This program is used to clear or 'sanitize' the personal identification data (PID) from customer records. It will clear out of the customer's record all data that can be used to uniquely identify them. This includes the customer's address, driver's license number, date of birth, phone numbers, email address, passport number, federal tax id number and any other unique personal information from the customer records selected. This program DOES NOT delete the customer from the Customer File.

NOTE: It does NOT clear the name of the customer, the Other ID#, or the Frequent Traveler number. Therefore, the customer record can be used again for future rentals (but at that time PID data will have to be re-entered).

Because the customer's personal ID information is cleared, there will be no way to contact them because there will be no address, phone number, or email address remaining in the customer record. Therefore, DO NOT run this on customers who have rented in the recent months. Use Field 4 on the screen to control whose PID data will be erased.

For operations under the guidelines of the European GDPR regulations, this program can be run in two ways:
  1. It can be run for a single customer who has contacted you to exercise their right under the GDPR guidelines to be "forgotten". Entering a single customer number in both Fields 1 and 2 will allow you to do that.
  2. It can be run regularly in order to be in compliance with the GDPR requirement to remove PID data after there is no longer a valid business need for that data to be on your system. Use Field 4 for that purpose. For more information on GDPR, refer to the chapter: Overview - General Data Protection Regulation (GDPR).

This program may be run manually at your discretion or it may be configured to run automatically on a scheduled basis. Users interested in having this run automatically should contact Thermeon's Customer Support Dept. for further information.

To access the Clear Customer PID Data, type CLEARCUST (RET) at any menu "OPTION:" field or the appropriate line number on the Customer Maintenance Menu. The screen will then display:

Enter data as follows:


1. START CUST#

Enter up to 6 characters representing the first customer number to be cleared of PID data, or press RET to default to FIRST.

EXAMPLE: Press (RET)

2.END CUST#

Enter up to 6 characters representing the ending customer number to be cleared of PID data, or press RET to default to LAST. Enter the same customer number in both fields to sanitize a single customer who demands this under the GDPR requirements.

3. CUST TYPE

Enter a valid Customer Type code for those customers whose files should be sanitized.

This field defaults to the "Default RA Customer Type" defined for your system in Edit Main Control Record.

The following customer types (foreign locations and forms of payment) are not accepted: F, C, CC, B, BC, and H.

4. INACTIVE MONTHS

This field allows you to select the number of months the customer records need to be inactive in order to sanitize their data.

For example, entering '6' in this field means that the customer records that have been inactive for the past 6 months will be sanitized. Those records with activity within the most recent 6 months will not be altered.

User tip: It is the "Last Activity Date" in the customer record that is used when checking for activity/inactivity.

WARNING: If this field is left blank, even customers on currently open RAs may have their data sanitized.

5. NEW CUST TYPE

Part of this process allows the assigning of a new Customer Type to the customer records that were cleared. Enter here a valid Customer Type Code that should be assigned to the cleared customer records.
