To access the Reservation Edit Report 2, type RER2 (RET) at any menu "OPTION:" field or the appropriate line number from the Additional Res. Programs sub-menu of the Reservations Menu. The screen will then display:

Enter data as follows:

The meaning of Fields 1 through 4 and Field 6 is determined by the value entered in Field 7. Please read the instructions for Field 7 before looking at the following directions.

1.START CREATE DATE

The date/time range entered in Fields 1 - 4 refer to the date the reservation was created in the system. Or, by using the field located to the right of of Field 3, this date range refers to the date reservations were last modified.

Using the selected date format, enter the starting date. Press RET to default to today's date.

2. START CREATE TIME

Using the selected time format, enter the starting time. Press RET to default to midnight.

3. END EDIT DATE

Using the selected date format, enter the ending date. Press RET to default to today's date.

USE RES CREATE DATE
This field controls whether the date and time range entered in Fields 1-4 refer to the date the reservation was created or the date it was last modified. Enter:
Y = the date range refers to the create date of the reservations
N = the date range refers to the last modification date of the reservations

4. END EDIT TIME

Using the selected time format, enter the ending time. Press RET to default to 11:59PM.

EXAMPLE: Type 1800 (RET)

5. LOCATION

Enter up to 6 alphanumeric characters to indicate the Customers Pick-Up Location. Enter:

  1. Up to 6 alphanumeric characters to select a single pick-up location.
  2. A Group Name representing several locations (see the chapter Edit Group Names for a discussion on location groups). Remember, the first character of a Group Name is the plus sign "+".
  3. Press RETURN to include ALL locations.

The user's access may limit the locations for which this report can be run. If access is restricted and a location or location group outside of those allowed is entered, the following message will display at the bottom of the screen and the selection will be ignored:

6. EMPLOYEE

To restrict the report to reservations created by a single employee, enter up to 6 alphanumeric characters representing the employee code. Press RET to default to all employees.

7. STATUS

To limit the report to reservations in a particular status, enter one of the following statuses. Press return to default to all statuses.

O = Open
F
= Filled
C
= Cancelled (shows on the report as status “X”)
N
= All No Shows (both preprinted and non-preprinted)
NNP
= No Show reservations that were NOT preprinted
(Preprinted No Shows are reported as Voids on the DBRs)
ALL = All except for turndowns and quotes are included.

8. START PICKUP DATE

Using the selected date format, enter the starting pick up date. Press RET to default to the current day.

9. START PICKUP TIME

Using the selected time format, enter the starting pick up time. Press RET to default to Midnight.

10. END PICKUP DATE

Using the selected date format, enter the ending pick-up date. Press RET to default to "LATEST".

11. END PICKUP TIME

Using the selected time format, enter the ending pick-up time. Press RET to default to 11:59PM.

12. START SOURCE CODE

This field and the next one are used to limit the report to reservations with a certain source code. Enter up to 5 alphanumeric characters representing the starting source code.

13. END SOURCE CODE
If limiting the report by source code, enter up to 5 alphanumeric characters representing the ending source code.

EXAMPLE: Press (RET)

14. START RATE PROD

This field and the next one are used to limit the report to reservations with a certain rate code(s). Enter up to 12 alphanumeric characters to indicate a starting rate product code. Press RETURN to accept the default of "FIRST".

15. END RATE PROD

Enter up to 12 alphanumeric characters to indicate an ending rate product code. Press RETURN to accept the default of "LAST".

16. DETAIL/ ABBR/ SUMMARY/ NO DEPOSIT

Enter 1 alpha character to select the report format.

D = Detailed Report (three lines of data per reservation)
A
= Abbreviated detail (one line of data per reservation)
S
= Summary (reservation counts only)
N
= List only those reservations without a deposit

SORT ORDERS

The 2 sort order fields allow the user to determine in what order the reservations will be printed. There are two possible sorts available on this report, the primary and secondary sorts.

The PRIMARY sort groups reservations under major headings. As an example, reservations can be grouped by the employee who originally created them.

The SECONDARY sort allows a choice for the order in which the reservations will appear under the major sort. As an example, reservations can be made to appear by Edit Date/Time order under each employee grouping. If no Primary sort is designated, reservations will be printed in the order of the Secondary sort.

17. PRIMARY SORT

Enter 1 alpha character to select the Primary Sort.

C = Vehicle Class
E = Create Employee
L = Pickup Location
S = Source Code
blank = no primary sort

18. SECONDARY SORT

Enter 1 alpha character to select the Secondary Sort.

N = Alphabetically by the customer's last name.
P
= Pickup Date/Time.
E
= Modified Date/Time.
C
= Change Status. This sort will list reservations by pickup Date/Time order within the following subheadings: New Reservations, Modified Reservations and Cancelled Reservations.

19. PRINT OPTIONS

This selection is only valid if a detailed report was selected. On detailed reports, enter one of the following:

Y = Yes, reserved options and their rates will print on an additional line for each reservation.

N = No, reserved options will not print on this report.

20. PRINT/
DISPLAY

Enter:

P = Print a hard copy of this report on your terminal's assigned printer or send it as an email message. See the Edit Terminal Record Chapter for instructions on how to assign printers and send reports as e-mails.

D = Display this report on the terminal screen. See the General Data Entry Instructions Chapter on how to control the screen display.

21. FLAG SELECTIONS

If reservations are received electronically from a national reservation center and those reservations which should receive special handling (such as a preferred customer club) come with a special code, enter the single alphanumeric code used to flag those reservations to restrict this report to those reservations only. Press RETURN to default to all reservations.

When run in detail, data is shown in the following columns:

Row 2:
Rate code:
Retail reservations - the rate code on the reservation
Wholesale reservations - the rate code on the voucher

Rate:
Retail reservations - the rates for day, week, month, extra day
Wholesale reservations - the total Time value of the voucher in the "day" field (not a per day rate). If the rate is an inclusive rate, this is the unbundled amount for the entire voucher that applies to Time.
