This addendum to the RA Close documentation covers the following special features:
Although a customer intends to return a vehicle to a particular location, on occasion circumstances arise causing the customer to return to an alternate location. To insure that the Drop Charge is assessed properly, your system can be configured in a manner so that the following message displays on the Close screen:
RA DUE AT xxx; EDIT RETURN LOC IN RA OPEN BEFORE CLOSING
(where xxx is the opening location.)
When this message is displayed, you must bring up the contract on the RA Open screen and change the return location before proceeding with the Close.
To configure your system to operate in this manner, a GVT record "CHKRTLOC" must be set up.
II. CLOSING BLOCKED FOR NON CORPORATE USERS
Users whose default location is other than 00 (zero zero) or blank, are blocked from manually closing the following::
Lease RAs that have not been cloned at least 12
times.
RAs for Fleet Management vehicles that have not been cloned at least 12 times.
In either situation is attempted, the following message will display:
RA HAS NOT BEEN INVOICED FOR AT LEAST 2 MONTHS, CLOSING NOT ALLOWED.
III. SiTEF and LOTEWIN CREDIT CARD PROCESSING
A. RA CLOSE
1. When a RA closes at a location using SiTEF (credit card number is encrypted) and a SiTEF pre-authorized credit card is on the RA, the following question is asked:
IS CREDIT CARD PRESENT FOR PROCESSING? Y/N
Enter:
Y = SITEF will be used to settle the payment on the RA
N = The EDC flag is set to pending and the following message displays:
PAYMENT WILL BE PROCESSED LATER BY LOTEWIN
2. When a RA closes at a location not using SiTEF but a SiTEF pre-authorized credit card is on the RA, the EDC flag is set to pending and the opening location code is attached to the record.
B. MULTIPLE INVOICED RENTALS
When the RA being clsoed has a credit card that was entered via SiTEF (the credit card number is encrypted), the total charges are paid by a pending Deposit/Payment record using the FOP on the RA.
