y = Yes, it is a company.
In this case, the first 18 characters of the company name entered in the First Name field will be placed in the Last Name field. (This allows for a search for the company by name.) As an example:
Last Name BLACK BEAR ENVELOP
First Name BLACK BEAR ENVELOPE AND PRINTING CO
Title
In the Customer File it would appear as follows:
| OPTION: ________________ CUSTOMER FILE UPDATE (PAGE 1) 01 Customer # 21 Veh Class 02 Last/Title BLACK BEAR ENVELOP/* 03 First BLACK BEAR E |
N = No, it is not a company.
In this case, the first 18 characters entered in the First Name field will be placed in the Last Name field and the First Name field will be erased. In the Customer File it would appear as follows:
| OPTION: ________________ CUSTOMER FILE UPDATE (PAGE 1) 01 Customer # 21 Veh Class 02 Last/Title BLACK BEAR ENVELOP/* 03 First |
IV. ENTERING A VENDOR NAME
In the Vendor File Maintenance program, when the cursor is placed in the Name field, a special pop-up window will automatically appear for entering the name.
Enter up to 60 characters for the Vendor Name. Note, however, than only the firs 25 characters will show in the Vendor Name field upon exiting the window.
User tip: If RealWorld Accounts Payable is used, only the first 25 characters of the name will show in AP. However, when the check prints, the entire extended name will print on the check.
V. EDITING A NAME
A. RA OPEN OR RESERVATIONS
Once data is entered in the extended name window, all editing must be done by accessing it again by pressing Shift/F7 from the name field. This is the only way that names can be edited.
If an edit of the name is attempted directly from the Name fields, the message 'INFORMATION ONLY FIELDS" displays and the change is not allowed.
B. CUSTOMER FILE
When a customer's record is accessed from Customer File Maintenance, the extended name pop-up window displays automatically when the cursor is placed in the Name field. Edits can be done at any time in the pop-up window.
C. VENDOR FILE
When a vendor's record is accessed from Vendor File Maintenance, the extended name pop-up window displays automatically when the cursor is placed in the Name field. Edits can be done at any time in the pop-up window.
VI. RA PRINT PROGRAM
Existing rental agreement print programs can be enhanced in order to print the extended names for customers. Contact Thermeon's Customer Support Dept. for further information.
VII. AP CHECK PRINTING PROGRAM
When the Exended Name feature is turned on, the extended name for the Vendor prints on the RealWorld Accounts Payable checks .
