Use this program to define Free Mile Modifier Records. Through these records you can modify the free miles on individual RAs. Also, the method used for the mileage allotment offered on a Rate Product can be modified.

For example, on the weekend Rate Product WKEND renters are usually allowed 100 free miles a day. However, from time to time you may offer certain customers a lump sum of 500 miles for the weekend period. By applying a Free Miles code to the RA, the free mileage allotment AND the method in which it is applied can easily be changed--without having to create a separate Rate Product.

To access the Edit Free Miles Tables program, type EDITMILE (RET) at any menu "OPTION:" field or the appropriate line number on the Rental Rates menu. The screen will then display:

1. CODE

Enter a one or two character alphanumeric code to indicate this free miles modifier.

EXAMPLE: Type W5 (RET)

2. DESCRIPTION

Enter up to 50 characters to describe this Free Miles Modifier.

EXAMPLE: Type WEEKEND 500 MI LUMP SUM (RET)

3. MILEAGE RATE

Enter the amount for each chargeable mile driven. You may enter up to 3 characters to the right of a decimal point. If this rate product has unlimited free miles, leave this column blank.

EXAMPLE: Type.250 (RET)

4. FREE PER HOUR

Enter up to 4 numeric characters to indicate the number of free miles allowed for each hour charged. If free miles are not offered on a hourly basis, skip this field.

FIELDS 5 THROUGH 12

Fields 5 through 12 are used to define how free miles are offered on rentals. These fields are arranged in a similar manner to the mileage fields on the Rules/Rate Record.

The four rows are labeled on the left indicating a period of time (days, weeks, tier1, tier2, etc.).

MILES This column (Fields 5, 7, 9, 11) is used to define number of free miles offered per increment of time. If the record offers unlimited free miles (no rate entered in Field 3) leave fields 5 through 12 blank.
METHOD

This column (Fields 6, 8, 10, 12) contains a code defining how free miles are applied to a rental agreement.

T = TIME. Free miles are multiplied by the number of time units (days, weeks, etc.) and then applied to the rental. If you offer 100 free miles per rental day, you would use this method of application.

L = LUMP SUM. A single allotment of free miles is offered to the renter and the amount does not change with the length of the rental. If you offer 200 free miles total on a special weekend Rate Product, you would use the Lump Sum method.

P = PRO-RATED. Under this logic, a set amount of free miles is defined for a period and any days beyond that period are given additional free miles at a prorated amount. If 1000 free miles are offered for a 30 day rental, the 31st day would receive 33 additional free miles (1000 free miles divided by 30 days).



The modifier used as example above (lump sum for weekend period) would appear as follows:
