I. INTRODUCTION

For Hertz Australia, the CARS+ Cross-hire logic provides the ability to use the RA Open program to temporarily in-fleet vehicles that they rent for competitors when serving the Australian Dept. of Defense.

II. REQUIRED SET-UP STEPS

A. EDIT MISCELLANEOUS CONTROL FILES

Two fields on page 3 are used for numbering the vehicles. Data is initially entered into these fields and then they increment automatically.

Data Field 28: Next Crosshire Corp

Date Field 29: Next Crosshire Lic

Enter up to 6 alphanumeric characters representing a vehicle number to be used for in-fleeting the Cross-hire vehicles. If the Location's posting company number is 00 or blank, it is assumed that the location is a corporate location, and the vehicle number will be taken from Field 28. Otherwise, it is assumed that the location is a licensee location, and the vehicle number will be taken from Field 29.

B. EDIT PRIVILEGE CODES

Data Field 35: Crosshire

Indicate whether or not this Privilege Code should invoke the Cross-hire logic on the RA Open screen. (It is the presence of a CDPID number with a Cross-hire Privilege Code that allows the user to access the Cross-hire subwindow on the RA Open screen.) Enter:

Y = Yes, this Privilege Code should turn on the Cross-hire logic.
N (or blank) = No, this Privilege Code will not turn on the Cross-hire logic.

Note: Entering "Y" in this field also turns on two other features: it exempts from the Planning Calendar overbooking and exempts from the Length of Rental logic.

C. EDIT MODEL CODES

Create Model Codes for each class in the following format:

Model Code: DODxx where "xx" is the Class Code.

Example: DODC for a C class vehicle or DODF for a F class vehicle.

III. COUNTER INSTRUCTIONS

A. OPENING RAs FOR CROSS-HIRES

To enter a Cross-hire vehicle, use the "CH" subwindow. Access to this subwindow is allowed only when the following conditions are met:

  1. Vehicle Class Code must already have been entered in the main window, and
  2. A Model Code has been set up for DODxx (where xx is the class code entered in the main window); and
  3. A CDPID number has been entered on the RA which has the Cross-hire privilege code set to "Y".

If all 3 of these conditions are met, the CH subwindow will display as shown below:

Enter up to 11 alphanumeric characters representing the license plate number on the vehicle.

EXAMPLE: Type JEG102088 (RET)

Enter up to 8 alphanumeric characters representing the color of the vehicle.

EXAMPLE: Type WHITE (RET)

NOTE: The system can be configured in a manner which makes this field default to a standard color. If that is desired, ask Thermeon's Customer Support Dept. to set up GVT record CRSCOLOR and enter the color in the alpha value field.

When data exists in the CH subwindow, the Vehicle subwindow (Subwindow E) cannot be accessed on the RA Open screen.

B. GENERATING THE VEHICLE RECORD

When the RA is saved, a new record is created in the Vehicle File. It will have the following values:

Generated from one of the Cross-hire fields in Edit Miscellaneous Control Fields. If the renting location's posting company number field is 00 or blank, the number is generated from the Cross-hire Corp field. Otherwise, it is generated from the Cross-hire Licensee field.

Model Code

DODxx (where xx is the vehicle Class Code.) All other data from the Model Code file will default to the appropriate fields.

Current Odometer reading

Odometer reading from the RA Open screen

Owning Location

If opening location has a posting company number of 00 or the posting company number is blank, the owning location is set to "DF". Otherwise, it is set to the opening location on the RA.

Vehicle License Number

Data entered in the CH subwindow of RA Open

Vehicle Color

Data entered in the CH subwindow of RA Open

Vehicle Purchase Date

Opening date on the RA

C. EDITING A CROSS-HIRE RA

If the return date is changed on the RA, the appropriate fields in the Vehicle record (Tab Expiration Date and Turnback Date) will be updated.

D. VEHICLE EXCHANGE ON A CROSS-HIRE RA

Access to the Exchange Subwindow is not allowed on a Cross-hire RA. If it is attempted, the following message displays:

EXCHANGES CANNOT BE DONE ON CROSSHIRES; VOID THIS RA.

E. CLOSING A RA

When a Cross-hire RA is closed, the status of the vehicle is changed to "S" (Sold) and the closing date of the RA is automatically entered in the Sale Date field of the vehicle record.

F. VOIDING A RA

When a Cross-hire RA is voided (a RA whose vehicle Class begins with the "DOD"), the vehicle's status is changed from "O" to S".
