Use this program to set up controls for the Non-Revenue program.

To access the Edit Non Rev Control program, type EDITNR (RET) at any menu "OPTION:" field or the appropriate number on the Non-Revenue Menu. The screen will then display:

Enter data as follows:

1. MAXIMUM NON-REV DURATION (DAYS)

Enter up to 3 numeric characters to indicate the maximum length (days) that is allowed for a non-rev or leave this field blank if there is no maximum restriction.

Note that a user with the proper access level (see field 7 below) is not subject to this limitation.

2. MULTI-VEHICLE SCREEN

The Non-Rev screen can be used to track the non-rental use of a single vehicle or the transport of multiple vehicles on a truck trailer rig. As a result, the default layout of the screen allows for the entry of multiple vehicles. Under this configuration only the first vehicle number field is used when tracking a single unit and all other fields (used for flat bed transportation of multiple vehicles on one ticket) are left blank. For rental operations who never make use of multi-vehicle transports, this field can be used to change the screen display so that only one unit number can be entered. Enter:

Y (or blank) = Yes, display fields for multiple unit numbers on a single Non-Rev Ticket.

N = No, only display a single vehicle number on the Non-Rev screen.

3. BLOCK ONE WAYS

Elsewhere there are various blocks that prevent certain one way rentals in the Reservation and RA Open programs. For example, a 15 passenger van (Vehicle Class FVAR) cannot be rented from Location A to Location B if the destination location does not have that class defined as one of the classes that it has within it's Class list. This field asks if Non-Revs should be limited by the same one-way controls that govern the rental programs. Enter:

Y = Yes, Non-Revs should be limited in one-way transactions in the same way that Reservations and RA Open are.

N (or blank) = No, Non-Revs should not be limited like rentals. A user should be allowed to use a Non-Rev to send a vehicle to a location that he would not be allowed to rent the same unit to.

4. REQUIRE DRIVER'S LICENSE?

Is the Driver's License data required on a Non-Rev Ticket? Enter:

Y = Yes, the driver's license data of the driver is required in order to open a new ticket.

N (or blank) = No, driver's license data is NOT required to open a Non-Rev ticket.

5. RESTRICT EDITS?

This field controls whether the odometer fields and the various date and time fields can be edited on a previously saved Non-Rev ticket. Enter:

Y = Yes, the fields listed above are blocked from being edited on an existing Non-Rev record. If any of these fields are wrong, the ticket must be voided and a new one created with the proper data OR a user with the proper access level (see field 7 below) must do the editing.

N (or blank) = No, there should be no restrictions to editing data on previously created Non-Rev tickets.

6. MAKE VEHICLE AVAILABLE?
When closing a Non-Rev, can the vehicle go immediately into an Available type Vehicle Status?

Y (or blank) = Yes, the Vehicle Status that is entered into the Non-Rev screen when closing a ticket can be an Available Status.

N = No, like rental agreements, vehicles that are coming off of a Non-Rev ticket cannot be made immediately available, but they must go through some type of post-rental clean-up and preparation. Therefore, the Vehicle Status entered when closing a Non-Rev ticket must be a Non-Available status.

7. AUTHORIZATION OVERRIDE LEVEL
If edits to an existing record is restricted by virtue of Fields 1 or 5 above, this field defines the Menu Access level that is required to override the edit restriction. Enter a number between 1 and 99 to indicate the maximum Menu Access level a user must have in order to edit the restricted fields. For example. entering the Menu Access Level "10", will allow users with Menu Access Levels between 1 and 10 to edit the restricted fields.
