Some operations using CARS+ may want to grant access to their system to another party ("a guest") for the purpose of booking reservations. For example, certain licensees might be willing to book reservations for each other. Or it is possible to grant access to a travel agency that will book reservations.
Setting up the system for guest usage allows certain designated users to have very limited access. However, they have sufficient access to book reservations and edit the reservations they created. They cannot access other reservations. Even a search of the Reservation file will show only the reservations which they have booked.
This chapter lists the steps necessary to set up and use the Cross Company Reservations feature of CARS+.
II. SET UP
Because the following set up may be beyond the typical user's knowledge of CARS+, please contact Thermeon's Customer Support Dept. to assist with it.
A. MENU ACCESS LEVEL
Set up a Menu Access level that allows access to only 2 programs:
This is done using the program "Select Items for Menus" on the Security System Menu.
User tip: These programs are located on the "Additional Res Programs" Menu which is a sub-menu of the Reservations Menu.
B. SET UP A NON-RENTING LOCATION
Using the Edit Locations program create a non-renting location for each organization that will sign on to book reservations.
C. SOURCE CODES
To track the bookings, create Source Codes in the Edit Source Codes program. A Source Code will be placed in each User Access Record which will, in turn, place that Source Code on the Reservations booked by that user.
D. SETTING UP USER ACCESS
Ask Thermeon's Customer Support Dept. to set up the users who will book reservations. In the User Access File and Terminal Records, these users will be assigned:
III. USING THE RESTRICTED PROGRAMS
A. RESERVATIONS
The Restricted Reservations program differs from the regular Reservations program in the following ways:
When a guest user creates a reservation, their default location (the non-renting one assigned to them) is noted in the Reservations program as the "create location". This non-renting location turns on the restrictions imposed on guest-created reservations.
Searches on the Reservations screen are limited to the following files:
When a search of the Reservation File is requested, only those reservations that have the same "create location" indicated are included in the search. Therefore, the guest user cannot search or see any reservations other than ones they created.
The only reservations that may be pulled onto the screen are those with a matching create location of the guest logged in. These reservations may be viewed, edited, or canceled.
B. RES EDIT REPORT
Only those reservations that have the same "create location" of the guest logged in are eligible for in the report.
USER TIPS:
Rate Product Codes:
Guests will need to know the rate product code to use for their bookings. (A search of the Rate File is not accessible.) Or a default rate for Reservations can be defined in the Location Records for renting locations.
Editing Rates:
Indicate in the guest's record in the User Access File whether or not they can edit rates.
