Use this program to produce a report of vehicles that have mileage higher than an expected amount.

To access the Excess Mileage Report program, type XSMILE (RET) at any menu "OPTION:" field or the appropriate line number on the Fleet Menu. The screen will then display:

Enter data as follows:

1. CLASS

Enter a vehicle class or press (RET) to default to ALL vehicle classes.

EXAMPLE: Type ICAR (RET).

2. MAKE

Enter a particular make of vehicle or press (RET ) to default to ALL makes.

EXAMPLE: Press (RET)

3. MODEL

Enter a particular vehicle model code or press (RE) to default to ALL models.

4. START VEHICLE #

Enter the first vehicle number to include in the report or press (RET) to default to the FIRST vehicle.

5. END VEHICLE #

Enter the last vehicle number to include in the report or press (RET) to default to the LAST vehicle.

6. CURRENT LOCATION

Enter a Location Code or Group Code to select vehicles currently at that location or press (RET) to default to ALL current locations.

EXAMPLE: Type TUS (RET)

7. AVG MILES/ MONTH

Enter up to 5 numeric characters representing the number of average miles per month that will be used as a basis for determining which vehicles in the range selected have "excess" mileage. For example, if "1500" was entered in this field, a vehicle that has been in the fleet for 10 months would be expected to have 15,000 on the odometer. If the odometer reading was higher than 15,000, the vehicle would be selected for this report.

8. SORT ORDER

Enter once character to select how the information on the report should be sorted:

V = In order by VEHICLE number

L = In order by LOCATION

C = In order by vehicle CLASS

P = Print a hard copy of this report on your terminal's assigned printer.

D = Display this report on your terminal screen.

Notes on this report:

This program examines the purchase date of each vehicle and compares it to the current date to determine the number of months the vehicle has been held. The number of months is multiplied by the average miles per month figure which is entered in Field 7. The result is then compared to the actual odometer reading as shown in the vehicle file. If the odometer reading is greater than the calculated average, the vehicle is placed on the report.

The value of the purchase odometer will be subtracted from the current odometer before comparing against the expected number of miles. If the Purchase Odometer field is blank it is considered to be zero.

User tip: The calculation for the number of months in the fleet is made in whole months only, always rounding up to the next whole month. Therefore, if a vehicle was purchased on May 1st and the report is run on July 5th of the same year, the vehicle will be considered to have been in the fleet for 3 months. If 2500 is entered as the "Avg Miles/Month", then 7500 (3 x 2500) will be the number of miles that will be compared against the current odometer minus the purchase odometer.
